Job Description

Job Summary

We are looking for a meticulous individual to oversee end-to-end demand planning and supply chain operations, ensuring accurate forecasting, timely supply execution, and optimal inventory management to meet market demands and maximize sales efficiency. Your role will be pivotal in driving supply chain performance, maintaining inventory levels, and facilitating seamless coordination between various stakeholders to uphold regulatory compliance and enhance overall operational efficiency.

Roles & Responsibilities

  • You will be responsible for the full in-house, out-license and in-license demand planning process on different forecasting model, including sales correction, forecasting at individual SKU (Stock Keeping Unit) level, consensus forecast finalization and release to supply planning team.
  • You will create and monitor the execution of supply plan in collaboration with India Demand Planner and supply planning team. You will also follow up to prioritize and expedite stock dispatches from India to prevent sales losses.
  • You will be responsible for forecasting in planning system i.e. Kinaxis and ensuring the correct orders are placed to suppliers.
  • You will be responsible for ensuring maintenance of stock levels as per agreed-upon inventory norms, including inventory deployment at both operational warehouses, identification of stock at risk of expiry and initiatives to lower write-offs of stock.
  • You will be responsible for monitoring OTIF (On-Time and In-Full) order fulfilment with the third-party distributor in liaison with the sales team, including monthly calculation of OTIF delivery, and continuous performance reviews to improve service levels.
  • You will facilitate the local Sales and Operations Planning meeting and represent South Africa in the monthly Emerging Markets S&OP.
  • You will calculate and submit MIS (Management Information System) reports as input to the S&OP process.
  • You will ensure timely new product launches with adequate launch stock, in collaboration with local and global teams.
  • You will be responsible for implementing new initiatives and projects to strengthen supply chain systems and processes in South Africa, including SAP interfacing with third party distributor.
  • You will oversee the local warehouse operations, focusing on enhancing efficiency and optimizing cost.
  • You will be responsible for ensuring compliance with all regulatory and quality norms in co-ordination with the local and global RA and QA teams, including change of artwork (without disruption to supplies), and phase-in of variation approvals without any supply gaps or write-offs.

Qualifications

Educational qualification: Formal qualification in supply chain management; APICS certification would be an advantage

Minimum work experience: 5 to 8 years of experience in demand/supply planning, inventory management, or Sales and Operations; planning in a pharmaceutical or FMCG environment preferred

Skills & attributes:

  • Experience in working with SCM ERP (Enterprise Resource Planning) systems, particularly SAP Demand Planning, Sales and Distribution, and Material Management Modules (SAP training will be provided).
  • Proven track record of driving new projects and initiatives in collaboration with multiple cross-functional teams.
  • Knowledge of calculating and tracking performance through supply chain KPIs (Key Performance Indicators) – backorders, sales losses, forecast accuracy/error percentage (MAPE), OTIF (On-Time In-Full), Inventory value at risk, etc.
  • Ability to work independently and communicate at all levels.
  • Assertive and results driven.

The Manager Supply Management & Logistics & Indirect Procurement Middle East & Africa (MEA) will lead and support the development of the procurement strategy definition, and actively participate to the strategic sourcing activities, with the goal of achieving significant year-on-year cost and productivity improvements while maintaining or improving service levels and delivering innovation and value to its stakeholders. His/her primary responsibility will be Logistics procurement for the MEA zone, and it is also expected the successful candidate will also act as the Single Point of contact for all other Indirect Procurement activities in the region and seek direction and support from the global category team or Sourcing Excellence team to increase overall spend coverage in MEA. He/ She will work closely with key stakeholders (both internal and external) in member organizations and in corporate functions to develop effective procurement strategies and implementation plans. In this position, the Manager Supply Management will report directly to the Senior Manager Supply Management in charge of procurement categories described below.
**GLOBAL CATEGORIES UNDER SCOPE**
+ Logistics - Ground Transport, Warehousing, Co-packing, as a main responsibility (60 to 70% of worktime)
+ Other indirect Categories as needed
**MAIN MISSION**
+ Build and implement the MEA Logistics procurement strategies aligned with global guidelines, and lead their implementation with local stakeholders
+ Clarify opportunities of improvements and implement
+ Identify and Leverage value-add proposals and innovation from Partners/Suppliers
+ Ensure close work with stakeholders located in MEA
+ Be a close partner with stakeholders and their go-to for procurement planning/strategizing
+ In close collaboration with the regional Business Partner, act as the 'ears on the ground' to keep the Indirect category team informed of local business needs and realities.
+ Support, at times, the RFP process for other indirect categories in the region
**MAIN GOALS**
+ Strategy for all logistics procurement in the region- build a short and long-term roadmap to develop/reinforce partnerships. Align to global logistics procurement strategy and templates
+ Implement SRM methods and structure to optimize the value added provided by suppliers (using global template, approach)
+ Conduct Strategic RFP in collaboration with Stakeholders and other procurement teams
+ Provide significant year-on-year cost improvements (hard savings, soft savings, innovation etc)
+ Ensure budget visibility and stability in the long term, Implement productivity and innovative improvements
+ Secure supply
+ Challenge quality and service level : maintain and improve
+ Support BIC's roadmap with regards to ESG and sustainability
+ Ensure needs of stakeholders are delivered using internal support from colleagues : Business Partnering, Sustainable Procurement, Center of Excellence and Operational Procurement teams.
**KEY RESPONSIBILITIES:**
The Manager Supply Management & Business Partner will have the following specific responsibilities:
+ Ability to build a Procurement category strategy for all logistics suppliers in MEA region
+ Coordinate the Category Strategy Planning:
+ Collect category insights (with Analytics) & create category profiles,
+ Identify opportunities & prioritize projects (with Business Partner)
+ Supplier mapping and road mapping of sourcing events, contracts
+ Implement
+ Support/ Coordinate the development and deployment of procurement strategies related to the assigned categories.
+ Follows alignment to priorities and performance goals, executes the strategy and implements strategic procurement efforts and innovation in specific categories as necessary and appropriate.
+ Deploy sourcing best practices globally and ensure they are widely adopted
+ Follow strategy implementation.
+ Track forecasted performance vs. actual savings for the categories.
+ Assist in finding solutions to mitigate any supply risk
+ Represent sourcing categories with Group stakeholders.
+ Communicate sourcing market trends/results for categories to key stakeholders.
+ Work with finance stakeholders to ensure savings are built and measurable into budgets and the annual operating plan.
+ Support the sourcing team to be actively engaged in core business processes.
+ Provide regional/local budget input on market effect, standards and productivity initiatives impacting costs
+ Participate in the process to select and monitor suppliers.
+ Coordinate the supplier selection and negotiation process for key sourcing teams and overall management of the strategic suppliers to the group.
+ Lead regional/ local sourcing strategies in alignment with the global category strategy and oversee sourcing events
+ Maintain expertise in the categories of spend. Remain current with market trends through relationships with Supply Managers, suppliers and market experts, and ensure that we have a process to gain access/familiarity with emerging supplier capabilities
+ Execute the Group Sustainability Targets and the sourcing strategies include Sustainable Development
+ Uphold internal and external policies, regulations, contracts management and laws, as well as monitoring suppliers' quality, risk and compliance

The role ensures the smooth and efficient flow of goods while maintaining optimal inventory levels and supporting annuity streams. The incumbent will also oversee franchise support, staff development, process control, and ensure compliance with Delegation of Authority (DOA), ISO standards, and JSE control requirements.

Key Performance Areas (KPAs)

Strategic purchasing, forecasting, and backorder management

Supplier and logistics partner relationship management

Comprehensive inventory and stock control oversight

Management of warehouse and shipping operations

Oversight of agent account reconciliations and rate reviews

Weekly and monthly reporting, including KPIs and board-level summaries

Budget development and control for annuity and supply chain operations

Oversight of annuity product and price list management

Streamlining operational processes across annuity and support teams

Management of franchise-related processes (orders, returns, invoicing, credit notes)

Staff leadership, development, and departmental process improvement

Compliance with DOA, JSE control requirements, and ISO procedures

Duties and Responsibilities

1. Purchasing, Forecasting & Backorder Management

Manage international and local procurement using Athena and partner portals

Ensure purchase approvals are in line with DOA

Coordinate weekly sea freight and ad hoc airfreight shipments

Use forecasting tools and stock data to maintain optimal inventory levels

Maintain accurate ETDs / ETAs and control backorders

Serve as the key point of contact for local and international suppliers

Monitor purchase orders and franchise procurement activities

Track product availability, backorders, and delivery timelines

3. Inventory Management

Liaise with product and marketing teams for inventory planning

Collaborate with the Shipping Costing Controller for urgent stock needs

Conduct forecasting meetings and prepare stock write-off reports

Investigate inventory discrepancies and ensure accurate costings

4. Shipping & Warehouse Operations

Oversee end-to-end shipping and warehousing activities

Supervise warehouse personnel and ensure accurate reporting

5. Agent Account Management

Review and validate service provider invoices

Conduct bi-annual rate comparisons and negotiate improved terms

6. Reporting & KPI Management

Generate daily and monthly supplier and PO reports

Compile board-level summaries and stock segment analyses

Track KPIs and provide explanations for variances

7. Budgeting & Financial Oversight

Set and manage budgets for annuity, franchise annuity, supply chain, and warehousing

Monitor performance against budget and report on variances

8. Operational Improvements

Identify and implement process improvements and automation opportunities

Update and optimize departmental roles and workflows

Ensure compliance with franchise invoicing, stock returns, and credit note processes

Oversee support team performance and maintain service excellence

10. Staff & Process Development

Lead and develop supply chain and support teams

Drive continuous improvement and adherence to processes and controls

11. ISO & JSE Control

Maintain and update ISO procedures and departmental objectives

Ensure compliance with all JSE-related controls and governance

Requirements and Qualifications

Education

Bachelors degree in Supply Chain Management, Logistics, Operations Management, or related field (essential)

Postgraduate qualification or certification in Supply Chain, Logistics, or Procurement (preferred)

ISO and / or JSE compliance training or certification (advantageous)

Experience

Minimum 10+ years in a supply chain or logistics management role

Proven experience in procurement, shipping, warehousing, and inventory management

Experience in annuity-based product and consumable logistics (advantageous)

Strong track record in budget and KPI management

Exposure to office automation or tech distribution sectors (advantageous)

Technical Skills

Proficient in ERP systems (e.g., Athena, Just Enough, SAP, Oracle)

Advanced Excel skills and strong analytical capability

Knowledge of forecasting tools and inventory planning systems

Understanding of import / export regulations and logistics documentation

Strong leadership and team management

High attention to detail and problem-solving ability

Excellent negotiation and communication skills

Ability to manage multiple priorities under pressure

Financial and commercial acumen

Process-oriented with a focus on continuous improvement

Requirements:

  • Diploma in Supply Chain or related fields (NQF 6).
  • Up to 5 years’ experience in Supply Chain in a Manufacturing Environment.
  • Computer Literacy (MS Office Suite; and other job-specific software systems).

Responsibilities and expectations but not limited to:

Supply Chain Coordination Responsibilities

  • Receive and record warehouse stock using SAP; manage accurate distribution across departments.
  • Oversee inventory operations including stock counts, deliveries, damage control, and redundant stock management.
  • Monitor consignment stock and maintain supply integrity.
  • Create and process purchase requisitions; ensure accurate item coding on SAP.
  • Prepare and submit periodic reports for senior management.
  • Administer supply chain tasks efficiently and within deadlines.
  • Manage supplier quotations and approval processes.
  • Schedule and communicate daily driver and messenger activities.
  • Organize staff training, meetings, and compile meeting minutes.
  • Coordinate the check-and-charge process and maintain clean data systems for retrieval.

Compliance

  • Adhere to internal controls and procedures to uphold company integrity.
  • Identify and report risks or concerns to departmental management.
  • Ensure full compliance with relevant regulations and policies.
  • Maintain accurate documentation and records for auditing and operational transparency.
  • Monitor costs and expenditure to minimize waste and avoid irregular spending.

Customer Service

  • Foster strong relationships with internal and external customers to ensure high service standards.
  • Represent the company professionally in stakeholder meetings and engagements.
  • Resolve issues creatively with integrity, aligned to company values.
  • Promote client, customer, and employee satisfaction across touchpoints.
  • Minimize service discrepancies and ensure regulatory compliance.

Staff Supervision

  • Ensure performance contracts are signed and implemented for all employees.
  • Conduct quarterly performance appraisals and track individual objectives.
  • Collaborate with HR to identify development goals and create action plans.
  • Facilitate ongoing training and employee development initiatives.
  • Address employee relations matters fairly, promptly, and in line with HR procedures.
  • Gather and respond to employee feedback to improve workplace engagement.

Cost and Financial Control

  • Assist with budget planning and provide timely input.
  • Promote efficient, cost-effective use of financial and operational resources.
  • Monitor expenditure to ensure compliance with budgetary limits and financial policies.
  • Identify and implement cost-saving opportunities.
  • Ensure adherence to financial regulations and procedures; report deviations as needed.
