Introduction

We are looking to recruit 2 permanent Master Data Assistants to work for United Pharmaceutical Distributors (UPD). The role will be based in Lea Glen, Roodepoort reporting to the Master Data Compliance Officer.

Job Purpose:

The main purpose of master data is to provide a consistent and accurate set of core data that is essential for an organization’s operations. This core data typically includes information about key business entities such as customers, products, pricing and suppliers.

Key Performance Areas:

  1. Ensuring the accuracy, completeness, consistency and timeliness of master data. This includes regular data cleaning, maintenance, validation and enrichment.

Quality Outputs of the Job:

  1. Ensure that New Materials/Products are accurately captured on time for scheduled and non-scheduled items.
  2. Ensure that the correct nappi codes, barcodes and supplier material codes are updated on the system accurately and on time.
  3. Ensure that materials are extended to all storage locations.
  4. Create and maintain Purchasing Info Records.
  5. Load new and maintain existing trade and non-trade vendors.
  6. Condition Contracts on the system as well as customer accounts.
  7. Update verified information provided by the suppliers and customers to ensure regulatory and legal compliance.
  8. Update all SEP Pricing for scheduled products as per the DOH.
  9. Update all Non-Scheduled material pricing as per the Supplier Price File, as well as loading deals.
  10. Maintain product dimensions’ data on SAP Systems.

Skills:

Knowledge:

Minimum Education and Qualification:

  1. Matric equivalent.

  3. SAP Exposure: On-the-job training, short courses, or entry-level SAP certifications.
  4. Experience in the Pharmaceutical Industry.
  5. SAP system Knowledge is an advantage (1-3 years).
  6. Experience in Data Integrity and Capturing.
  7. 1-3 years’ office admin management of technical or business data systems.

Duties & Responsibilities

Key Performance Areas (summary of functional outputs):

  8. Responsible for the identification and driving the resolution of non-compliant existing records and anomalies.
  9. Responsible for the identification and resolution of records that need to be archived/flagged for deletion.
  10. Responsible for mass data duplication detection and driving the resolution thereof.
  11. Responsible for performing audits to assess user competence and identify training gaps.
  12. Managing and maintaining synchronism of configuration data between IT systems.
  13. Identifying potential obsolete records and resolving if found to be obsolete.
  14. Executing on initiatives related to data cleansing and data enrichment.

Cataloguing of Contracts (large volume) and Once-off Ad-hoc requests by:

  1. Responsible for the cataloguing and updating existing records.
  2. Providing a cataloguing service for Materials and Services for stakeholders.
  3. Managing the process of cataloguing large volumes of data.
  4. Participation in procurement process representing Materials and Services Master Data Management.
  5. Providing guidance to the end user on the cataloguing process and requirements.
  6. Liaising with end user to determine the exact user’s requirements.
  7. Analyzing and translating the requirements into cataloguing terms to establish which data categories and descriptors are applicable.
  8. Searching the cataloguing system for existing catalogued records that could be used.
  9. Providing stakeholders with the correct cataloguing documentation related to his/her request.
  10. Guiding users on the correct completion of all documentation.
  11. Quality inspection of documentation received back for correctness, completeness and approval by the necessary authorities.
  12. Capturing/approving the requirement on the cataloguing system.
  13. Resolving duplicate issues and data input errors should they arise and transferring data to SAP.
  14. Adhering to the application of internal controls, policies, procedures and legislation.
  15. Assisting other business units with cataloguing (as and when required).
  16. Filing documentation as per business rules and legal requirements.
  17. Performing administrative duties to ensure efficient record keeping and adherence to legislation.

Provides training to all cataloguers and business users on the use of the systems, the process and the methodology related to cataloguing by:

  1. Responsible for providing input into the development of all training material, and delivering training to business end users, STG users and site cataloguers.
  2. Training stakeholders on the process, the methodology behind cataloguing and the use of the STG and Infinity software.
  3. Assisting stakeholders to interpret the cataloguing guidelines, policies and procedures to ensure quality data is generated and adherence to cataloguing standards.
  4. Managing and controlling user access and authorisation to the master data and the software.
  5. Supervising site cataloguers job outputs.
  6. Providing system and process support related to capturing requirements on the Infinity software.
  7. Providing system support related to creating purchase requisitions/local purchase orders using the Structured Text Generator (STG) interface to SAP.
  8. Investigating and resolving customer queries within SLA request resolution target.
  9. Providing customers with timeous and regular feedback on opened/unresolved requests.
  10. Resolving Materials and Services Master Data issues and queries.
  11. Providing a support service to all business users making a procuring request with respect to the systems and processes.
  12. Providing a training and support function to the site cataloguers and business users.

Responsible for all system testing as a result of system changes and bug fixes by:

  1. Responsible for managing the testing process during system upgrades/enhancements.

Incident and Bug Management:

  • Receive, log, and prioritize bug tickets reported by end-users or identified through monitoring systems.

  • Execute rigorous validation testing to confirm that applied corrections fully resolve issues without introducing new defects.

  • Strong understanding and practical experience leveraging Azure DevOps for comprehensive development activities, including source code management via Git, task tracking using Work Items, and deployment automation through Pipelines.
  • Experience utilizing Jira-based ticketing systems for effective management of data-related bug and change requests ("MDM Incident" and "MDM Request").

Understanding Of Data And Business Context

  • Solid knowledge of master data consolidation, authoring, and distribution principles.
  • Ability to effectively work with master data across six critical business domains: Client, Product, Finance, Location, Structure, and Nomenclature.
  • Experience and capability to interact effectively with governance teams composed of business users for each master data domain, contributing to data quality and policy discussions.
