PURPOSE OF THE ROLE

The purpose of a Stock Clerk is to ensure accurate stock records by conducting random checks and reconciling stock movements, identifying discrepancies, investigating queries, and maintaining the integrity of stock information.

Key Responsibilities

  • Ensuring that the stock movements recorded in the system, such as purchase orders (POs), transfers in and out, invoices, credits, and write-offs, are accurately matched and aligned with the corresponding documentation.
  • Verifying and reconciling the stock movements recorded in the system with the actual gate activity, ensuring that the goods received, dispatched, or returned align with the recorded transactions.
  • Reviewing and comparing the stock movements recorded in the system with the camera footage, to validate the accuracy and integrity of the recorded transactions and identify any discrepancies or irregularities.
  • Identifying and investigating any discrepancies or inconsistencies between the system records, documentation, gate activity, and camera footage, conducting root cause analysis, and taking necessary actions to resolve and reconcile the discrepancies.
  • Documenting and maintaining detailed records of the reconciliation process, including findings, resolutions, and any necessary adjustments or corrections made to ensure accurate and up-to-date stock records.
  • Working closely with other teams, such as purchasing, warehouse operations, and finance, to address and resolve any discrepancies or issues related to stock movements, ensuring alignment and accuracy across departments.
  • Reviewing and rectifying any discrepancies or errors in invoices related to stock, ensuring accurate invoicing and financial reconciliation. Communicating all invoice corrections to relevant stakeholders in order to drive invoice corrections down. Enable the delivery of correction invoices to customers.
  • Maintain a missing and unsigned invoice register and ensure the timeous obtaining of POD's that do not meet the necessary requirements. Update records accordingly.
  • Managing stock adjustments for various reasons, such as stock age, damages, or discrepancies identified during counts, ensuring proper documentation and adherence to established procedures.
  • Conducting stock recounts as necessary to validate and correct any discrepancies or inaccuracies identified during the reconciliation process, ensuring accurate stock records and inventory control.
  • Identifying and rectifying any errors or inconsistencies in stock reconciliations, ensuring accurate alignment between physical stock counts and system records.
  • Effectively communicating any stock adjustments, corrections, or discrepancies to relevant stakeholders, such as warehouse teams, inventory control, and management, to ensure proper understanding and resolution.
  • Generating comprehensive reports of all outbound movements based on camera footage, ensuring accurate and detailed records of stock activities.
  • Investigating and resolving queries or discrepancies by cross-referencing camera footage with stock movement records, providing evidence and verification to support findings and conclusions.
  • Performing random checks of full loads using camera footage, ensuring adherence to loading instructions, verifying accuracy, and identifying any potential issues or discrepancies.
  • Managing and organizing camera footage, ensuring easy retrieval and access for reconciliation purposes, query resolutions, or auditing requirements.
  • Adhering to safety guidelines and using appropriate personal protective equipment (PPE) when performing duties to mitigate potential risks.
  • Establishing and fostering a safe work environment and overall safety compliance.
  • Operate within safety standards.
  • Attend and participate in meetings and support the team in achieving the goals of the operation.
  • Attend coaching and training.

PURPOSE OF THE ROLE

QUALIFICATIONS & EXPERIENCE

p>Grade 12 (Matric) certificate or equivalent qualification.

Proven experience of at least 3-5 years in a similar position, with a preference for experience within the FMCG Retail industry.

COMPETENCIES REQUIRED

Building and maintaining relationships with strong interpersonal skills - living out the company values and unique HO HOLA culture. 

Friendly, helpful, confident yet humble, and able to work well in a team.

Ability to work in a highly competitive, fast-paced past and dynamic environment.

Excellent communication and interpersonal skills. With the ability to communicate fluently in English (written and verbal).

Comprehensive knowledge of Microsoft.

Accuracy and attention to detail.

Stock Planning

  • Check depot days of cover daily and communicate with Planning if required
  • Report all stock outs to depot, sales and Planning
  • Liaise with planning to resolve stock issues
  • Reduce write-offs and losses to a minimum.
  • Ensure optimal stock availability and stock rotation

Stock Take Procedures

  • Participate and assist in inventory counts as prescribed in company policies and procedures

Issuing and receiving stock

  • Assist with issuing and receiving of primary and secondary distribution shipments on SAP when required

Customer Service

  • Maintain highest possible level of customer service. (Internal and external)
  • Ensure customer complaints are solved swiftly and efficiently.

Routine Administration

  • Capture missing broken and foreign survey data
  • Generate and archive stock age concessions and link to shipments that are received out of specification
  • Ensure all invoice queries from customers and transporters are resolved
  • Reporting on missing documents and errors found
  • Quality Audits Conducted

Audit Adherence

  • Understanding, implementation and adherene to Internal Control Measures such as:
  • ICC’s
  • ISO requirements

POSITION INFO:

Stores Inventory Clerk needs to have a strong understanding of inventory management principles. This includes maintaining accurate records, tracking stock levels, and ensuring efficient stock turnover.

The ability to organize and maintain an efficient and well-structured storage system is crucial. This involves keeping track of where items are located and optimizing storage space.

Stores Inventory Clerk often need to order and source supplies. Knowledge of procurement processes, supplier management, and negotiation skills are valuable.

Accuracy is paramount in managing inventory. Even small discrepancies can lead to significant issues, so having a keen eye for detail is essential.

Being able to analyse inventory data to identify trends, demand patterns, and areas for improvement is important for optimizing stock levels.

Effective communication is key when coordinating with suppliers, internal departments and team members. You should be able to clearly convey inventory related information.

Stores Inventory Clerk encounter various challenges, such as shortages, overstocking, or delivery delays. Being able to identify and resolve issues is critical.

Proficient in inventory management software, documentation, spreadsheets, and other relevant tools.

Stores Inventory Clerk work as part of a team. Collaborative skills are valuable to ensure smooth coordination and cooperation with colleagues.

Verifying the quality and quantity of received goods is important to maintain the integrity of inventory.

The key purpose of this role is the Management of all Raw Material (RM) inventory within the logistics supply chain ensuring product quality standards met & in compliance to all inventory governance processes & controls. All physical movement of inventory is correctly reflected in SAP, inventory differences investigated, resolved & reported.

Key roles and responsibilities:
  • RM Inventory quality fundamentals standards are adhered to as per VPO requirements
  • RM Inventory accurately blocked in SAP with physical blocking mechanism in place as per VPO standards for quality related & obsolescence stock
  • Ensure compliance to the freshness & rotation policy as per VPO standards
  • Inventory count are recorded accurately with quantities per storage location & Best Before Dates (BBD) x SKU & bin cards clearly displayed as per VPO standards
  • Inventory concession policy applied & approved as per VPO product age standards
  • All RM salvages are re-packed as per VPO standards
  • All obsolescence stock are decanted as per standard policy & procedure
  • All Received stock are GRN as per standard policy & procedure
  • Independent inventory counts conducted on all RM Inventory reconciled to SAP inventory. Inventory count difference identified, investigated, resolved & reported. Un-resolved inventory count differences escalated to RM Controller with commentary & action plans
  • All physical movements of RM Inventory are transacted in SAP accurately. Packaging receipts validated by line counters, write-off's are verified against signed-off documentation & gate sheets
  • Breakages, Obsolescence & salvages stock are signed-off & processed in SAP accurately.
  • All daily controls, open shipments are reviewed & resolved.
  • All claims are processed timeously with signed-off backup documentation & SAB reimbursed
  • Supply Chain Overheads Budget vs Actual costs are monitored with gaps & action plans reports
  • Managing and daily planning of workload for team
  • Daily Documentation Control
  • Ensuring good Governance
  • Weekly and monthly stock count compliance
  • Monitor and control raw materials and stocks – handling and storage
  • Apply good waste management practices
  • Apply Good Housekeeping and 5S principles
  • Risk assessments and issuing of PTW
  • HR & Administrative duties
  • Liaison with internal and external customers
  • Support team goals and VPO principles
  • Daily Stock Reconciliation
  • Weekly PRP compliance
  • All Documentation signed-off by relevant persons, filed & securely stored as per Inventory Control Policy - Inventory stock packs, shipment packs, gate register, etc.
  • Security cameras in key points on site & random verification conducted
  • 3 Point independent checks are conducted on all shipments for departure & arrival - Random checks conducted to ensure compliance
Profile:
  • National Diploma in Finance, Commercial, Supply Chain, Logistics or relevant studies
  • 2-3 years’ experience in a Stock Control environment
  • Knowledge of Stock Control Processes
  • MS Office & SAP proficiency
  • Licensed FLT driver
  • Attention to detail
  • Problem solving ability
  • Good verbal ability and communication skills
  • A team player with well-developed organisational and planning skills
  • Capable of operating in a pressurised cross-functional and demanding environment
  • Good customer ethics and interpersonal skills
  • Ability to self-manage

Job Purpose

To ensure all necessary inbound stock management checks are conducted within the warehouse in accordance with Company policy and procedures. Accurately check all picked and pelletized stock across the warehouse prior to dispatch and loading.

Key Responsibilities
  1. GRV Administration: Ensure compliance with established procedures and Company standards to maintain effective control over administrative processes. Implement required documentation and categorization per Group standards. Receive and match GRV's accurately and timeously. Match GRV quantity and value to delivery note and ensure timely input to SAP for an accurate transaction record. Process and capture required transactions in SAP. Manage and address customer queries. Match creditor’s invoices, delivery notes and GRV's received daily as required. Process short-supplied and over-supplied stock. Ensure that all goods entering the Company, and services performed for the Company are GRV’ed. Ensure that loading documents are captured correctly. Systematically pick stock according to FEFO. Print picking, checking and loading documents. Conduct blind checks and balance back to picking requirement before billing. Ensure quantity picked and loaded balances back to invoiced stock. Weigh picked and bulk stock and balance back to weigh bridge. Print all trip sheets. Check for outstanding shipments and take action. Record reprinted invoices on the reprint form and file. Maintain document control until handover is completed. Keep the distribution office clean at all times. Ensure sufficient invoice paper is available prior to billing. Ensure invoice printers are kept clean and report faults immediately.
  2. Housekeeping: Ensure a high standard of housekeeping is maintained inside the cold room. Maintain cleaning equipment and ensure correct storage. Ensure that stacking is neat, square, and secure. Ensure the work area is neat and tidy at all times. Clean waste from floors before the end of the day and keep walkways neat and tidy. Remove pallet boards and pallets timeously from pick levels and cold room.
  3. Cold Chain / Temperature Checking: Take daily temperatures and maintain records of all temperatures. Report any problems to the Shift Warehouse Controller. Maintain the cold chain at all times. Minimize standing time outside the cold room. Ensure that frozen products are handled according to SOP. Ensure products are stacked correctly and securely. Prevent manhandling of products. Conduct spot checks on dispatching. Ensure proper handling, storing, stacking, and rotation of stock. Minimize damage of products on receiving, in cold room, and whilst loading. Monitor stock movement at all times. Prevent overloads, short loads, and wrong loads. Assist in preparing the warehouse for stock counts. Ensure all damaged stock has been isolated and noted. Ensure easy access to product for counting purposes. Conduct daily stock counting as requested by the Warehouse Shift Controller. Report all problem stocks to the Shift Warehouse Controller.
  4. Loading Rate Maintenance and Monitoring: Maintain and monitor the loading rate (speed and accuracy). Complete performance sheets and record time lost or any other problems. Clock in and out at correct times. Keep overtime to a minimum. Report late arrivals to the Shift Warehouse Controller.
  5. Occupational Health and Safety Compliance: Observe compliance with health and safety regulations / ISO requirements. Ensure high levels of housekeeping, fire and accident prevention, safe work practices, and proper job instructions.
  6. Good Handling Practices: Ensure loading and freezer doors are kept closed. Maintain a glass-free area by covering glass fixtures and not allowing cups and bottles near any product. Ensure trucks are pre-cooled.
  7. Teamwork and Self-Management: Take ownership and accountability for tasks and activities. Demonstrate effective self-management in planning, prioritizing, and self-development. Give work instructions to Loaders, Forklift Drivers, Reach Truck Drivers, and Pickers in the absence of the Shift Warehouse Controller. Ensure quality and productivity standards of work are consistently maintained. Inform relevant parties of unmet tasks or deadlines and provide appropriate resolutions. Support and drive the business core values. Demonstrate willingness to help others and “go the extra mile” to meet team targets and objectives.

Internal: Site management, Warehouse and administration teams, Transport

External: Contract cleaning staff

Qualifications and Experience

Matric, basic numeracy will be an added advantage.

Minimum of 1 year's warehousing or similar functional experience.

Skills and Competencies

Knowledge: Warehouse-based stock and handling processes, Warehouse methodologies and principles, Stock checking principles and practices, SAP, Completion of pre-vehicle checklist.

Skills: Computer literacy (MS Office), Verbal and written communication, Interpersonal, Logical thinking, Basic Numerical ability / aptitude.
