  • Monitor all customer order issued for picking to ensure that the orders are completed and invoiced before the end of day.
  • Oversee the scanning of customer orders pertaining to non-pack size products by following the scanning procedure.
  • Monitor the picking, invoicing and handover to Security and ensure that the signatures
  • are done with the different allocated pen colours:
  • Invoice
  • Pickers

  • Reworks
  • Receiving
  • Monitor the time periods a Picker takes to complete an order. Address any concerns with the Picker.
  • Investigate any shortages on the picking slip and hand it over to the Inventory Clerk for updates and approval.
  • Conduct two random checks on orders daily (multiple lines) on reverse picking, and apply corrective action where required.
  • Control and manage the push system (not pull) from the Pickers to the Invoicing tables.
  • Control and manage the handover by of the stock by the Pickers to the Invoicing tables
  • per the various geographical regions.
  • Control and maintain the correct Employee head count at Invoicing and the Transfer Pullers
  • Conduct regular bin maintenance and identify problems in bins, such as:
  • one item in two different boxes
  • damaged boxes
  • damaged product
  • purpose of white buff tape
  • whether bins are emptied periodically during the day,
  • brooms placed in allocated areas
  • Warehouse floor constantly clear with no empty boxes, plastic, etc.
  • Conduct continuous QC checks throughout the day on invoicing, the quality of packaging, and the handover of orders.
  • Conduct daily QC checks on two random orders (multiple lines) after invoicing and packaging, as well as the overall QC of orders being handed over.
  • Check multiple contents in a box, product categories of the products in the box, as well as the maximum product or volume in a box.
  • Reprint the case label stickers and invoices, only once authorised by the Warehouse Manager. Reasons must be provided upon completion of an investigation.
  • Control and manage the pallets as per the SOP. Consol and Chep pallets must be available every Monday morning.
  • Follow the SLA on Collections, Local Deliveries and Long-Distance Orders.
  • Daily Communication via e-mail with Value in-house on combining of customer orders, and to confirm the ETA on priority orders.
  • Constant communication with Inventory on surplus stock against invoice and signing of once investigated.
  • Conduct regular checks in the picking bins, as maintained by the Pickers daily (retrieval of Consol pallets, damages recoded and removed, general bin maintenance).
  • Daily ongoing communication between Supervisor and subordinates to positively motivate them.
  • Ongoing training and revising on procedures and policies. Once every 3 months a practical and theoretical training session must be done and recorded.
  • You may be required to work in other areas due to operational requirements.
  • Conduct a daily "Green Area" meeting with the staff to discuss the prior days progress, and the days tasks required, and lowest performers on Picking and Invoicing
  • Communicate clearly and actively throughout the business units with the relevant
  • stakeholders (Dispatch, Security and Management).
  • Define or redefine key performance indicators for every role in the Department to measure effectiveness of the Departments operations.
  • Provide reasons to the Warehouse Manager on non-performance.
  • Interview, select, coach, train, manage, and appraise the performance of the staff.
  • Problem solving, negotiate, and address staff challenges in the Department.
  • Continuously evaluate the Departments operations and highlight potential problems or opportunities identified in the operation.
  • Cultivate a culture of teamwork in the Department.
  • Manage and maintain staff performance levels to ensure KPI and SLAs are met continuously.
  • Institute disciplinary proceedings with the HR Department on any Employee who fails to adhere to the KPIs, JDs and any other documented regulations or measures.
  • Escalate any incidents pertaining to the Department that require the involvement and attention of the Warehouse Manager and/or senior management.
  • Carry out any other duties as maybe required by the Warehouse Manager and/or company
  • Senior Management time to time.
  • Check all staffs clothing to ensure that they are dressed in the appropriate PPE issued to them
  • Supervise the procedure of special packing requirements by specific Customers, such as:

  • Pallet Handling & Storage:
    • Ensure pallet capture and storage/handling process is followed.
    • Cold and ambient pallets are stored in the correct locations and are in line with our clients SOPs.
    • Pallet movement information is recorded in accordance with our clients SOPs.
    • Operational control and management of the Cold and Ambient Storage areas.
  • Equipment:
    • Ensure Forklift charging and maintenance are conducted, including load testing and diesel.
    • Ensure that generator servicing and maintenance are done as required and that diesel is always filled.
    • Conduct facility electricity readings and keep records of meters.
  • Dispatch:
    • Manage and control the picking and dispatching of all goods out of the facility.
    • Ensure all goods picked and dispatched are done according to the prescribed process.
    • Responsible for ensuring load-outs and turnaround times are adhered to.
    • Ensure customer queries are resolved within 24 hours of delivery.
  • Logistics:
    • Manage inbound and outbound logistics aligned with budget, SLAs, and slot times.
    • Manage, plan, and control the daily logistics for all business.
      • The daily inbound truck and logistics plan will be completed and communicated to the management team for all farm, market, and other raw material planning.
      • Farm/Grower logistics routes and planning are done with Commercial.
      • Outbound trucks and logistics planning to be in line with Slot times and budgeted transport rates.
      • A daily outbound truck and logistics plan, based on order volumes and the most effective truck utilisation/efficiencies, is to be completed and communicated to the management team.
      • Truck/logistics planning over weekends to be completed every Friday for distribution to weekend manager(s).
    • Customer and internal agreed slot times to be adhered to daily.
    • Communicate our clients' operations' "rules" and procedures to customers/transporters regularly.
    • Drivers and assistants to have clear weekly plan and schedule, which is shared with management.
  • Facility & Security:
    • Manage the yard and waste area, including, but not limited to waste bins, recycling, pallets, farm crates, and bins.
  • Staff:
    • Build and manage a strong team of skilled staff.
    • Ensure staff are trained, equipped, and capable of doing the job required.
    • Ensure the number of staff in each area matches the demands of the business.
    • Manage staff performance and discipline.
    • Manage leave and time schedules according to HR procedures.
    • Ensure all staff has the required PPE and conforms to all customer requirements.
  • Operations Budget:
    • Manage Operations in line with the Budget.
  • General:
    • Manage processes and procedures effectively in the division.
    • Be visible and manage the teams in the receiving, cold stores, and dispatch areas.
    • Effectively manage the flow of products through the facility.
    • Inspect the yard and waste areas daily, checking for possible loss opportunities, cleanliness risks, and/or food safety risks.
    • Forklift inspection and maintenance checks to avoid failures.
    • Electric and manual pallet jacks: daily inspections and preventative maintenance.

The Role

To enable the vision, I provide exceptional administrative support to the site, enabling operational teams to focus on delivering a safe, efficient and effective supply chain.

  • I work across the business to provide my site teams with what they need to focus on their operation.

  • I prepare operational performance reports.

  • I collaborate with internal stakeholders to support a variety of initiatives for the team on site.
  • I meet the needs of a global retail business by working outside standard operating hours when necessary.
  • I follow the COG way and am an ambassador for our Brand and Products.
  • I manage my HPAs to deliver the Group strategy, and act within our Frameworks
  • I must have proven Admin and Procurement experience
    The role will be an onsite position working from DC Campus 5 days a week including Weekends and Public Holidays when DC is working over peak period.
