Managing all the functions of transaction activities, documentation of goods and equipment and stock control.
- Receiving: In depth GRV'ing exp - products and costing knowledge; GRNing; processing invoices for incoming shipments - not purchase orders. Receiving is top priority and essential for this role.
- Inventory control cycle counts ; stock counts; discrepancy and variance investigations.
- Dispatch Out going shipments; Waybill creation, packing lists, commercial invoice, and quotes (for export).

Warehouse Inventory Controller
is responsible for managing and maintaining accurate stock levels, coordinating inventory control activities, and supporting efficient warehouse operations. The role involves close collaboration with warehouse, finance, and operations teams to ensure product availability, accuracy, and compliance with company procedures.
Responsibilities:
Inventory Management
Monitor and control stock levels to ensure sufficient inventory for operational needs.
- Conduct daily, weekly, and monthly stock counts and investigate discrepancies.
- Maintain accurate and up-to-date inventory records on relevant systems.
- Identify, record, and report damaged, expired, or obsolete stock.
- Manage stock adjustments, transfers, and reconciliations.
2.Warehouse Operations
- Oversee receiving, offloading, and dispatch of stock.
- Supervise picking teams to ensure accuracy, efficiency, and adherence to procedures.
- Ensure warehouse areas remain clean, organized, and compliant with health and safety regulations.
- Oversee labeling, tagging, boxing, and proper storage of all inventory.
- Support the Warehouse Manager in planning daily operations and prioritizing workflow.
- Perform any additional duties related to warehouse operations as required by management.
3.Coordination & Communication
- Liaise with warehouse staff, sales, and finance departments on stock availability, movements, and replenishment.
- Relay clear instructions and updates to warehouse and picking teams.
- Assist in resolving customer or internal stock-related issues promptly.
- Communicate effectively in both Afrikaans and English (verbal and written).
4.Reporting
- Prepare daily, weekly, and monthly stock reports for management.
- Track stock variances and provide recommendations for process improvement.
- Assist in audits and stock reconciliations when required.
5.Minimum Requirements
Education:
- Grade 12 (Matric) essential.
- A tertiary qualification in Supply Chain, Logistics, or a related field will be advantageous.
Experience:
- Minimum of 2 years' experience in inventory control or warehouse management, preferably within logistics or distribution.
Skills & Competencies:
- Strong attention to detail and numerical accuracy.
- Excellent organizational and time-management skills.
- Proficiency in Microsoft Word and Excel; experience with Datatim or similar systems advantageous.
- Sound communication skills in Afrikaans and English.
- Ability to supervise and motivate warehouse staff effectively.

- Own reliable transport.

Who we are looking for
India Ink has an exciting opportunity for someone who is dynamic and driven, with strong attention to detail to join our Stock Team as Inventory and Warehouse Systems Manager.
In this pivotal role, you will ensure that our inbound stock is put away accurately, our outbound orders are picked efficiently, and that any inventory exceptions are identified and resolved quickly. You have a strong background in warehouse operations and a passion for building and improving scalable systems.
This role is ideal for someone who enjoys a mix of quiet, focused work that demands precision, as well as collaborative projects involving other departments.
What you will do
- Oversee weekly stock replenishment movements of all locations in the business
- Oversee the product component administration of local production stock orders
- Capture and reconcile invoices of local stock orders
- Manage timelines related to receiving of import stock orders

- Oversee movement of sample units within the business
- Oversee the accurate picking, packing and shipping of online customer orders
- Manage stock returned by customers
- Ensure that standard Wholesale orders are managed efficiently
- Oversee the process of managing key Wholesale accounts, which includes more focused stock management and monthly account reconciliations
- Maintain real-time inventory accuracy across all SKUs and locations
- Plan and oversee stock counts across all locations of the business; both daily smaller SKU selection counts and full range annual stock counts
- Lead the investigation and correction of all inventory-related exceptions, both in the warehouse and in stores (e.g. missing SKUs, damages, incorrect stock levels due to POS errors)
- Manage all ad hoc stock adjustments as requested by other departments in the business
- Collaborate with Accounts to ensure that synchronization of systems are smooth and free of errors that may impact financial KPIs
- Liaise with Marketing regarding any stock requirements for Marketing activities and ensure that accompanying stock movements are accurate
- Liaise with Buying, Planning and Office Management on stock preparations for any events
- Suggest process and/or workflow improvements to increase the speed and accuracy of the Stock Team
- Provide strong leadership to the Stock Team and shape them into a highly efficient and functional team
- Guide, support and train the Stock Team members in all their functions to enable them to work confidently and independently
- Facilitate and ensure effective communication by the Stock Team
- Take responsibility for the growth and development of the Stock Team
- Plan capacity of the Stock Team and liaise with Office Management regarding temporary additional staff requirements
- Prepare daily and weekly reports on inventory movements, exceptions and KPIs
- Uphold safety, cleanliness, and compliance standards throughout the warehouse

- Experience in retail warehousing is advantageous
- Excellent Excel skills and knowledge of the Google Suite
- Experienced in using software for inventory management and in barcode scanning
- Strong affiliation to systems and utilising them to increase productivity
- Demonstrated ability to recruit and train new team members and to lead a team
