Our Procurement Team (Non Merchandise Products) is looking for an organized, trustworthy, and focused Procurement Administrator who is passionate about buying and procurement process. The incumbent will be responsible for controlling and the execution of NMP buying function within Cape Union Mart, in accordance with the procurement policies and procedures. Furthermore the candidates will report whether policies, procedures, instructions and systems (PIPS) governing procurement are being adhered to.
Our ideal candidate will have the ability to align with the company vision, be self-motivated and actively involved in overseeing the end to end process in the applicable area of responsibility. In addition, the successful candidate should have the high energy levels required for this fast-paced, exciting and dynamic retail environment.
Duties and Responsibilities
- Conduct Requests for Quote in accordance with RFQ process
- Conduct Requests to Purchase in accordance with the Standard Operating procedure for procurement
- Process the Purchase Order within stipulated time frames
- Receipt of Goods which are to be equal to the Purchase order
- Maintain and implement Invoice Control
- Conduct Stock takes of NMP goods
- Inventory Control of NMP stocked products
- Provide Reports of daily stock positions
- Forecasting and Planning of Non Stock products
- All duties in compliance with the company Ethical and Procurement code
- Contract module
- New store, revamps and store closures
Requirements
Experience & Qualifications
- 2 year + experience in a similar role, preferably within a retail environment
- Matric (Tertiary Education in a related field preferable)
- Strong coordination and administration skills
- Microsoft Office proficiency (advanced Outlook, Word and ERP proficiency)

Purpose of the role:
The Procurement Officer is responsible for managing the sourcing, purchasing, and supplier management processes to ensure the timely, cost-effective, and quality supply of goods and services required by the organisation. The role ensures compliance with procurement policies, procedures, and ethical standards while supporting operational efficiency, value for money, and sustainable supplier relationships. The Procurement Officer contributes to optimising costs, reducing risks, and enabling the organisation to meet its strategic and operational objectives.
Key Job Roles and Responsibilities (including but not limited to):
− Develop and agree strategic objectives within procurement.
− Manage and support the Request for Quotation (RFQ) process through internal data collection, external brief,
external data collection, data analysis, evaluation and feedback to stakeholders.
− Assist with development and implementation of the procurement strategy.
− Conduct annual suppliers' price reviews.
− Act as liaison between demand and supply planning teams to support material forecasting processes.
− Support implementation of Material Resource Planning (MRP) in Syspro through collection and validation of
purchasing parameters, upload of data and ongoing monitoring of functionality of MRP.
− Development, administration and management of procurement procedures, policies, flowcharts and
framework.
− Monitor and ensure appropriate stock cover of key material components.
− First escalation point for pending supply risks.
− Validate alignment of quotations for new components against supply agreements in place or components of
similar nature. Escalate variances or unique components to Operations Manager.
− Support validation process of pending write-off costs per stock standstill document managed by NPD.
− Ad hoc support of NPD engagement with external suppliers with regards to new requirements, pending changes or planned discontinuations.
− Continuously monitor and manage run-out plans with internal stakeholders and external suppliers.
− Assist with stock take processes as operationally required.
− Ensure compliance with all food safety, hygiene, and quality requirements.
− Assist with general and procurement related ad-hoc duties.
Required Qualifications and Experience:
− A relevant Tertiary qualification in Purchasing / Supply Chain Management / Business Management or similar.
− Minimum 3 years proven experience in a similar role.
− Computer literate and fully competent in required software packages (SYSPRO).
− Experience working within an FMCG or a Food Manufacturing business is required.
− Solid knowledge and understanding of procurement processes, policy and systems.
− Solid knowledge and understanding of food safety standards (e.g. HACCP, ISO 22000, FSSC 22000, or similar).
− Strong cost awareness with a proven track record of achieving savings without compromising quality.
− Demonstrated knowledge of B-BBEE procurement requirements.
− Proactive approach to risk management in supplier and material availability.
− Ability to work under pressure in a fast-paced production environment.

The Development Procurement Supervisor manages the financial and contractual aspects of construction projects, ensuring they are completed within budget and to the required standards. This involves tasks like cost estimation, contract negotiation, and risk management throughout the project lifecycle.
Responsibilities :
Managing the entire procurement process within Development including the procurement relating to equipment, service providers and building works
Maintain a list of all approved suppliers & service providers.
Continuously source and vet new suppliers & service providers and presenting for on boarding to the Development Procurement Manager.
Creating RFQ's and overseeing the competitive bidding cycles when required including adjudicating the final quotes and ensuring and apples for apples comparison.
Ensure suitable warranty periods are negotiated with suppliers and the warranties are upheld by suppliers.
Be a strong procurement partner for all equipment related issues for Operations Managers and Store Managers.
Liaise with Project Managers and oversee the Junior QS during the costing process of new stores and revamps, including checking quantities and pricing on quotes prior to costing approval.
To stay up to date with market related prices on equipment, services and building related costs including negotiating acceptable rates with suppliers.
To negotiate fixed prices with suppliers for a period of no less than 6 months and ensuring price increases are within market acceptable norms.
To obtain approval from Development Procurement Manager for all price increases.
To update and maintain the equipment order and costing document.
To check and ensure all quotes presented by the project managers are in accordance to the equipment order and costing document.
To develop a workable project ordering procedure together with the Development Procurement Manager and Group Development Manager.
To maintain relationships with suppliers and service providers including developing SLA's, obtaining approval for SLA's and ensuring SLA's are up to date.
Check on invoices against quote when required and send through invoice for approval when required.
Maintain good communication standards with suppliers, contractors and operations.
Continuously keeping equipment order and costing document up to date.
Send all equipment suppliers a 6 month roll out plan.
Monitor and evaluate individual and team performance regularly.
Foster effective communication and collaboration within the team.
Establish clear goals and KPIs for the team members.
Requirements :
- A relevant diploma/degree in quantity surveying, construction management, or a related field.
- Experience as a Quantity Surveyor/ Construction Procurement Manager preferably having worked on retail projects.
