Job Description
BME Metallurgy has outsource the total warehouse and distribution function. Given that full system integration is not possible, and we are unwilling to grant Steinweg a D365 license to operate directly within our ERP system, the most practical solution is to appoint a dedicated representative to be based at the Steinweg facility. This individual would manage transactions in real time using D365, serving as our operational liaison.
Qualifications- A diploma or degree in Supply Chain or Sub functions of Supply Chain - Warehouse or Logistics management.
- Certification in D365 is essential, also at least 2 years specific and relevant experience.
- Minimum of 2 years of experience in D365 preferably in the chemical sectors. Specific D365 experience.
- Proven experience in warehouse management
- Experience working in mission directed work teams.
- Review all outstanding orders, coordinate with buyers, and collaborate with Steinweg to prepare for the day's deliveries.
- Receive stock directly into D365 (Goods Receipt Note - GRN).
- Upload and send Certificates of Analysis (COA) to the laboratory for verification and quality control release.
- Assess daily distribution requirements, develop an optimized distribution plan, and submit it to Steinweg for route planning and load optimization.
- Print delivery notes on our own stationery and provide them to Steinweg for each delivery (currently, Steinweg's stationery is used, which is suboptimal). This adjustment would also automate system-based invoicing.
- Ensure prompt receipt of delivery notes and upload them to our system for record-keeping and financial reconciliation purposes.
- Facilitate and record RMAs (Return Material Authorizations) in the system and upload all relevant documentation to D365. Oversee physical returns and advise CSC Manager.
- Monitor, review, and report on damaged stock, expired stock, stock aging, or any items moved to quarantine status.
- Maintain ongoing alignment between our system and Steinweg's processes.
- Facilitate and participate in formal audits, including conducting periodic sample audits during the month to ensure accuracy.
- Oversee customer collection communications with Steinweg and ensure smooth loading operations and related transactions.
- Serve as our on-site representative at Steinweg, equipped with a laptop and D365 license with the necessary access rights for both viewing and transactional operations.
- Computer Literacy (D365) - Essential
- Warehouse system, processes and methods - Essential
- Good communication skills at all levels - Mastery
- Discipline and the ability to work without constant supervision - Essential
- Punctuality in attendance but also in work related activities and deadlines - Mastery
- Go getter, driven by the need to do well and support the rest of the team - Mastery
Key Dimensions
Role impacts:
A key part of the supply chain P2P process, the Warehouse Management System operations (WMS) will automate transactions that are currently duplicated after the fact and often cause inaccurate stock levels. These transactions are currently carried out by staff that are not functional experts. OTIF, which is not achieved currently, is expected to improve and stabilize soon, supporting our customer centric approach and eliminating stock losses. Functional segregation can be enforced eliminating risk and losses.
Key Relationships:
- Totally integrated with the supply chain team that includes Procurement, Planning, Logistics and Customer Services.
- The warehouse has been outsourced, but the ERP system is not integrated. This will be our onsite person doing the respective transactions in real time.
- Interaction with the service provider, the supply chain team, customers and suppliers.
