SUMMARY : POSITION INFO :

The role of Stock Controller is a newly created one with the main objective being to operate as a key link between Purchasing, Operations, and Warehouse functions. This will involve monitoring stock levels, movements, locations, and a strategic use of space and processes. The aim of the role is to continually reduce the number of stock losses, write-offs, and customer/supplier stock queries year on year.

The individual will need to be able to work independently and be self-motivated. They should also possess strong problem-solving skills and have a keen eye for detail.

Main Responsibilities

  1. Compare items received against items ordered and ensure incoming stock is receipted and managed appropriately.
  2. Carry out periodic reviews of outgoing orders to ensure accuracy of shipments and stock records.
  3. Ensure mistakes, inaccuracies, and discrepancies are investigated, addressed, and resolved.
  4. Investigate and correct discrepancies in reported quantities and locations of all stock.
  5. Help develop the company’s stock management strategy with the aim of reducing losses and obsolete stock, rationalising inventory, and maximizing available space.
  6. Work with warehouse management to ensure proper arrangement of stock for optimum efficiency and organization.
  7. Perform process and system testing to locate and resolve problems in data integrity.
  8. Be responsible for managing and executing planned stock takes.
  9. Perform cyclic stock checks.
  10. Minimize and remove obsolete stock.

Key Responsibilities include:

  • Maintaining the LHC formulary and handling product complaints.
  • Resolving stakeholder queries and fostering a culture of quality and operational excellence.
  • Performing any other tasks deemed necessary by the line manager.

Minimum Requirements:

  • Grade 12 qualification.
  • At least 2 years of stock control experience in a hospital environment.
  • Knowledge of SAP is advantageous.
  • Understanding of the private healthcare industry; hospital experience and knowledge of systems (iMeds) are required.
  • Result-oriented with attention to detail, excellent interpersonal and communication skills.
  • Customer focus, commitment to continuous improvement, independence, and good time management.
  • Proficiency in computer skills.
  • Ability to work under stress.

Responsibilities and Accountabilities :

The Stock Controller plays a crucial role in ensuring efficient inventory management within the hospitality, and food and beverage department. This position involves overseeing the procurement, storage, distribution, and utilisation of food and beverage items to maintain optimal stock levels, minimise waste, and support seamless operations. The Stock Controller works closely with the Hospitality Manager and Head Chef to maintain accurate records, analyse consumption patterns, and implement strategies for cost-effective inventory management.

Key Responsibilities :

Inventory Management :

  • Monitor stock levels of food and beverage items to ensure availability for daily operations.
  • Conduct regular stock counts and reconcile discrepancies between physical stock and records.
  • Utilise inventory management software or manual tracking systems to accurately record stock movements and adjustments.
  • Implement FIFO (First In, First Out) and FEFO (First Expired, First Out) principles to minimise waste and ensure product quality.

Procurement and Ordering :

  • Collaborate with suppliers to place orders for food and beverage items based on consumption forecasts and inventory levels.
  • Evaluate supplier performance, negotiate contracts, and secure competitive pricing to optimise procurement processes.

Storage and Organisation :

Maintain cleanliness and organisation of storage areas, ensuring compliance with food safety regulations and industry standards.

  • Monitor storage conditions such as temperature, humidity, and sanitation to preserve the quality and freshness of perishable items.
  • Rotate stock and implement proper handling procedures to prevent spoilage and contamination.

Reporting and Analysis :

  • Generate regular reports on stock levels, consumption trends, and inventory turnover rates for management review.
  • Analyse data to identify opportunities for cost savings, waste reduction, and process improvements.
  • Collaborate with the Hospitality Manager and Head Chef to develop strategies for optimising inventory management and enhancing operational efficiency.
