Vector’s vehicle fleet includes a food industry first in ‘multi-temperature’ vehicles enabling the company to service business across frozen, chilled and ambient temperature zones on a single delivery.
Job PurposeTo manage and maintain the fleet and transport team in the hub/depot, thereby ensuring that productivity and performance are maximized.
Key Responsibilities- Fleet Control
- Manage the daily schedule.
- Check that a job card has been allocated to work and that the driver has managed to complete the form correctly.
- Ensure that drivers complete the checklist every morning and afternoon to establish if there are any defaults. Request complaints and difficulties for the day and take the appropriate action.
- Monitor transport performance against benchmarks by obtaining vehicle exception reports from the tracking department as a means of monitoring drivers’ conduct and vehicle performance such as speeding, excessive revving or braking, backdoor standing time, yard delays.
- Take necessary disciplinary action depending on the particular instance or trend.
- Build a culture of asset care through counselling discussions with staff, particularly drivers.
- Consolidate accident/incident reports that display each driver’s conduct and make appropriate decisions on sanctions depending on severity.
- Conduct physical checks on vehicles, identify areas that require attention, and take necessary action to resolve issues.
- Analyse monthly vehicle inspection sheets and take necessary actions.
- Record maintenance and repair requirements for each vehicle and communicate with the workshop.
- Report daily to the Transport Manager on truck status, including bookings off and reasons for non-utilization.
- Reconcile hired trucks' kilometers with supplier shipments daily.
- Ensure optimal vehicle usage by checking capacity and updating the Vehicle Utilization Report daily.
- Complete a daily Casuals Report for ad hoc casuals used.
- Monitor daily overtime for drivers, van assistants, supervisors, and mechanics using the BLICK system.
- Manage routes to ensure time optimization for each delivery.
- Workshop Control
- Consolidate monthly total costs in a Cost Analysis Report.
- Explain additional expenditure reasons in reports.
- Reconcile diesel documents daily with Vector statements.
- Check and sign off workshop overtime.
- Monitor workshop standards, identify anomalies, and investigate.
- Complete monthly expenditure summaries balancing to income statements.
- Ensure traffic fines are paid promptly.
- Complete Weekly Repair Templates and control fuel issues.
- Complete daily workshop checklists.
- Risk Control
- Investigate hijacking incidents and handle proxy responsibilities.
- Ensure all drivers have valid licenses and PDPs.
- Health and Safety Compliance
- Ensure staff compliance with health and safety standards.
- Investigate injuries on duty and implement safe procedures.
- Manage outsourced truck washing and chemical safety.
- Team Supervision
- Train staff on SOPs and ensure adherence.
- Conduct monthly staff meetings, manage performance, and address problems.
- Manage casual staff induction and communication of rules.
- KPI’s
- Transportation costs, truck utilization, driver performance, vehicle usage, fuel consumption, maintenance costs, compliance with safety and environmental standards.
Internal: Warehouse management, Finance, Administration.
External: Suppliers, Service providers, Road Traffic Management Corporation.
Qualifications, Skills and ExperienceQualifications and Experience: Minimum diploma in fleet management, valid Code EB driver’s license, at least 3 years in transport management.

Duties & ResponsibilitiesResponsibilities will include but are not limited to:
- Ensure through proper planning that turnaround times of vehicles on site are kept to a minimum. Assist operations and drivers with the flow of vehicles, in and out of the depot and other sites. Communicate specific cargo/equipment needs (bells, corner plates, sails, etc.) through to the responsible sections in a timely manner.
- Daily planning and communication with Upington and Johannesburg operations regarding loading and offloading points, and availability of trucks and loads. Loads must be allocated to fleets through continuous liaison with the schedulers and evaluation of priorities on a fair and effective basis.
- Ensure loading on site complies with both Company policy and legislation. Ensure that pre-loads are done on time and in full. Make sure trailers are suitable for loading the next cargo without risk of damage or contamination of the cargo.
- Complete instructions/requirements on loading must be communicated in advance to the drivers and relevant schedulers to ensure that loads are loaded correctly.
- Ensure that trucks and trailers are parked in the depot in an orderly manner to eliminate risks of damage to equipment and for optimal utilization of the site. Furthermore, ensure that the cleanliness of each vehicle, body or tarpaulin kits is addressed with the respective scheduler/s and that no dirty truck may leave the depot.
- See to it that after-hours assignments to drivers are fully detailed in an appropriate file at Security, along with the necessary documentation. If operationally required, the candidate must also be available after hours.
- Assist management, operations, and drivers with additional ad-hoc functions where needed.
- See to it that loading and offloading proceeds in an orderly, effective manner, and on schedule.
- Check clients' orders/interns daily to ensure loads to be loaded, as well as times, dates and regulations attached to them.
- Ensure that there are Internes for loads before loading or otherwise following the prescribed procedures to obtain approval; no load may run without an internal confirmation by the representative.
- In conjunction with the relevant warehouse, check off-unloading cargoes and ensure necessary documentation and determine drop-off times and locations.
- Liaise with customers beforehand at drop-off or pick-up points to ensure that loads can indeed be loaded or unloaded before the fleets are sent out.
- Liaison with customers to alert them to deviations on load/unloading loads.

Qualifications & Competencies Required:
- The successful candidate must have Grade 12 with 3-5 years’ experience in a Supervisory / Managerial role and knowledge of the long-Distance Transport industry.
