Logistics Specialist

Job Purpose

• Manage end-to-end logistics processes, from order confirmation to delivery and returns, using Bayer analytics tools such as SAP, TMS, Smart Center, and Four Kites.
• Coordinate with internal teams, direct customers, and 3PL providers to ensure timely and efficient logistics activities.

Key Tasks and Responsibilities

• Lead and optimize logistics operations for timely and cost-effective product delivery.
• Analyze logistics performance data to identify improvement opportunities and implement cost-saving strategies.
• Execute TMS planning, including cost, vehicle, and route optimization, as well as turnaround time management and communication.
• Create shipments in TMS and manage delivery confirmations with commercial teams, customers, and 3PLs.
• Ensure accurate freight carrier information in TMS, validate freight bills against SAP, and submit documents for invoicing.
• Maintain and update rate cards in TMS regularly.
• Coordinate inter-facility stock transfers for seed and crop protection products.
• Consolidate daily VLO60 reports and share with relevant teams.
• Manage delivery confirmation processes and monitor EDI flows between 3PLs and Bayer systems.
• Maintain effective communication with all stakeholders.
• Conduct inventory reconciliations with 3PLs and analyze inventory data for trends and issues.
• Monitor logistics KPIs such as vehicle utilization, TMS adoption, and delivery adherence.
• Ensure all delivery documentation, including PODs and GRNs, are captured in TMS and processed promptly.
• Coordinate return processes to ensure credits are processed within 48 hours.
• Utilize Bayer analytics tools for transportation management, shipment tracking, and performance monitoring.
• Ensure regulatory compliance in warehouse and distribution activities.
• Liaise with vendors and evaluate service levels.
• Support customer complaint investigations and perform additional tasks as needed.

Qualifications and Competencies

• Minimum 3 years experience in distribution, warehousing, import/export, or logistics.
• Degree or diploma in supply chain management, logistics, IT, or related fields.
• Strong understanding of logistics principles and practices.
• Proficient in Microsoft Office and SAP.
• Excellent communication and interpersonal skills.
• Knowledge of seed and agricultural chemicals is advantageous.
• Fluent in English; additional languages like Afrikaans are a plus.
• Results-oriented with the ability to work effectively in a global, cross-functional team.

The successful incumbent will be responsible for coordinating and planning production requirements based on customer demands and order priorities, forecasting and controlling raw material requirements and procurement.

Job Responsibilities

Customers

• Receive customer demand and verify accuracy weekly.
• Analyse and understand changes from the previous release.
• Discuss and agree on release changes with customers, considering supplier lead time and transport.
• Ensure on-time in full deliveries to customers.

Suppliers

• Plan raw material/component requirements based on demand.
• Issue Raw Material / Component forecasts to suppliers weekly, monthly, and yearly.
• Ensure on-time in full deliveries of raw materials.
• Track all shipments to ensure on-time ETA’s.
• Administer supplier purchase orders, including prices.
• Assist with supplier scorecards.

Stores

• Coordinate and monitor the receiving of goods and raw materials into Fixed Stock Locations and dispatch of finished goods from finished goods location.
• Maintain required inventory and finished goods stock levels.
• Ensure the inventory control method of FIFO is adhered to.

Quality Management System

• Manage and implement the Logistics Quality Assurance systems.
• Notify the quality department of any quality non-conformances that may lead to Customer complaints
• Improve employees’ awareness within the department of Quality Targets and Objectives.

Stock Handling

• Ensure correct stock handling.
• Move, pack, and maintain stock in the warehouse.

Issuing

• Receive Stores Requisitions and coordinate issuing.
• Assist with processing of rejects on the system.
• Assist with Production planning and Data control.

Stock takes

• Co-ordinate stock count based on Stock Take procedure.
• Manage the integrity of the count.
• Check stock condition during the count.
• Investigate Variances.

Finished goods

• Ensure maintenance of required finished good stock levels.
• Follow up on any outstanding POD’s

Continuous Improvement

• Support simplification and standardization of processes to accelerate logistics and enhance efficiencies.
• Head team to develop, articulate and maintain logistic process documentation.
• Implement quality and customer service standards, resolve problems and identify warehouse system improvements.
• Develop and initiate monthly reports to track departmental objectives.
• Reduce Cost and waste
• Manage all inventory to optimal levels.
• Manage Net Working Capital

People Management

• Ensure an enabling climate/culture.
• Ensure a safe, secure, and legal working environment.

• Conduct continuous Risk Assessments in the workplace
• Conduct Planned Task Observations in the workplace
• Identify potential hazards and critical safety issues in the workplace

• Apply safety, health and environmental practices and legal requirements when working on machines and equipment.

• Driver Sourcing & Onboarding : Recruit and onboard drivers, subcontractors, and rental drivers as required.
• Training : Conduct training sessions to ensure drivers understand and meet KPIs, use the company Application effectively, and deliver excellent customer service.
• Performance Management : Monitor driver performance, implement disciplinary actions when
• necessary, and support driver retention initiatives.
• Structured Management : Uphold a disciplined approach across the fleet by enforcing established systems and protocols.
• Driver Support : Address driver inquiries, manage retention efforts, and provide support at client sites as needed.

• Vehicle Inspections : Conduct regular inspections, ensuring compliance with safety and operational standards.
• Vehicle Handover and Retrieval : Manage handovers and retrievals, maintaining accurate records and schedules.
• Fleet Management Protocols : Work closely with the Senior Fleet Manager to ensure that all vehicles meet protocol requirements and operate smoothly.
• Site Operations : Ensure sufficient driver coverage at all sites, proactively addressing logistical issues.
• On-Site Management and Client Support
• Site Visits : Regularly visit various client sites to monitor driver performance, address any on-site issues, and ensure drivers are maintaining KPIs and high service standards.
• Driver Accountability : Conduct spot checks and provide immediate support to ensure drivers are meeting expectations for professionalism and customer service.
• Client Relations : Act as a point of contact for on-site client inquiries and concerns, addressing issues in a professional manner.

• Client Trips : Handle occasional client transport needs using a company vehicle, ensuring punctuality and excellent service.

• Trip Analysis and Booking : Review client trip requests, ensuring proper booking, grouping, and
