At Compass Medical Waste, we are dedicated to providing an efficient and reliable distribution service. We're looking for a proactive and organized Distribution Supervisor to join our dynamic team. This is an exciting opportunity to play a key role in managing our transport fleet while ensuring compliance and operational excellence.

Key Responsibilities

Transport Fleet Management :

  • Ensure adequate transport availability and arrange additional staff and vehicles when necessary.
  • Prepare servicing schedules and book Saturday services where possible.
  • Conduct monthly tyre surveys and action results.
  • Verify that all vehicles are roadworthy through the use of Vehicle Checklists.
  • Manage quarterly tail lift and spill kit services.
  • Ensure each vehicle has 2 locks in place and that drivers utilize them.

  • Analyze routes for efficiency and recommend improvements.
  • Monitor actual vs. planned route times and adjust as needed.

Driver and Load Assistant Oversight :

  • Enforce compliance with service conditions related to working hours, leave, uniforms, and disciplinary codes.
  • Ensure all collection teams have emergency action plans and necessary resources.
  • Coordinate annual Hazchem training and timely license renewals.
  • Hold bi-monthly staff meetings to address trends and provide training.

Vehicle Monitoring :

  • Ensure completion of daily vehicle check sheets by Nightshift Supervisors.
  • Address any reported defects in a timely manner.

Reporting :

  • Report and investigate all non-conformances, incidents, and accidents per SOP.
  • Monitor delivery and tonnage reports, ensuring effective communication with team members.

Control Registers :

  • Maintain relevant control registers and ensure accurate updates from Nightshift teams.

Hygiene and Compliance :

  • Ensure adherence to health, safety, and environmental regulations and company procedures.
  • Guarantee that the team has proper PPE and that vehicles are sanitized.

Route Planning Support :

  • Assist with route planning in the absence of designated planners.

Casual Staff Management :

    • Delivery due Dates
    • Priority requests
    • Graphical location of delivery address

  • Constantly correspond with the Dispatch Area on orders released for delivery to customers.
  • Monitor the wave and pick report to ensure that 90% of all orders are completed before the end of day.
  • Monitor the customer orders to ensure that no order is left incomplete on the Invoicing tables, if there are minimal items still to be invoices, before the end of day.
  • All completed customer orders must be handed over to the Dispatch area, prior to the agreed cut‑off period, i.e., one daily only, online orders, etc.
  • Monitor all customer order issued for picking to ensure that the orders are completed and invoiced before the end of day.
  • Oversee the scanning of customer orders pertaining to non‑pack size products by following the scanning procedure.
  • Monitor the picking, invoicing and handover to Security and ensure that the signatures are done with the different allocated pen colours:
    • Invoice
    • Pickers

    • Receiving
  • Monitor the time periods a Picker takes to complete an order. Address any concerns with the Picker.
  • Investigate any shortages on the picking slip and hand it over to the Inventory Clerk for updates and approval.
  • Conduct two random checks on orders daily (multiple lines) on reverse picking, and apply corrective action where required.
  • Control and manage the push system (not pull) from the Pickers to the Invoicing tables.
  • Control and manage the handover by of the stock by the Pickers to the Invoicing tables per the various geographical regions.
  • Control and maintain the correct Employee head count at Invoicing and the Transfer Pullers.
  • Conduct regular bin maintenance and identify problems in bins, such as:
    • one item in two different boxes
    • damaged boxes
    • damaged product
    • purpose of white buff tape
    • whether bins are emptied periodically during the day,
    • brooms placed in allocated areas
    • Warehouse floor constantly clear with no empty boxes, plastic, etc.
  • Conduct continuous QC checks throughout the day on invoicing, the quality of packaging, and the handover of orders.
  • Conduct daily QC checks on two random orders (multiple lines) after invoicing and packaging, as well as the overall QC of orders being handed over.
  • Check multiple contents in a box, product categories of the products in the box, as well as the maximum product or volume in a box.
  • Reprint the case label stickers and invoices, only once authorised by the Warehouse Manager. Reasons must be provided upon completion of an investigation.
  • Control and manage the pallets as per the SOP. Consol and Chep pallets must be available every Monday morning.
  • Follow the SLA on Collections, Local Deliveries and Long‑Distance Orders.
  • Daily Communication via e‑mail with Value in‑house on combining of customer orders, and to confirm the ETA on priority orders.
  • Constant communication with Inventory on surplus stock against invoice and signing of once investigated.
  • Conduct regular checks in the picking bins, as maintained by the Pickers daily (retrieval of Consol pallets, damages recoded and removed, general bin maintenance).
  • Daily ongoing communication between Supervisor and subordinates to positively motivate them.
  • Ongoing training and revising on procedures and policies. Once every 3 months a practical and theoretical training session must be done and recorded.

Rather than managing daily delivery operations directly, the Distribution Manager provides leadership, structure, and support to the Controllers, ensuring that they and their teams are aligned with company standards, service levels, and operational goals.

You will also be responsible for delivering timely, accurate, and actionable insights and reporting to support strategic decision‑making across the business.

Key Responsibilities Team Leadership & Oversight
  • Lead, guide and support the team of Controllers who are responsible for the day‑to‑day management of all route and resource planning and implementation, dispatch and delivery processes.
  • Ensure clear role definition, accountability, and performance expectations across the team.
  • Conduct regular check‑ins with Controllers to review operations, address challenges, and support continuous improvement.
Operational Performance & Service Levels
  • Ensure that distribution operations consistently meet agreed service levels (on‑time, in‑full, accurate delivery, accepted back in yard (B.I.Y)).
  • Monitor distribution KPIs (delivery success rate, route efficiency, cost per delivery, fuel usage, etc.) through reporting from Controllers.
  • Drive a proactive approach to resolving delivery issues and improving customer satisfaction.
Planning & Scheduling
  • Oversee the planning and optimization of daily delivery routes and vehicle utilisation, as executed by the Controllers.
  • Ensure efficient alignment between warehouse readiness and outbound delivery planning.
Fleet & Compliance
  • Oversee and ensure that vehicle maintenance, roadworthiness, and compliance with all safety and licensing regulations are effectively managed by the Controllers.
  • Approve and oversee fleet maintenance and cleaning schedules managed by Controllers.
Cost & Resource Management
  • Monitor and control distribution‑related costs including fuel, overtime, vehicle repairs, and route inefficiencies.
  • Identify areas for cost savings and improved productivity in collaboration with Controllers.
Health, Safety & Risk Management
  • Promote and enforce a culture of safety across the distribution operation.
  • Ensure Controllers implement and maintain safe loading, driving, and offloading practices in line with company policies and legal standards.
Staff Management & Development
  • Oversee distribution staffing levels, shift planning, and leave management through Controllers.
  • Support the training, development, and performance management of all distribution staff.
  • Foster team morale and a high‑performance culture within the distribution department.
Continuous Improvement
  • Lead initiatives to improve planning, dispatch and distribution efficiency, reduce costs, and enhance customer satisfaction.
  • Evaluate and implement technology, process changes, or tools to improve the distribution operation.
Reporting Performance & KPI Reporting
  • Track and report on key distribution metrics including B.I.Y ,delivery lead times and order fulfilment rates
  • Prepare and present weekly and monthly performance dashboards to senior leadership.
  • Highlight operational bottlenecks and propose data‑driven solutions.
Cost & Budget Oversight
  • Monitor distribution‑related expenses and report on budget adherence.
  • Support finance teams with cost breakdowns, variance analysis, and forecasting.
  • Identify opportunities for cost optimization and efficiency improvements.
Compliance & Risk Reporting
  • Ensure distribution activities comply with internal policies and external regulations.
  • Report on safety incidents, audit findings, and risk mitigation efforts.
  • Maintain documentation required for internal and external audits.
Strategic & Executive Communication
  • Deliver high‑level summaries and insights to executive stakeholders.
  • Contribute to strategic planning by reporting on capacity, infrastructure, and scalability.
  • Align distribution KPIs with broader business goals and report progress.
Technology & Systems Reporting
  • Ensure accurate data flow from WMS, ERP, and logistics platforms.
  • Report on system performance, integration issues, and digital initiatives.
  • Support IT and operations teams with data validation and troubleshooting
