Requirements and Qualifications:

  • Education: High school graduate or equivalent is required.
  • Certificate/License: Current Certification as a Medical Assistant through one of the following programs is preferred (RMA, AAMA, NCCT, CMAC, AMCA). Current BLS certification is required.

Major Responsibilities:

  • Provides patient care including escorts patient to examination rooms, takes and records vital signs, collects and documents patient health status, history, and documents and monitors patient progress following standard procedures. Assists physician and others in clinical procedures as required or directed.
  • As an integral member of the patient care team, serves both internal and external customers including patients, nurses, physicians and other colleagues who support the delivery of care and services.
  • Provides clear, timely communication to the appropriate licensed clinician regarding observations and changes seen in patient.
  • Assists in moving, lifting, positioning and transporting patients by utilizing fall prevention alternative devices/strategies as directed, and following the Restraint Policy standards when caring for a restrained patient. Utilizes proper safety techniques and body mechanic in all work-related activities.
  • Performs EKG’s, phlebotomy, performs Point of Care (POC) tests, according to hospital standards. Collects, labels and prepares specimens for transport to lab. Performs selected unit specific procedures such as checking status of unit equipment, cleaning equipment between patients and proper storage of supplies.
  • Sets up/prepares rooms based on patient care requirements. Assists appropriate licensed clinician in performing routine physical examinations by preparing patient equipment and supplies. May assist physician, nurse or others with clinical procedures such as, but not limited to lumbar puncture, pelvic examinations, and/or dressing changes. Assists in the setup, maintenance, disassembly and cleaning of patient equipment.
  • Cleans, sterilizes and repackages instruments and scopes as assigned. Has required skills to operate the sterilization/cleaning systems as necessary.

  • High school diploma or equivalent.
  • Medical Assistant credential approved by the Department of Health (ARMA, NHA, etc.)

If not available upon hire/transfer, a Medical Assistant credential must be obtained within 1 year from date of hire/transfer. If credentialing is not obtained within 1 year of hire/transfer, the employee will be terminated, or employee may apply for another position for which they meet the minimum qualifications. The Senior Vice President of Ambulatory Operations may grant an extended grace period for employees with extenuating circumstances, as appropriate.

  • This Medical Assistant credential must be maintained.

  • Demonstrates sensitivity and responsiveness to patients’ needs by acting as a source of information and approaches all interactions with the intention of building positive rapport and relationships.

Under the direction of the appropriate licensed clinician, the Medical Assistant II (MA II) provides clinical care and performs clerical duties to support office/clinic functions. Will receive workplace education and training to assist providers and the healthcare team in the care of patients.

I. Major Responsibilities:

  2. Performs EKGs, phlebotomy, Point of Care (POC) tests according to clinic/office standards.
  3. May prepare, document, and administer non-intravenous injections as directed or required by office/clinic, within scope of practice.

  5. Reviews laboratory results and ensures abnormal results are immediately brought to the attention of the physicians and others, as appropriate.

II. Position Qualifications:

License/Certification/Education:

Required:

  1. High School Diploma or equivalent.
  2. Current Basic Life Support (BLS) or Heart Saver (HS) certification from the American Heart Association. If not available upon hire, a BLS/HS must be obtained within 3 months from date of hire. If certification is not obtained within 3 months of hire, the employee may be terminated or may apply for another position for which they meet the minimum qualifications.
  3. Medical Assistant credential, approved by the Massachusetts Department of Health (ARMA, NHA, etc.).

  • Send acknowledgment and “thank you” communications to referring doctors.

  • Put payment plans in place for medication, consumables, and private wards before admission.
  • Secure proof of deposits and payment details prior to admission.

  • Monitor length-of-stay expiry dates and request extensions from medical aids at least three working days in advance.
  • Provide necessary reports and updates to medical aids.

  • Update administration systems and store all approvals appropriately.

Support for Doctors & Allied Practices

  • Assist with medical aid claims and authorisations for doctors, physiotherapists, dietitians, and occupational therapists.
  • Ensure correct coding, member details, and authorisation numbers are in place.
  • Maintain ethical and accurate ICD-10 coding for all admissions.

Admission, Discharge & Billing

  • Complete and verify all admission and discharge documentation.
  • Allocate beds and assign patients to doctor teams.
  • Create patient files and MDT links before admission.
  • On discharge, notify medical aids, process refunds, and bill stays
  • Ensure no unbilled items remain for discharged patients.

Communication & Administration

  • Answer and route incoming calls promptly and professionally.
  • Respond to medical aid correspondence and escalate cases when required.
  • Keep documentation up to date with no backlog at day’s end.
  • Build and maintain strong relationships with case managers, hospitals, and medical aids.
Requirements

Experience and Knowledge

Medical Assistant - Per Diem, Valhalla & West Harrison, NY Infusion Medical Assistant / Administrative Assistant Valhalla and West Harrison, NY

This position is per diem to assist with providing coverage at both the Valhalla and West Harrison, NY locations. Various shift availability Monday-Sunday 8:00 am-6:00 pm.

Per diem team members may work up to 20 hours a week and must work a minimum of 1 shift each month.

At Vivo Infusion, our Medical Assistant/Admin Assistants play a crucial role within the infusion center as part of a collaborative medical team. The individual in this role will be responsible for welcoming patients, assisting medical staff, and delivering safe, compassionate care in accordance with all external and internal guidelines and regulations.

The ideal applicant will be a Certified Medical Assistant with prior administrative and scheduling experience, strong initiative, and exceptional communication skills. The per diem role provides flexibility and the opportunity to work with multiple well-established and highly knowledgeable teams!

Compensation: $23.00 - $25.00/hour Benefits Offered: 401K with Match up to 4% Employee Referral Bonus - Uncapped bonus potential Employment Type & Schedule, FLSA Status: Per Diem - May work up to 20 hours/week, with a minimum of 1 shift each month to remain an active team member. Non-Exempt Reports to: Clinical Operations Manager Location(s): West Harrison: 2 Westchester Park DR, STE 101A, Harrison, NY 10604 Primary responsibilities:
  • Performs a variety of patient care activities rendering quality patients in accordance with standards of practice.
  • Room clinic patients in person or virtually and update patient chart with the required information
  • Communicate pertinent patient data to providers and nurses to ensure quality and continuity of patient care
  • Provide administrative and front-end support: Greet patients, assist with scheduling, manage phone calls (incoming and outgoing), and process payments.
  • Oversees and ensures efficient turnover of exam rooms
  • Assist provider in the exam room as requested
  • Collect, prepare, and submit ordered patient lab specimens as directed.
  • Assist the Patient Services team as needed to obtain prior authorizations for prescribed treatments and documents.
  • Triage patient phone calls and messages and document them appropriately
  • Disinfect and stock the exam rooms.
  • Assist in obtaining records required for the patient’s chart
  • Demonstrate effective communication skills, reporting patient issues as needed throughout the treatment day.
  • Follow company policies and CDC guidelines for infection control.

Secondary responsibilities:

  • Assist with proper handling and storage of hazardous materials.
  • Maintain confidentiality of all company and patient records. Adhere to HIPPA.
  • Communicates schedule changes to the team and assists with rescheduling patients.
  • Manages incoming mail and deliveries.
Qualifications:

Education and Experience

  • High school graduate or equivalent, required.
  • Medical Assistant Certification, strongly preferred
  • CPR/BLS, required.
  • 1 year of experience working within a clinical environment, required.
  • 1 year in an administrative, patient-facing, or customer service role, required.
  • Phlebotomy and lab processing skills, preferred.

Skills

  • Self-motivated with the ability to work independently as needed.
  • Must possess outstanding communication and interpersonal skills with ability to communicate professionally and effectively with other staff members, patients and physicians.
  • Intermediate computer literacy will be needed in this position. Working knowledge should include Microsoft Office tools, office equipment, and experience utilizing EMR or CSM systems.
  • Able to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.

This position will provide coverage for (2) Vivo locations.
