MAIN PURPOSE / OBJECTIVE OF THE POSITION
The main purpose of a site manager is to oversee and manage the operations, activities, and personnel at a specific site or location within an organization. Their role encompasses various responsibilities aimed at ensuring the smooth and efficient functioning of the site.
KEY PERFORMANCE AREAS (KPAS)
Recruitment, Appointment, and Termination CycleObjective : Manage the complete lifecycle from recruitment to termination.
Actions :
- Ensure all open positions are communicated to recruitment with necessary details (start date, salary, job description, permanent / temporary).
- Coordinate interview schedules and communicate timely with the recruitment team.
- Facilitate communication of successful candidates to the recruitment team.
- Conduct RiseUp induction for new assignees before they start at the client site.
- Collect and ensure compliance with the Contractor Pack for all assignees.
- Ensure Fixed Term Contracts (FTCs) and Annexure 'A' forms are completed accurately and signed correctly.
- Ensure completed packs are handed to the office administrator for loading.
- Be on site on the day your assignee starts.
- Ensure induction is completed and contracts are signed prior to the assignee starting at your client.
Objective : Ensure compliance with safety regulations and assignee welfare.
Actions :
- Provide appropriate Personal Protective Equipment (PPE) to assignees and ensure they have signed acceptance.
- Sign AODs for tracking PPE and recovering funds or PPE if employees leave within 12 months.
- Implement and communicate site-specific rules and ensure adherence.
Objective : Ensure accurate payroll processing and efficient administrative support.
Actions :
- Capture payroll data on the required template and submit to payroll on time.
- Ensure clients approve and sign timesheets.
- Ensure assignees sign timesheets as acknowledgment of hours worked where no biometrics are on site.
- Adhere to our internal payroll deadline of Tuesday 09:00.
- Resolve assignee payroll queries within 24 hours.
- Manage documentation such as Acknowledgement of Debts (AODs), sick leave forms, annual leave forms, family responsibility leave forms, resignations, and disciplinaries, ensuring these are sent to the office administrator for record keeping.
- Handle disciplinary procedures in line with internal processes (Invictus) and ensure timely reporting.
- Distribute payslips before assignees are paid.
- Ensure invoices are hand-delivered with proof of delivery signed, stored on the share drive.
Objective : Efficiently manage day-to-day operations and client relations.
Actions :
- Follow the comprehensive end of contract (EOC) process as per client requirements.
- Provide daily headcount and site activity reports on our internal WhatsApp group.
- Communicate effectively with clients and respond to queries promptly.
- Conduct monthly one-on-one meetings and performance reviews with employees.
- Maintain and increase headcount monthly as per KPAs.
- Engage with clients and staff to meet productivity goals.
- Attend site management meetings and visit client sites regularly.
- Send monthly management reports to clients showing disciplinaries, one-on-ones, and headcount.
- Assist with staff rostering where necessary.
- Manage transportation where necessary.
- Attend toolbox talks/site meetings.
- Maintain visibility at the client site daily.
- Provide excellent service to clients and assignees.
- Report absenteeism and late arrivals to the client by 08:30 AM daily.
Objective : Ensure adherence to employment laws and effective communication.
Actions :
- Understand and apply the Basic Conditions of Employment Act and relevant Bargaining Council regulations.
- Complete and submit all required documentation to Head Office before employees start.
- Communicate any risks identified on site.
- Ensure site rules are communicated to assignees.
