Applications for the post of Administrative Officer: Student Leadership Support (Res Life) , are invited from dynamic and vibrant individuals with demonstrated student housing experience within a tertiary institution, who have a quest for constant self-improvement and development and the growth and development of others. Applicants must be client-service orientated and passionate about supporting the organization’s strategic deliverables with regards to their students and their co-curriculum development and well-being.
The Successful Candidate Will Be Responsible For
- General Administrative Support (includes Database Capturing and Reconciling for Reporting Purposes) to the ResLife Student Leadership Support Coordinator
- General House Committee and Central House Committee Procurement Support to the ResLife Student Leadership Support Coordinator
- General Eventing, Marketing Support and Social Media Monitoring to and on behalf of the ResLife Student Leadership Support Coordinator (includes after hours, on-site support)
- Driving, Supporting and Administration of the all RS Student Leadership Elections Processes
- Administrative and Implementation Support of Elections schedules for House Committees and the Central House Committee
- Attendance of all elections-related meetings and minute-taking
- Support with the Inauguration, Induction, and Orientation of elected House Committees and the Central House Committee
- Collation of training materials including manuals, resources, hand-outs etc
- Receiving and screening of Event requisitions and attached budgets for final sign off from the Coordinator and ResLife Manager
- Setting up, maintaining, monitoring, responding to, and updating social networking sites and programme marketing strategies on behalf of Student Leadership Support
- Managing diary appointments and scheduling student engagement activities for the Student Leadership Coordinator and broader RS Management
- Ensuring budget allocations across student leadership structures are captured accurately and tracked as programme implementation occurs (must adhere to Procurement Policy and parameters set for student leaders’ access to funding for programming)
Minimum Requirements
- A National Diploma or Advanced Certificate (NQF 6) in Project and/or Office Management or related
- 2 to 5 years demonstrated experience in a project administrative and implementation capacity
- A valid SA driver’s license for a minimum of 2 years
- Excellent skills in terms of office and project administration
- Have a demonstrated understanding of procurement activities and processes in previous work experience
- Prior experience must demonstrate experience in working with young people in a higher educational setting
- The applicant must be prepared to work after hours to accommodate availability of students for programming
- Evidence of participation in training and related activities
- A Post Matric qualification (NQF 7) in Project and/or Office Management

Your opportunity:
Annual and Leadership Giving team provides strategy, direction and management to the growth of U of T’s annual giving programs. As a member of the annual and leadership giving team, you will support fundraising and stewardship efforts to grow mass philanthropic engagement and individual philanthropic engagement. We hire outstanding people from a variety of backgrounds and currently seek a Coordinator to join our diverse group of talent.
As a member of the annual and leadership giving team working under the general direction of the Associate Director, Annual Leadership Giving Campaigns, the Coordinator will administer and evaluate the campaign performance of mass philanthropic campaigns. The service-oriented incumbent will develop and implement multi-channel solicitation efforts, including direct mail, email and telefundraising, by coordinating the services of internal and external resources, collaborate on the composition and production of campaign collateral materials and donor communications, and serve as a liaison with faculties. The detail oriented incumbent will analyze campaign data and results, segment lists and divisions donor records. The incumbent will also provide customer service through follow up on direct mail, on-line and telefund initiated inquiries.
Your responsibilities will include:
- Assessing needs and contributing to the development and implementation of plans for prospect identification, cultivation, solicitation and recognition
- Developing and implementing donor engagement plans that support strategic objectives
- Determining logistics required for fundraising activities including direct mail, email and telefund
- Advising on the development of promotional/outreach materials
- Maintaining information on digital platforms
- Providing formal job-related training
- Directing the work of volunteers in defined activities
Essential Qualifications:
- Bachelor's Degree, preferably from the University of Toronto; or the equivalent combination of education and experience.
- Minimum four years relevant experience; with knowledge of the general area of postsecondary or continuing education.
- Experience with fundraising and stewardship efforts
- Experience implementing multi-channel solicitation efforts, including direct mail, email and telefundraising
- Experience performing data extraction, data analysis and reporting.
- Computer literate in Microsoft Office software (especially in Excel) and familiarity with maintaining web sites. ARBOR knowledge and experience required.
- Detail oriented, strong organizational and analytical skills, project and time management skills.
- Ability to multi-task while working under pressure to meet competing deadlines.
- Strong oral, written communication and interpersonal skills
- Ability to interact with individuals of diverse backgrounds and interests both within andbeyond the University.
- Strong customer service orientation; ability to demonstrate tact, diplomacy, sensitivity and discretion in dealing with individuals of affluence and influence.
