Job Description

A vacancy exists for a Senior Administration Clerk based at Life Nkanyisa Mangaung Correctional Services in Bloemfontein. The successful candidate will report to the Health Centre Manager and will be responsible for providing comprehensive financial and administrative support to the Health Centre Manager and MANCO team.

Critical Outputs
  • Preparing and capturing requisitions, payments, and orders on SAP.
  • Facilitating the procurement cycle, including submission of invoices for payment.
  • Managing creditors, reconciling accounts, processing payments, and liaising with creditors and hospital staff regarding queries.
  • Coding and allocating payments and receipts in the cashbook.
  • Assisting the Health Centre Manager with ad hoc tasks, including monthly review of results.
  • Resolving creditors and debtors account queries.
  • Maintaining a filing system for creditors.
  • Updating and managing the contracts register.
  • Assisting in reviewing and establishing internal controls.
  • Reviewing and maintaining fixed assets and inventory records.
  • Preparing accurate accruals at month-end.
  • Assisting the Finance and Admin Manager with month-end and capital expenditure reporting.
  • Performing general admin duties such as filing and taking minutes.
  • Liaising with the national credit control department regarding banking and transfers.
  • Managing petty cash.
  • Striving to improve working methods for better efficiency and standardization.
  • Providing support to the MANCO team at management level.
Requirements
  • Minimum Grade 12.
  • Certificate in bookkeeping or business studies is advantageous.
  • At least 2 years of relevant experience and technical skills.
  • Essential SAP knowledge.
  • Proficiency in MS Office.
  • Ability to perform balance sheet reconciliations.
  • Attention to detail in reconciliations.
  • Understanding of the private healthcare industry is an advantage.
