Job Purpose:
- To provide comprehensive, effective and efficient administrative support and coordination to the UPD HR team and the business.
Job Objectives:
- Administrative coordination, updating and timeous submission of all HR related documentation
- To file and maintain all HR relevant documentation for future reference
- To ensure superior customer service through the resolution of all HR queries
- To capture and maintain relevant HR data timeously into relevant systems, ensuring that the information is accurate
- To produce accurate and timeous HR reports to support reporting requirements
- To assist with any day to day or ad-hoc administrative tasks and projects
Qualifications and Experience:

About the Role
Reporting to the HR Manager, the HR Administrator provides administrative support to the HR department, ensuring the smooth operation of HR processes and functions. The role is primarily focused on maintaining HR records, scheduling and coordinating meetings, managing queries, processing paperwork, and assisting with daily HR activities.
Responsibilities include but not limited to:
HR Administration:
- Maintain accurate employee records and HR databases, ensuring all data is up to date.
- Prepare and process HR documents, including letters, and forms.
- Manage and track time-off requests.
- Update the BambooHR system.
- Update contracts and draft letters.
Recruitment Support:
- Assist with posting job advertisements, schedule interviews, and follow up with candidates.
- Complete background checks for successful candidates.
- Prepare and distribute recruitment-related correspondence and documentation.
Onboarding & Offboarding:
- Schedule onboarding activities.
- Organise employee logins and coordinate equipment for new staff.
- Manage all new employee documentation and filing.
- Assist with probation documents.
- Coordinate the exit process, including organizing exit interviews and handling administrative offboarding tasks, including the retrieval of company property and system access.
Learning & Development:
- Maintain training records and provide logistical support for learning initiatives.
Payroll & Benefits Administration:
- Provide support when required with payroll preparation, including updating employee records and processing changes.
- Complete UIF documentation when required.
Employee Wellness:
- Support the HR team with wellness activities.
- Handle EAP platform queries.
- Organise flowers and cards related to specific occasions and within pre-determined budgets.
HR Reporting & Compliance:
- Generate HR reports as needed and assist in preparing compliance documentation.
- Ensure employee files are compliant with legal and company requirements.
General Administrative Duties:
- Provide administrative support to the HR team, including scheduling meetings, taking minutes, and handling correspondence.
- Manage the HR department’s supplies and resources.
- Responding to HR or system queries.
- Processing supplier invoices with finance.
- Support the coordination of employee engagement initiatives and events.
- Willingness to assist team members when required.
Required Qualifications and Experience
- Relevant diploma/degree in Human Resources.
- At least 3 years’ HR experience in a similar role.
- Advanced computer literacy and experience on HR systems (BambooHR is beneficial).
- Excellent attention to detail.
- Ability to juggle many priorities.
- Team player with strong interpersonal skills.
- Problem-solving skills.
- Ability to build good working relationships.
- Excellent communication skills (verbal and written)
