Job Purpose
The Stock Clerk is responsible for stock-related administration and tasks related to stock in close cooperation with the Food Service Supervisor, as well as the physical execution of stock handling.
Responsibilities
The successful candidates’ responsibilities will include, but are not limited to:
- Physical Handling of Stock:
- Correlate the Purchase Order (PO), the invoice and the stock that is delivered;
- Check, store and receive stock according to the relevant guidelines;
- Issue stock and monitor deliveries according to the stock request(pick) list;
- Communicate and report stock levels, stock shortages, expiry dates, slow-moving stock etc. for the assistant manager to identify ordering requirements;
- Pack stock according to the first in first out (FIFO) principle;
- Conduct weekly stock takes according to instructions;
- Accompany and respond to queries from the financial auditor during stock auditing;
- Keep records of surpluses and written-off stock according to instructions;
- Provide input in supplier evaluations;
- Administrative Tasks:
- Receive and capture invoices according to stock on the program (Goods Receiving Voucher, Goods Return Voucher);
- Check and reconcile invoices according to the computer systems (e.g., UniCom);
- Capture and issue stock request (pick) list according to instructions;
- Accompany technician to ensure work is completed per job card request;
- Assist in the training/in-service training of third and fourth-year dietetic and consumer science students as required by their academic departments;
- Equipment and Tools:
- Weigh and measure ingredients as per standardised recipe ingredients;
- Conduct stock count of equipment and tools;
- Report faulty equipment to the relevant manager;
- Cleaning and Hygiene:
- Clean stock areas according to the cleaning program and complete the relevant documents;
- Clean equipment according to safe work procedures;
- Issue certified food-safe cleaning chemicals;
- Check and record collections and deliveries of personal protective clothing;
- Check, sign and report waste (waste and fat traps) non-conformances;
- Food and Occupational Health and Safety:
- Report any non-conformances of regulations and practices in all key issues related to Food Safety, quality and general food safety operations, abiding by local legislation;
- Complete quality checks for food deliveries and check that standards are maintained;
- Complete forms to ensure that the corrective action report is executed along with all other forms for reporting;
- Keep records and dispose of food according to the waste disposal policy and procedures;
- Accompany the pest control inspector;
- Accompany all auditors to store areas during inspections;
- Check and ensure that the work environment and activities of the unit comply with Food Safety Regulations by checking and signing the documents;
- Monitor and record the temperature of fridges and report fluctuations;
- Thaw food materials according to food safety procedures and record;
- Segregate non-conforming stock;
- Receive and sign off on food items according to the product dispatch form;
- Report any illness, cuts and incidents to the relevant manager;
- Report any faulty equipment to the relevant manager.
- Grade 12;
- A minimum of 1 year experience in:
- General experience in a food services environment;
- Stock handling.
- Knowledge:
- Stock Handling;
- Food Preparation;
- Knowledge of food products and related ingredients;
- Knowledge of cleaning equipment and products;
- Administrative skills;
- Technical Competencies:
- Stock control systems;
- Computer literacy;
- Numerical skills;

Job PurposeTo ensure all necessary inbound stock management checks are conducted within the warehouse in accordance with Company policy and procedures. Accurately check all picked and pelletized stock across the warehouse prior to dispatch and loading.
Key Responsibilities- GRV Administration: Ensure compliance with established procedures and Company standards to maintain effective control over administrative processes. Implement required documentation and categorization per Group standards. Receive and match GRV's accurately and timeously. Match GRV quantity and value to delivery note and ensure timely input to SAP for an accurate transaction record. Process and capture required transactions in SAP. Manage and address customer queries. Match creditor’s invoices, delivery notes and GRV's received daily as required. Process short-supplied and over-supplied stock. Ensure that all goods entering the Company, and services performed for the Company are GRV’ed. Ensure that loading documents are captured correctly. Systematically pick stock according to FEFO. Print picking, checking and loading documents. Conduct blind checks and balance back to picking requirement before billing. Ensure quantity picked and loaded balances back to invoiced stock. Weigh picked and bulk stock and balance back to weigh bridge. Print all trip sheets. Check for outstanding shipments and take action. Record reprinted invoices on the reprint form and file. Maintain document control until handover is completed. Keep the distribution office clean at all times. Ensure sufficient invoice paper is available prior to billing. Ensure invoice printers are kept clean and report faults immediately.
- Housekeeping: Ensure a high standard of housekeeping is maintained inside the cold room. Maintain cleaning equipment and ensure correct storage. Ensure that stacking is neat, square, and secure. Ensure the work area is neat and tidy at all times. Clean waste from floors before the end of the day and keep walkways neat and tidy. Remove pallet boards and pallets timeously from pick levels and cold room.
- Cold Chain / Temperature Checking: Take daily temperatures and maintain records of all temperatures. Report any problems to the Shift Warehouse Controller. Maintain the cold chain at all times. Minimize standing time outside the cold room. Ensure that frozen products are handled according to SOP. Ensure products are stacked correctly and securely. Prevent manhandling of products. Conduct spot checks on dispatching. Ensure proper handling, storing, stacking, and rotation of stock. Minimize damage of products on receiving, in cold room, and whilst loading. Monitor stock movement at all times. Prevent overloads, short loads, and wrong loads. Assist in preparing the warehouse for stock counts. Ensure all damaged stock has been isolated and noted. Ensure easy access to product for counting purposes. Conduct daily stock counting as requested by the Warehouse Shift Controller. Report all problem stocks to the Shift Warehouse Controller.
- Loading Rate Maintenance and Monitoring: Maintain and monitor the loading rate (speed and accuracy). Complete performance sheets and record time lost or any other problems. Clock in and out at correct times. Keep overtime to a minimum. Report late arrivals to the Shift Warehouse Controller.
- Occupational Health and Safety Compliance: Observe compliance with health and safety regulations / ISO requirements. Ensure high levels of housekeeping, fire and accident prevention, safe work practices, and proper job instructions.
- Good Handling Practices: Ensure loading and freezer doors are kept closed. Maintain a glass-free area by covering glass fixtures and not allowing cups and bottles near any product. Ensure trucks are pre-cooled.
- Teamwork and Self-Management: Take ownership and accountability for tasks and activities. Demonstrate effective self-management in planning, prioritizing, and self-development. Give work instructions to Loaders, Forklift Drivers, Reach Truck Drivers, and Pickers in the absence of the Shift Warehouse Controller. Ensure quality and productivity standards of work are consistently maintained. Inform relevant parties of unmet tasks or deadlines and provide appropriate resolutions.
