We are seeking a highly organized and detail-oriented Legal Assistant to join our law firm. The ideal candidate will play a critical role in supporting attorneys and ensuring the smooth operation of our daily legal processes. This position requires strong communication skills, proficiency with case management systems, and the ability to manage multiple tasks in a fast-paced legal environment.

Qualifications:

  • Prior experience as a legal debt assistant or in a legal administrative role (1+ years preferred).
  • With experience working at a law firm in the U.S.A. in the state of Florida.
  • Familiarity with electronic court filing systems and legal document formatting.
  • Strong organizational and time management skills with attention to detail.
  • Proficiency in Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Professional demeanor and ability to interact effectively with diverse individuals.

Preferred Skills:

  • Knowledge of Salesforce.
  • Bilingual in Spanish capabilities a plus.
  • Experience in debt collection.

Key Responsibilities:

  • File Management:
    • Open electronic case files using the law firm's case management system (Litify built on Salesforce). Fill in relevant information in the case file. Merge templated documents in the case system for senior assistant review. Review electronic record of lawsuit (docket) for purposes of downloading documents and saving documents to case file. Update the case management system for upcoming Court hearing files located on the docket.
    • Ensure accurate data entry and timely updates in the firm's case management system.
  • Document Preparation and Filing:
    • Draft legal documents including letters, pleadings, and discovery materials for senior assistant and/or Attorney review.
    • File documents electronically through the applicable Florida state court filing portals.
    • Review filings for accuracy, format compliance, and completeness.
  • Case Management and Reporting:
    • Pull weekly reports from the firm's case management system for meetings with the Managing Partner.
  • Communication and Coordination:
    • Communicate professionally with Attorneys, Judges, Court staff, and Clients.
    • Serve as a liaison between Attorney, Clients, and external parties as needed.
  • Task Management:
    • Address and complete daily assignments from Attorneys and team members.
    • Maintain a task list and ensure timely follow-through on all action items.
  • Client Support:
    • Prepare clients for mediations by providing and collecting necessary information and answering non-legal questions.
    • Provide compassionate, clear, and professional support throughout the legal process.

We are now seeking a motivated and detail-oriented Assistant Property Manager (Remote) to support our project management and tribunal/court casework. Role Overview

This role has two main areas of focus:

  1. Supporting property management projects through effective organisation, administration, and task tracking.
  2. Coordinating tribunal and court matters, ensuring deadlines are met, bundles prepared, and cases managed smoothly.

You will work closely with a Senior Property Manager (Projects) in the UK, while also liaising with other team members to ensure efficient case handling and project delivery.

Key Responsibilities
  • Provide day-to-day administrative support to the Senior Property Manager.
  • Maintain and update project trackers and ticketing systems.
  • Attend video calls, take minutes, and prepare action reports.
  • Assist with scheduling, documentation, and follow-up tasks.
  • Collate, organise, and file project-related reports and communications.
  • Monitor deadlines and proactively schedule tasks to prevent delays.
  • Proactively identify issues or delays and propose solutions.
  • Handle urgent issues when required and liaise with senior management if necessary.
  • Confidently handle calls with contractors, residents, and stakeholders.
  • Create and manage online trackers for different projects.
  • Monitor tribunal and court cases, maintaining an accurate tracker of deadlines and actions.
  • Flag upcoming actions and ensure follow-up by the correct team members.
  • Assist in preparing tribunal bundles, collating evidence and ensuring accuracy of documents.
  • Ensure confidentiality and discretion when handling legal matters and sensitive information.
  • Support tribunal/court meetings, including scheduling and virtual attendance.
  • Provide general administrative support to legal and compliance teams.
Requirements
  • Based in the Western Cape, South Africa, with a stable internet connection suitable for video calls and remote work.
  • Previous experience in an administrative, assistant, or coordination role (property, legal, or project management background is desirable).
  • Excellent organisational skills and the ability to manage multiple deadlines.
  • Strong written and verbal communication skills in English.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and confident with online collaboration tools.
  • Proactive, detail-oriented, and able to work independently while maintaining clear communication with team members across multiple locations.
Desirable
  • Experience in property management, tribunals, or court processes.

Salary and Benefits
  • R20,000 – R23,000 per month (depending on experience)
  • 15 days annual leave (plus South African public holidays)
