To ensure CCMDD has efficient Stock and consumables to dispense the required Rx’e within the set-out time frame and budget as per company expectation. Risk managed with regards to Stock Management at receiving, in the Warehouse and in time on the shelves for dispensing. Staff Management.
1. Receiving Processes- Ensure accurate and timely receiving of stock delivered from Suppliers and Provincial Depots.
- Ensure compliance with receiving processes as per Departmental Manual and SOPs.
- Ensure adherence to receiving timelines as per Departmental Manual and SOPs.
- Ensure all delivery errors / challenges must be reported and escalated according to the Departmental Manual and SOPs within agreed timelines.
- Monitor receiving processes for cold chain items according to Good Pharmacy Practice (GPP), Good Warehousing and Distribution Practices (GWDP) and Standard Operating Procedures.
- Ensure Company Expense Orders are handled according to Departmental Manual and SOPs within agreed timelines.
- Ensure “Other” deliveries are handled according to Departmental Manual and SOPs within agreed timelines.
- Monitor and ensure all invoices are processed before close of business. Management of exceptions as and when approved within agreed timelines.
- Ensuring that all credit requests are accurately logged and processed on the Medipost App system within agreed timelines.
- Ensure weekly follow-up on outstanding credit requests.
- Daily verification of the creditors audit trail (invoices/credit requests vs. audit trail).
- Ensure Supplier returns are done according to the Departmental Manual and SOPs within agreed timelines.
- Ensure all invoices are sent to the Provincial Depots on a monthly basis.
- Stock Rotation in the Warehouse and picking shelves.
- Expiry date management. Measurement on Write-off report.
- Slow movers, identification and early action to prevent write-offs. Measurement on Write-off report.
- Definite and deliberate approach towards systems and processes to be put in place to limit stock theft. Implementation and improvement of entry and exit of employees and stock in Production.
- Warehouse Management. Housekeeping and Chronological packing order.
- Replenishment of Flow racks, Tamper Free area and Fine Pick Area. Availability of 99% on available stock in bins. Measurement on Replenishing report.
- Quarterly re-evaluation of bin-allocation.
- Cold Chain controls during receiving and put-away process.
It is the responsibility of the Replenishing and Warehouse Supervisor to manage and coordinate all facets of the stock take pertaining to Receiving, Credits, Warehouse and shelves in the Dispensing area. All needs to be co-ordinated and managed according to Provincial guidelines. The Replenishing and Warehouse Supervisor will form part of the planning and execution as per action lists provided by the Input Manager.
5. Ensuring the Housekeeping- Stock and storage thereof is handled according to the GPP standards and Occupational health and Safety act 85 of 1993 is enforced. Quarterly Housekeeping audit to be used as measurement. A 100% score needs to be achieved.
- Applying of Good Warehouse Practices.
To assist with:
- Complete all ad hoc tasks that are given ensuring that it is completed in the time requirement that was given.
Sending of members to assist in department where assistance is required.
7. People Management- Optimisation of working hours and appropriate management of overtime.
- SOP: Training and assessments done within agreed timelines.
- Probation assessments with newly appointed employees.
- Appropriate mechanisms in place to monitor staff productivity, attendance, leave and timekeeping (Eco-Time; ESS).
- Staff training needs identified and training provided continuously and timeously (appropriate training material prepared as required).
- Staff development: Development plans designed and implemented. Outcomes reviewed continuously and adjusted accordingly.
- Conflict management and appropriate levels of discipline maintained.
Minimum Qualifications:
- Grade 12 with Pure Maths and Life/Physical Science.
- Registered as a Qualified Post Basic with SAPC.
- 5 Years Warehousing Experience.
