ROLE OVERVIEWWe are seeking an experienced and organized property administration clerk to join our team. The successful candidate will provide support and assistance to the Property Administration Team in all aspects of the day-to-day administration of the rental portfolio. This is an entry-level position where the prospective candidate will be responsible for his / her own portfolio of buildings, administration of which will encompass the full function from lease onboarding to reconciling cash books.
RESPONSIBILITIESLEASING ADMINISTRATION
- Ensure accurate leasing administration, billing, and timely processing of receipts / refunds.
- Maintain tenant files.
- Ensure billing corresponds to lease.
- Allocate tenant receipts.
- Investigate all un-allocated receipts and clear against tenant accounts.
- Process corrections of misallocations and unidentified receipts on a daily basis.
- Ensure invoice / statements are issued timeously and rental and accruals and receipts are accurate at all times.
- Ensure that pre-billing reports are checked for accuracy and approved for the next rent roll.
- Ad-hoc invoicing
- Manage processing of refunds when required.
CUSTOMER LIAISON
- Proactively manages tenant collections & ensures excellent customer service is delivered.
- Maintain good relationships with all tenants in portfolio.
- Collection of monthly rentals due for portfolio.
- Reconciling of accounts.
- Following up daily, weekly, and monthly to ensure that debtors adhere to terms of payment.
- Ensure that queries on any outstanding balances and / or other issues are attended to by the relevant team leader and follow-up on balance of payment where required.
- Diarize payment arrangements for all outstanding balances and follow up telephonically on the agreed date.
- Proactively engage with tenants, creating and maintaining professional relationships though structured communication and meetings.
- Handling of tenant queries / complaints ensuring customer service SLAs are always adhered to.
- Effective relationship management ensuring that accounts are paid on time.
ACCOUNTS PAYABLE ADMINISTRATION
- Ensures accurate accounts payable and cashbook processing for portfolio.
- Reconciles processed work by verifying entries and comparing system reports to balances.
- Record account expenses by cost centre and invoice details.
- Ensuring all vendor paperwork and accounts are up to date.
- Maintain accounts by verifying and posting account transactions.
- Full cashbook function including :
- Reconciliations between bank and ledger balances.
- Review cashbook to ensure there are no duplicated items.
- Following-up and clearing of reconciling items.
- Grade 12
- Diploma in Finance / Accounting or Public Administration
- SAGE Experience
- MDA Experience
- Ability to work as part of a team.
- Friendly, helpful, and service orientated.

Job DescriptionResponsible for performing a variety of skilled technical duties and semi-skilled labor in the operation, maintenance, repair, and construction of water systems & wastewater collection systems, including water production and distribution systems, metering, pressure regulators, and customer service response.
Key Responsibilities- Provides lead direction, training, and work review to staff; organizes and assigns work, sets priorities, and follows up to ensure completion of assigned work.
- Reads blueprints at an intermediate level, analyzes project plans to determine construction requirements, and assigns duties accordingly.
- Operates water systems and performs maintenance tasks; cleans, maintains, and repairs main line sewers, manholes, and laterals; locates, repairs, and maintains water and sewer line breaks and leaks; repairs and installs various water and wastewater appurtenances.
- Performs utility line location marking, activates and terminates water meters, and assists with customer service requests.
- Performs meter testing and fire hydrant flushing.
- Conducts operational and safety checks of equipment before use.
- Excavates and backfills trenches using hand and power tools; repairs, installs, and maintains water lines, meters, and related facilities; cuts pipes, installs tapping valves, lays pipe, and installs valves, meters, and fire hydrants.
- Observes safe work methods, uses safety equipment, secures work sites from traffic hazards, and attends safety meetings. Checks job sites for potential hazards, including confined space concerns.
- Responds as a Shift Operator, depending on certifications achieved and duties assigned.
- Maintains and services a variety of test equipment, hand tools, and power tools.
- Installs, adjusts, and troubleshoots pressure regulating valves, meters, and chemical pumps (if applicable).
- Responds to questions and complaints from the public; carries out assignments in a non-disruptive manner in areas with heavy public use.
- Responds to emergency call-outs and performs standby duties as required.
- Prepares and maintains records of work performed and materials used.
- Contributes to the efficiency and effectiveness of the company’s service by offering suggestions and participating as an active team member.
- Relevant technical tertiary qualification.
- 2-5 years of experience in water/wastewater collection systems operation, maintenance, and repair.
- Relevant certification and licenses as required by the South African water industry authorities.
- Knowledge of methods, techniques, parts, tools, and materials used in maintaining and repairing water and wastewater infrastructure systems.
- Understanding of safe work methods and safety regulations.
- Proficiency with computer software including SCADA and GIS mapping.
- Effective oral and written communication skills.
- Ability to interact effectively with individuals from diverse socio-economic, ethnic, and cultural backgrounds, both in person and over the phone.
