A vacancy has become available, based in Roodepoort Johannesburg for a Warehouse Systems and Admin Coordinator to assist with the smooth running of the Warehouse.
The duties will include but will not be limited to:
Responsible for all system administration of the WMS, this includes new user set-ups, assigning roles, and assisting with other day-to-day related queries.
In conjunction with the IT Support department, responsible for the timeous resolution of WMS support queries.
Coordinate projects and ensure the successful and timeous completion of new WMS projects.
Ensure that proper roll-out and training is implemented for the relevant stakeholders for new WMS projects.
Assist all departments with the analysis of the system information (extracts reports).
Evaluate, enhance, and control systems, flows and procedures.
Implementing and maintaining procedures/administrative systems.
Process and manage relevant data reports.
Provide Management with periodic statistics and present reports in the form of graphs, charts, and tables to Management.
Assist with managing the Administration department including but not limited to, ensuring that all PODs, credit notes, route sheets and the like are filed.
Follow up on missing PODs, route sheets and credit notes with the relevant departments.
Maintenance of the archived paperwork.
Assist with administrative functions such as stock adjustments, transfers, tracking deliveries, reporting incidents, answer customer inquiries, solving complaints and investigating delivery issues.
Coordinate and assist with overseeing all administrative aspects relating to 3PL service providers including but not limited to invoices, delivery notes, waybills, track and trace, uplift requests, proof of delivery, over, short, incorrect, and damaged delivery issues.
Assist with troubleshooting and resolving service and operational issues impacting service delivery in the Warehouse.
Accountable and responsible to provide feedback and courteous service to customers (internal and external), handle client concerns and direct problems to suitable department heads.
Participate in change initiatives required in the Warehouse and provide feedback appropriately to Management.
Identify cost saving opportunities and implement cost reduction principles and procedures.
Other duties as assigned.
Education and Required Skills
Relevant Diploma/Degree – Essential
Excellent Computer Skills (experience in WMS & ERP systems essential)
At least 3 – 5 years warehouse supervisory experience
Analytical minded person
End to end general warehouse management experience.
Excellent skills in planning, controlling, organizing, and communication are required.
Ability to develop and execute a root cause analysis and fix.
Ability to develop new and innovative operational solutions.
Self-starter attitude
Strong written and verbal communication skills

The key purpose of this role is the management of all Raw Material (RM) inventory within the logistics supply chain, ensuring product quality standards are met and in compliance with all inventory governance processes & controls. All physical movement of inventory must be correctly reflected in SAP, with inventory differences investigated, resolved, and reported.

Key roles and responsibilities:

  • Adhere to RM inventory quality fundamentals standards as per VPO requirements.
  • Accurately block RM inventory in SAP with physical blocking mechanisms in place as per VPO standards for quality-related & obsolescence stock.
  • Ensure compliance with the freshness & rotation policy as per VPO standards.
  • Record inventory counts accurately, including quantities per storage location & BBD x SKU, with bin cards clearly displayed as per VPO standards.
  • Apply and approve inventory concession policies as per VPO product age standards.
  • Re-pack all RM salvages as per VPO standards.
  • Decant all obsolescence stock according to standard policy & procedure.
  • GRN all received stock as per standard policy & procedure.
  • Conduct independent inventory counts on all RM inventory, reconcile to SAP, investigate, resolve, and report discrepancies. Escalate unresolved differences to RM Controller with comments and action plans.
  • Ensure all physical movements of RM inventory are transacted in SAP accurately. Validate packaging receipts, verify write-offs against signed documentation & gate sheets.
  • Sign-off and process breakages, obsolescence, & salvages stock in SAP accurately.
  • Review and resolve daily controls and open shipments.
  • Process claims promptly with signed backup documentation & SAB reimbursement.
  • Monitor Supply Chain Overheads Budget vs. Actual costs, identify gaps, and develop action plans.
  • Manage and plan daily team workload.
  • Maintain daily documentation control and ensure good governance.
  • Conduct weekly and monthly stock count compliance.
  • Monitor and control raw materials and stocks handling and storage.
  • Apply good waste management practices and Good Housekeeping & 5S principles.
  • Perform risk assessments and issue PTWs.
  • Handle HR & administrative duties.
  • Liaise with internal and external customers.
  • Support team goals and VPO principles.
  • Perform daily stock reconciliation and weekly PRP compliance.
  • Ensure all documentation is signed off, filed, and securely stored as per Inventory Control Policy.
  • Monitor security cameras and conduct random verification checks.
  • Conduct 3-point independent checks on all shipments for departure & arrival to ensure compliance.

Profile:

  • National Diploma in Finance, Commercial, Supply Chain, Logistics or relevant field.
  • 2-3 years’ experience in a Stock Control environment.
  • Knowledge of stock control processes.
  • Proficiency in MS Office & SAP.
  • Licensed FLT driver.

  • Planning and organization of inventory and shelving according to the instructions of the operations manager.
  • Preparing the warehouse for stock counts as scheduled, managing stock counts, and ensuring effective management of stock.
  • Assisting storeman with control of all incoming and outgoing stocks and all movement of stock in the warehouse.
  • Planning and coordinating deliveries and delivery routes for customers and sales orders.
  • Ensuring that stock being dispatched to customers is correct according to delivery notes and with necessary paperwork.
  • Ensuring that delivery notes (POD) are signed correctly and receiving the branch PODs from the Storesman/Driver daily, sending the PODs to the Debtors clerk on a weekly basis.
  • Attending to and following up on items for collection and/or delivery of parcels as requested on an ad hoc basis.
  • Preparation of waybills and booking for couriers as requested by sales or stores on an ad hoc basis.
  • Reviewing branch stock levels relevant to orders for spares or project sales, processing and filing IBTs for stock required.
  • General maintenance of vehicles (i.e., filling fuel tanks, maintaining correct tyre pressure, and keeping vehicles clean and tidy) and liaising with the Transport Coordinator when vehicles are due for service and/or repairs.
Desired Experience & Qualification

Minimum Qualification and Experience Requirements

  • Valid code C1 or EB driver’s license WITH OWN TRANSPORT ESSENTIAL
  • Educational level: Min Matric Certificate and any other relevant qualification.
  • Administration and office support experience.
  • Previous warehousing and inventory control experience essential.
  • Must be fully bilingual in both Afrikaans and English.
