Job Summary

The Customer Service Supervisor will be responsible for processing customer orders in the Oracle ERP system and supporting Sales Representatives with quotes and order updates. Acts as a key contact for customers, providing accurate information on orders, returns, and shipping. Collaborates with internal teams to ensure high service standards and assists in preparing RFP, RFQ, and RFI responses. Essential Functions

  • Prepare, generate, and modify customer quotes in coordination with Sales Representatives and management.
  • Respond promptly and professionally to incoming customer inquiries.
  • Accurately process orders received through multiple channels in a timely manner.
  • Evaluate and process credit requests, and return authorizations in accordance with company policy.
  • Deliver accurate, courteous, and efficient support to customers, sales representatives, and internal teams at all organizational levels.
  • Provide order confirmations upon customer request.
  • Coordinate with cross-functional teams to gather and organize information required for comprehensive and timely RFP, RFQ, and RFI responses.
  • Liaise with other departments to ensure order timelines, service levels, and customer expectations are consistently met.

Required/Preferred Education And Experience

  • Minimum 3 years of proven experience in a customer service or sales support role, preferably within a capital equipment or medical device sales environment.

  • Ensure all pain points are documented and all stakeholders are engaged and collaborated with, in an effort to eradicate the pain points
  • Serve in a project management capacity to ensure VOC pain points and new initiatives are delivered upon as efficiently and effectively as possible
  • Prepare monthly VOC Steerco updates on progress made
  • Ensure sufficient reporting and project tracking is in place to monitor success and impact of the changes implemented
  • Ensure that the Contact Centre environment has sufficient real-time monitoring dashboards and alerts in place to drive optimum efficiency
  • Compile relevant and informative monthly Contact Centre performance reports
  • Critically analyse the performance the Contact Centre and ensure relevant performance conversations are held with relevant teams where applicable
  • Ensure customer experience trends (eg. CSAT, NPS etc.) are consistently analysed, root causes identified and plans are put in place to mitigate poor CX trends
  • Identify opportunities for reporting automation, alert automation etc.
