We are seeking a hands-on, proactive, and organised Facilities Maintenance Supervisor to take ownership of the upkeep and maintenance of our office facilities. The ideal candidate will be responsible for managing day-to-day maintenance operations, coordinating with contractors and suppliers, and reporting on project progress and building upkeep. This is a critical role ensuring our working environment remains safe, functional, and well-maintained.
This position requires strong technical know-how, problem-solving ability, and the confidence to work independently, as well as collaborate with various departments. A valid driver's license and a minimum of one year’s driving experience is non-negotiable.
Key Responsibilities- Facilities Maintenance Operations
- Conduct general repairs and maintenance, including carpentry, sanding, painting, drilling, minor plumbing and electrical work.
- Assemble, install and repair office furniture, fixtures, and fittings.
- Perform preventative maintenance inspections and maintain a regular maintenance schedule across the premises.
- Identify and escalate major maintenance requirements to management while actioning those within scope.
- Maintain a tidy and well-stocked tools and equipment inventory; request restocking as necessary.
- Assist with office reconfigurations, furniture moves, and setup of new areas as needed.
- Supplier and Contractor Coordination
- Liaise with external contractors and service providers to arrange quotes, schedule work, and ensure quality service delivery.
- Coordinate supplier collections and deliveries, ensuring materials or stock are received on time and handled appropriately.
- Maintain effective communication with suppliers and service providers for ongoing maintenance contracts or project work.
- Administrative & Reporting Duties
- Keep detailed maintenance logs, update spreadsheets to track maintenance activities, costs, and asset servicing.
- Report on project progress, maintenance trends, and outstanding tasks to Facilities Management.
- Support logistics with occasional driving errands as needed.
- Proven experience in a maintenance, building services, or handyman role (minimum 2–3 years preferred).
- Working knowledge of basic plumbing, electrical and carpentry repairs.
- Strong coordination, organisational and time management skills.
- Proficient in using basic Microsoft Excel or Google Sheets for task tracking and reporting.
- Ability to manage multiple suppliers and external contractors.
- Hands-on, proactive, and able to work independently with minimal supervision.
- Physically fit and capable of performing manual tasks and lifting heavy objects.
- Valid Code 8 Driver’s License and a minimum of 1 year’s active driving experience.

Plant Workshop Administrator
A well-established civil engineering contractor in the Northern Suburbs is seeking an experienced Plant Workshop Administrator to oversee the administrative and operational coordination of plant hire activities. This role is vital to the smooth running of our plant and fleet support services, with responsibilities spanning payroll submissions, diesel usage monitoring, plant hire costing, and equipment compliance. The successful candidate will bring proven experience in plant operations and a strong eye for financial and operational detail.
Experience & Qualifications
- 3–5 years’ experience in plant hire administration, fleet coordination or plant workshop support.
- Proficiency in plant costing, fuel tracking, and payroll data handling.
- Familiarity with internal hire reporting and construction-based operations.
- Competent in Microsoft Excel and administrative systems.
Payroll & Financial Administration
- Collect operator timesheets and calculate allowance payments for payroll processing.
- Liaise with HR and Finance to resolve discrepancies and respond to wage-related queries.
- Log and manage insurance claims for plant and vehicle, ensuring prompt resolution.
- Capture daily plant costs and diesel usage from site logs and operator checklists.
- Maintain up-to-date Excel records for monthly reporting and submit cost data to accounts.
- Support cost-control initiatives by highlighting trends and variances in fuel consumption.
- Monitor and maintain stock levels of workshop materials, documentation books, and PPE.
- Obtain quotes, place orders, and track deliveries to avoid operational delays.
- Keep clear inventory records to support audit readiness and procurement accuracy.
- Arrange travel accommodation for plant operators working away from Cape Town, ensuring timely bookings and clear communication with site teams.
- Maintain accurate operator files, including IDs, qualifications, and contracts.
- Track upcoming contract expiries and assist with timely renewals.
- Support onboarding and coordinate performance record-keeping in line with internal procedures.
- Prepare and submit monthly plant hire and fuel usage reports by required deadlines.
- Provide data to the accounts team for invoicing accuracy and internal charge validation.
- Respond to internal queries and maintain efficient filing (both digital and hard copy).
- Priorities daily tasks to support the Workshop Manager and supervisors across the departments.
- Solid understanding of plant hire and fleet operations.
- High attention to detail, particularly in financial and cost-related tasks.
- Skilled in Microsoft Office tools, especially Excel.
- Able to manage multiple priorities calmly and methodically.

Purpose:
- Conduct maintenance activities on equipment and facilities at the respective site to ensure efficiency, quality, cost, and any specific performance KPI's requirements are achieved.
- Perform administrative tasks required to provide the necessary data and information to the business.
- Provide input to support continuous improvement within the production and support departments.
- Key Responsibilities:
1. Manage maintenance activities and plans:
- Support implementation of the site's maintenance strategy and implement continuous improvement techniques.
- Proactively identify plant issues before they affect production downtime.
- Request quotes from suppliers and contractors when required, for maintenance planned work.
- Conduct maintenance on equipment and facilities to enable the site to achieve key objectives of safety, quality, productivity, cost, and service.
2. Resource planning:
- Assigning of equipment resources needed to meet the various maintenance plans
- Reviewing maintenance strategies in CMMS.
- Conduct routine maintenance checks of plant, equipment, and machinery as per DMS system.
- Liaise with external contractors regarding work plans.
- Issuing of permits to work for contractors when requested to do so.
- Liaise with internal customers regarding planned maintenance, duration of breakdowns, or corrective works.
- Develop maintenance and machine operating SOPs in conjunction with related departments.
- Assist internal departments with machine operator training.
- Conduct scheduled tool inspections on workshop and hand tools.
- Perform maintenance administrative duties as and when required.
3. Supervision of subordinates:
- Provide technical support to the site's maintenance team, including apprentices on-site.
- Ensure work completed is of a high standard.
- Identification and communication of training needs for subordinates.
- Mentor apprentices and sign off logbooks.
4. Apply best practice data capturing:
- Ensure the DMS data and records are accurately recorded and updated when required.
- Review reports with a view to improving performance.
- Generate PO requests in DMS.
- Conduct a monthly stock take to maintain critical parts levels per machine.
- Required to perform ad-hoc data capturing from time to time.
- Provide input to assist with continuously improving our reports and procedures
Required Knowledge and Skills:
- Basic knowledge in HVAC, plumbing, and electrical systems
- Familiar with OSHA and other relevant safety regulations
- Proficient in the appropriate handling of hazmat
- Proficient with a wide range of repair equipment, including power tools
- Excellent oral and written communication
- Computer literate and proficient with the MS Office suite (MS Word, MS Excel, MS Outlook)
- Able to lift and carry up to 25kgs
Required Prior Learning and Experience:
- Qualified Artisan: Millwright or Fitter
- Grade 12 qualification
Technical Experience in:
Mechanical Systems and Repair
- Pneumatic Systems
