Supply Chain Manager

Our client, a leading international Chemical Manufacturing company based in Durban, is looking to fill the position of Supply Chain Manager.

Purpose of the Role:

The Supply Chain Manager will coordinate all supply chain activities for the site in close collaboration with Group Procurement and Group S&OP functions. Covering site purchasing, scheduling, warehousing and distribution, the Supply Chain Manager is responsible for setting out the site (local) supply chain strategy; supporting the negotiation of specific raw material contracts with vendors and ensuring smooth supply of all raw materials to the site in conjunction with group purchasing. This role ensures that the plants are utilized effectively through sound scheduling practices in conjunction with the group demand planners; management of inventory to ensure that working capital is used effectively whilst ensuring customer supply; manage warehousing and distribution as well as to ensure finished goods are shipped safely and on time. The Supply Chain Manager will be responsible for leading the company’s supply chain B-BBEE strategy and will manage all site supply chain KPIs.

Key Responsibilities:

  • Liaison with Group Procurement and Group S&OP to set site supply chain strategy.
  • Translate the site supply chain strategy into priorities for action by the supply chain team.
  • Define and adapt action plans according to priorities, distribute the work and allocate resources within one or more teams.
  • Identification of improvement areas and integration of business system processes with the group ERP systems.
  • Establish inventory management/replenishment strategies to drive improved customer service levels while minimizing inventory investment.
  • Liaise with group S&OP to understand future plant demand and feed this into the site strategic plan for capacity needs.
  • Work closely with group purchasing to set site purchasing strategy for common materials.
  • Participate in the evaluation and selection process of suppliers, subcontractors and service providers and assess performance through analysis of results audits, benchmarks etc.
  • Ensure site scheduling meets and utilizes the plant assets effectively and ensures customer supply in conjunction with group S&OP demand planners.
  • Coordination of weekly ‘order book’ management/meetings to line up the production schedule with open orders and facilitating short term fulfillment.
  • Deal with any RM or FG supply issues to resolve and expedite supply.
  • Manage domestic and export shipments to customers and sister-sites.
  • Overall accountability of inventory, warehousing, and distribution activities of four major stock holding points.
  • Accountable for all site supply chain and departmental SHE KPIs and setting out and driving improvement plans as required.
  • Provides local feed into the Group S&OP process and is the owner of a monthly S&OP site meeting.
  • Coordinate with tollers to ensure efficient supply of all tolled manufactured products.
  • Operate within all appropriate HSE legislations and ISO 9000 procedures.
  • Work closely with sales to link forecast to purchasing and inventory management.
  • Ability to act as a project leader and take control of situations holding together multi-disciplined teams to achieve results.
  • Ensure that the supply chain strategy is aligned to the B-BBEE strategy for the company.

Qualifications and Experience:

  • Grade 12 Senior Certificate
  • A degree or equivalent qualification (including experience) in Supply Chain Management and/or Logistics.
  • Chartered Membership of the Institute of Logistics & Transport or Chartered Institute of Procurement and Supply (advantageous)
  • MCIPS (Level 5) or equivalent (advantageous)
  • 8 - 15 years senior experience in supply chain management
  • Demonstrable experience of working within a best practice and implementation
  • At least one year’s experience of working in the chemical industry (advantageous)
  • Demonstrable experience of Warehouse Management Systems (advantageous)

Responsibilities:

Financial metrics/operational duties:

• Effective management of stock levels (to meet customer orders timeously, holding of appropriate and relevant stock items) – This needs to be regularly communicated to the buying department.

• Creation & review of daily, weekly, monthly reports.

• Awareness of Hollywood second hand stock, to ensure no unnecessary spending.

• Track business expenses and income to ensure all is correct prior to finalizing month end.

• Oversee monthly/ weekly reports to identify slow moving & redundant stock, push to increase sales of these items and then deactivate stock code to avoid future purchases.

• Oversee Disposal and Write-off of inventory.

• Oversee the procurement department and all forms of negotiating with Suppliers.

• Monitoring customer trends and informing buying of anomalies as they occur.

• Oversee customers buying trend analysis (in conjunction with the sales team) to substantiate correct stock holding levels but taking into account the company’s working capital requirements.

• Establishing, implementing and monitoring internal controls and processes.

• Identifying weakness accompanied timeous corrective action.

• Management of operating costs.

• Oversee external Sales Reps and Stock Controllers.

• Ensuring effective communication across all departments

• Effective management of multi-warehouse stock levels using the multi-warehouse system and monitoring regional dispatches to inform customers of ETA’s.

• Ensure BOM is being used were applicable as to ensure all costs are highlighted and correct Markup is issued to customers.

• Satisfactory meeting of customer deadlines as per agreed SLA’s.

• Creation of reorder levels and regular updates to these based on the change in customer requirements such that the reorder levels remain relevant.

• Review and approve the reconciliation of what has been ordered/delivered and what has been invoiced to the customer to ensure completeness of the billings.

• Efficient interaction with the sales team.

• Oversee all procurement (local and international) negotiate for the best shipping terms and price.

• Oversee all movement on Pastel through the National Warehouse Administrator

• Ensure all customers requirement and deadlines are met through managing the Warehouse Supervisor and Team/s

People:

• Creation and maintenance of roles and job descriptions and KPIs.

• Performance measuring and management.

• Enforcing ethical, honest, transparent, fair work environment.

• Sourcing of training as and when needed for staff.

Job Purpose

This role will manage P&L and Balance sheet aspects relating to Business Waste, SCI and Stock reporting. The role executes both performance management and controls and governance activities such as budgeting/forecasting and tracking progress against forecasts in P&Ls, stock controls, CAPEX and audit management.

The role requires the candidate to build and manage relationships with key stakeholders in the Supply Chain organisation and wider Unilever business and at third parties.

What Will Your Main Responsibilities Be

  • Ensure adequate and frequent cost controls (at the appropriate level of detail) to ensure accuracy of financial records and drive accountability in financial spend.
  • Ensure robust controls over forecasting process; refreshing inputs in line with business forecasting rhythm, obtaining inputs from accountable cost center owners in the relevant level of detail to obtain clarity of spend and association of spend to forecast business activities.
  • Driving the control and governance agenda at supply chain sites for operational teams to understand that controls are embedded in all business processes to protect business value and safeguard assets and business performance. Highlighting that controls are everyone’s responsibility and holding team members accountable accordingly.
  • Maintain balance sheet hygiene and integrity of income statement by ensuring accuracy of transactions (value and recognition timing) and correct classification of items given ageing and supporting documentation.
  • Drive delivery of timely and accurate reporting requirements
  • Ensure compliance with Unilever Standard Chart of Accounts (SCOA)
  • Assist in execution of audit requests; internal and external audits and SOX testing.
  • Ensure journals, write offs and provisions are done in accordance with Schedule of Authority.
  • Observe and support in execution of stock counts.

Drive a cost competitive and agile Supply Chain organisation

  • Deliver net productivity agenda (SC Controllable costs) in line with business targets.
  • Provide insightful analytics on cost drivers to enable fast decision making on levers for cost reduction.
  • Deliver the business waste reduction programme
  • Lead continuous improvement and automation initiatives in Supply Chain Finance.

Manage stock flows and balances.

  • Drive annual budget process in accordance with global product costing guidelines
  • Drive forecast process in line with S&OP principles
  • Variance analysis of budget/forecast over and under spends done weekly/monthly.
  • Maintain solid understanding of volume movements to ensure accurate forecasting of costs and allocation to P&L line items
  • Manage stock provisions in various locations on site and off site at third parties.
  • Stock and working capital reporting

Steer Business Performance and provide Decision support

  • Report on performance versus business targets, highlighting gaps to target for fast decision making.
  • Drive accurate forecasting to enable decision making across the business on resource allocation to optimise results
  • Guide and support the delivery of key projects in the pipeline
  • Drive accountability for impact and outcome.

  • Financial Acct qualification or good progress toward CIMA OR a CA advantageous

Duties and Responsibilities: Manage the Industrial Planner team, taking care of the adequacy between Demand (firm & forecast) and Resources (Manufacturing & Procurement) to reach customers QCD (Quality, Cost, Delivery) while optimizing site resources (people, machines & cash).
Key accountabilities:

  • Make sure Industrial Planning Golden rules & processes are applied.
  • Be a key contributor to reach the Industrial Planning KPIs targets.
  • Contribute to the APSYS roadmap related actions regarding industrial planning topics.
  • Make sure that demand management & scheduling (firm & forecast) is done in the Core Planning Tools and/or ERP.
  • Apply & ensure Environment, Health and Safety (EHS) rules are applied when moving in workshops.

Team management:
  • Allocate necessary resources to Industrial planning.
  • Manage the team of industrial planners.
  • Ensure the competencies ramp-up of the industrial planners.

Reporting & Communication:
  • Manage relationship with Project Team.
  • Ensure S&OP instance decisions are reflected and communicated internally/externally.
  • Report WIP, Finished Goods, Manufacturing Throughput, and Production Performance KPIs.

Support industrial planning execution:
  • Support Industrial Planner/Master Production Schedulers.
  • Give visibility on industrial planning situation, alert on delays and propose solutions.
  • Provide data for the S&OP process and ensure the latest update on ERP/Core Planning Tool.

Main Required Competences:
  • NQF level 8 in Supply Chain/Industrial Engineering - Mandatory.
  • Experience in industrial planning - mandatory.
  • Team management experience - desirable.
  • Scheduling basics knowledge.

Competencies & Skills:
  • Good knowledge of Core Planning Tool, ERP, and Excel.
  • Fluent in English with good communication skills.
  • Innovative, pro-active, positive, agile, and customer-oriented.
  • Autonomous with a sense of urgency and ability to propose innovations.
