Logistics Coordinator

1. Vendor Management:

   • Support all aspects of vendor management with logistics providers in Southern Africa (trucks, warehouses, container vessels, and break-bulk vessels).

   • Preference for candidates with solid experience in container vessel logistics.

   • Must have experience handling large-volume ocean freight.

2. Vendor Selection and Relationship Management:

   • Participate in vendor selection, contract negotiation, and establishment of service level agreements (SLAs).

   • Manage vendor relationships and execution.

   • Set and monitor key performance indicators (KPIs) for providers.

3. Sales and Operations Planning (S&OP):

   • Facilitate the end-to-end S&OP cycle.

   • Establish and document formal S&OP processes.

   • Liaise with internal functions to develop tools for S&OP execution.

   • Deliver rolling 12-month projections for sales and operations by destination and warehouse, including safety stock planning.

   • Establish a forecast accuracy review for continuous improvement.

4. Billing and Execution Support:

   • Review and approve service provider billing.

   • Liaise with the traffic team for vessel booking and inland transport management.

   • Ensure smooth day-to-day execution of logistics tasks.

5. Performance Management:

   • Review KPIs with service providers regularly.

6. Vessel and Route Management:

7. Warehouse Optimization:

   • Support optimization of the current warehouse network.

Duties and Responsibilities:

Export Logistics Coordination:

• Plan, schedule, and coordinate the movement of fruit from farms to packhouses and export terminals.
• Liaise with shipping lines, freight forwarders, and clearing agents to ensure timely export bookings.
• Prepare and verify shipping documentation (e.g., commercial invoices, phytosanitary certificates, bill of lading).

Supply Chain Management:

• Monitor cold chain compliance and temperature controls during transport and storage.
• Track and trace shipments to ensure timely delivery and proactively resolve delays or disruptions.
• Coordinate with procurement, quality assurance, and warehouse teams to align logistics with operational schedules.

Regulatory Compliance:

• Ensure compliance with local and international export regulations (DAFF, PPECB, Customs, etc.).
• Stay updated on market-specific import requirements and documentation standards.
• Data Management and Reporting:
• Maintain accurate logistics records and inventory data.
• Generate regular reports on shipment status, logistics KPIs, and cost efficiency.
• Identify and implement process improvements to enhance logistics performance.

Requirements:

• Diploma or Degree in Logistics, Supply Chain Management, Agriculture, or related field.
• Relevant certifications (e.g., Incoterms, Export Compliance) are advantageous.
• Minimum 1-2 years of logistics or supply chain experience in the agricultural or perishable goods sector.

The Logistics Coordinator supports the Cold Store Manager by executing day-to-day tasks

related to operational planning, scheduling, and client communication. This role

ensures that client instructions are translated into actionable tasks and assists in

monitoring operational efficiency. The Logistics Coordinator plays a critical role in

ensuring smooth workflows, accurate documentation, and timely communication

with both internal teams and clients.

KEY RESPONSIBILITIES :

Client Instruction Management :

• Receive and log client instructions regarding product storage, handling, and dispatch.
• Verify and clarify client requirements with the Cold Store Manager when necessary.
• Ensure that instructions are accurately conveyed to relevant internal departments. All instructions must also be captured on the WMS system.

Operational Coordination :

• Schedule inbound and outbound shipments in alignment with client needs and operational capacity.
• Coordinate with the Operations team to ensure timely execution of storage, inspections and dispatch activities.
• Input all required tasks on the WMS system.
• Arrange inspection activities with the relevant authorities.
• Monitor the progress of daily tasks and escalate issues to the Cold Store Manager as needed.

Documentation and Reporting :

• Maintain accurate records of product movement, including receipts, dispatches, and inventory updates.
• Prepare and distribute operational schedules and updates to relevant stakeholders.
• Generate reports on daily throughput, inventory levels, and order status for the Cold Store Manager.

Communication :

• Act as a point of contact for clients regarding order status and updates.
• Provide clear and timely communication between clients, the Cold Store Manager, and internal teams.
• Address client inquiries and escalate unresolved issues to the Cold Store Manager.

Compliance Support :

• Ensure that all processes align with regulatory and client-specific requirements (e.g. Special Markets, SAGAP, SOLAS, PPECB) as well as internal Standard Operating Procedures.
• Assist in maintaining documentation for audits and inspections as directed by the Cold Store Manager.
• Identify areas for improvement in scheduling and coordination processes.
• Provide feedback to the Cold Store Manager to enhance operational efficiency and client satisfaction.

WHO WE ARE LOOKING FOR :

Educational Requirements :

• High school diploma or equivalent required; a diploma or degree in Logistics, or Supply Chain Management is preferred.
• Training or certification in logistics or warehouse management is advantageous.

Experience :

• 2+ years of experience in logistics, planning, or warehouse coordination, preferably in a fruit cold storage environment.
• Familiarity with scheduling and warehouse management systems (WMS) is an advantage.

Skills :

• Strong organizational and multitasking abilities.

• Coordinate all logistical processes from point of loading through to final shipping destination
