Ready-Mix Concrete Logistics Controller

The Ready-Mix Concrete Logistics Controller will be responsible for managing the logistics operations of our ready-mix concrete supply chain for the Transkei and Lesotho regions, ensuring efficient delivery of concrete products to construction sites while maintaining the highest standards of service. This role requires strong organizational skills, attention to detail, and the ability to coordinate logistics activities to meet customer requirements and project deadlines.

Key Responsibilities:

  • Requests and Order Management:
    • Receive request for quotation and attend to within mandated turnaround time/escalate to tenders’ department where required.
    • Receive orders for ready-mix concrete from customers, ensuring to include concrete specifications, quantities, and delivery locations, special instructions, etc.
    • Coordinate with the operational team ensuring timely fulfillment of customer orders.
    • Communicate with customers to confirm order details, delivery schedules, and any challenges experienced.
  • Dispatch and Routing:
    • Plan and optimize delivery for ready-mix concrete trucks based on order locations, traffic conditions, and truck/plant capacities.
    • Monitor truck movements and obtain/provide real-time updates from dispatchers to customers and project stakeholders regarding delivery status.
  • Customer Service:
    • Serve as the primary point of contact for customers regarding concrete orders, delivery inquiries, and scheduling changes.
    • Resolve customer complaints or issues related to delivery delays, product quality, or service discrepancies in a timely and professional manner, by escalating to the appropriate department head and ensuring close out within the acceptable timeframes.
    • Build and maintain positive relationships with customers, contractors, and project managers to enhance customer satisfaction and loyalty.
  • Raw Material Management:
    • Monitor inventory levels of raw materials, aggregates, and cement to ensure adequate supply for concrete production.
    • Coordinate with suppliers to replenish inventory as needed and optimize inventory levels.

Minimum Requirements:

  • Male/Female, between ages of 30-50
  • Physically fit and healthy
  • Matric
  • Relevant tertiary qualification advantageous, but not mandatory
  • Valid driver's license and own car
  • At least 5 years’ experience in logistics coordination, preferably within the ready-mix concrete/Construction industry
  • Strong organizational and planning skills, with the ability to prioritize tasks and manage multiple priorities simultaneously
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams, drivers, and customers

  • Export control compliance to be coordinated
  • Assist of exporting of "obsolete" stock - estimates, timeline, documentation, freight approvals.
  • Freight estimates for exports - sample and out of the ordinary freight requests
  • Obtain estimates for tooling, machine and projects transfers.
  • Relevant reporting for sub-department
  • Coordinate weekly meetings with Market / Custer Comex team on freight management topics
  • Compliance with Benteler's IATF 16949 standards.

Freight Partner Management:

  • Coordinate weekly freight partner operations meeting, manage Status reports, vessel movement and ZMM60 forecast reporting
  • Ensure all clearing instructions for Import shipments (AIR & SEA) are issued to forwarders
  • Monitor courier shipment bookings, CI, mandate letters, etc with freight partners
  • Follow up on all outstanding freight queries with material planners, freight forwarders and suppliers.
  • Adhoc Incoming / outgoing freight management and freight forwarder management
  • Lodge, manage and resolve claims with freight partners
  • Perform monthly & quarterly business reviews

Finance / Controlling:

  • Create freight orders for finance for each import and export and local transport shipment for all the above
  • Submissions of all premium freight costs per allocation per shipment
  • After month end ALL freight orders are put in spreadsheet with reason for premium costs
  • Freight Accruals - Update monthly accruals to Controlling, both preview & final figures
  • Annual freight budget creation & management
  • Monthly freight forecasting - Collation of data & forecast for year rolling
  • Validation and management correct allocation of spend per general ledge.

Projects

  • Assist project team with the freight regarding launches for tooling, machines and material - to ensure OTIF and within budget
  • Weekly LOP update on shipment status
  • Landed costings review & submission to projects and Purchasing
  • Participate in the final stages of global freight RFQ's and the Implementation of new trade lanes

Qualification

A recognised university Degree / National Diploma in the following disciplines: Purchasing, Logistics, Commerce, Finance, Business Management

Experience

2 – 5 years of Purchasing and/or Logistics experience, preferably within the motor- or related industries

Possible Tasks within this Role
  1. Prepare, present and issue Supplier Risks and Capacity Overview reports in an effort to create transparency and to implement solutions
  2. Prepare, analyse and issue “INCA” capacity reports in an effort to create transparency and to minimise capacity risk
  3. Investigate, analyse and respond to Carry over Parts (COP) request from the VW Group in an effort to secure capacity
  4. Creation and updating of new/existing capacities vs demand to assess if the supply meets the demand against capacity constraints in an effort to secure sufficient capacity installed at suppliers
  5. Verify and maintain a supplier restriction catalogue for purchased parts to ensure that supplier capacity restrictions are taken into account for production scheduling
  6. Create Purchase orders in SAP to ensure once off goods ordering, receipt, invoicing and payment
  7. Create Part Supply Agreements in SAP to ensure series parts ordering, receipt, invoicing and payment
  8. Create Vendor Codes in SAP to ensure payment for series parts and goods receipt from vendors
  9. Support and maintain current and new supplier registrations database in local and group systems to ensure system data accuracy
  10. Maintain User System data in local and group systems by running system error trap reports to ensure system user assignment accuracy
  11. Activate purchase part price changes in SAP to ensure latest part price to be active for payment correctness
  12. Provide systems problem solving support to all users, internal customers and suppliers by liaising with relevant stakeholders in order to ensure workflow continuation and identify future opportunities for optimisation
  13. Identify and support with new systems and process implementation by liaising with the Group and Regions for best practice opportunities to ensure efficiencies and that the company is aligned to the Group
  14. Prepare and report on Procurement FMK performance of monthly actuals and forecast vs budget in order to meet corporate objectives.
  15. Prepare Procurement FMK budget and 5-year outlook in order to meet corporate objectives (Planning Round).
