Are you a problem-solver who thrives in a fast-paced, high-stakes logistics environment? We’re looking for a Logistics Operations Coordinator to manage the full export logistics cycle — from planning loads to ensuring containers are delivered into stack, on time and with precision.
This is a dynamic, hands-on role that requires excellent coordination, calm under pressure, and exceptional communication with clients, suppliers, shipping lines, pack houses, and transporters. You’ll be the key link making sure cargo moves efficiently, despite inevitable challenges like equipment issues, port delays, or last-minute booking changes.
Key responsibilities:
- Coordinate export plans with clients, adjusting bookings and schedules as needed.
- Send vessel options and manage booking confirmations with carriers and shipping lines.
- Maintain and update real-time load reports daily (Teams) and share with all stakeholders.
- Communicate port conditions and adjust logistics plans accordingly.
- Book and track container loads via online carrier platforms.
- Open ERP system files once bookings are confirmed.
- Liaise with transporters and pack houses to secure loading time slots.
- Compile and distribute all relevant export documents (Q67s, VGM, photos, seal info).
- Monitor vessel schedules and report delays.
- Manage temperature recorder stock and ensure accurate flash tracking.
- Implement contingency plans for full depots or port disruptions.
- Handle special requests, additional cost approvals, and non-conformance reporting.
- Support documentation, procedure updates, and junior team member training.
Requirements:
- Strong logistics coordination background (export/agri/port experience ideal).
- Exceptional problem-solving skills and attention to detail.
- Excellent communicator across all levels – calm, clear, and confident.
- Ability to work under pressure and be available when operational challenges arise.
- Tech-savvy with ERP systems, online booking platforms, and Excel/Teams.

Role reports to: Sales & Marketing Director
Responsibilities- Management and application of processes, methods, skills, knowledge & experience to achieve specific project objectives according to the acceptance criteria within pre-agreed parameters.
- Manage full installation projects from start to end ensuring customer satisfaction.
- Manage multiple installations – timelines, all stakeholders involved including client, installers, suppliers etc., ensuring efficient delivery of multiple projects.
- Liaise internally with relevant sales person / operations team.
- Adherence to defined timescale and budget for all projects.
- Coordination of all logistical elements of an installation.
- Anticipate needs and ensure preparations against potential risks.
- Manage details of all outgoing & incoming profusion units including serial numbers, device IDs, destinations & client details.
- Liaise with courier ensuring customer receives & returns packages.
- Manage the distribution of updated discs & scenting cartridges, sort, label & re-package.
- Distribution of DMX Equipment e.g., shipping out of units.
- Retrieve old units when client receives in-store, inform Tech Team, ASO commences with collection – update CRM.
- Manage DHL oversees shipping; send & receive international parcels; track and trace parcels.
- Ensure courier companies adhere to SLA’s.
- Summarize RAM accounts and compile courier report monthly. List all consignments – dispatch & receive.
- Resolve queries from courier companies.
- Manage stock control / profusion / visual devices and allocations thereof.
- Manage hardware failures report and tracking of stripped devices.
- Entry of all service-related tickets to Accounts for billing via Odoo.
- Swap out of Profusion/visual Units.
- Respond to all general queries timeously.
- Follow up with TSS / CSR once POD issued – ensure adherence to turnaround time.
- Monitor ticket duplicates – no more than 1 person dealing with the same query/tickets.
- Liaise/arrange with installers regarding certain collections.
- Assist CSR / TSS with basic technical inquiries.
- Project Management training / experience essential with a track record of managing successful projects (to be assessed).
- High level usage of Excel (to be assessed).

- Minimum 5+ years’ Administration experience.
