Providing administrative and clerical support to attorneys specializing in litigation cases. They are crucial in managing the administrative aspects such as : preparing legal documents, managing deadlines, and maintaining case files.
POSITION INFO :
KEY RESPONBIBILITIES :
- Document Preparation :
- Drafting & formatting legal documents (pleadings, affidavits, briefs, memoranda & discovery requests)
- Proofreading documents for accuracy & compliance with legal formatting standards
- Compiling & organizing legal documents with case files.
- Case Management :
- Opening new case files, recording relevant information & updating case management systems
- Tracking deadlines, court dates & important milestones in litigation cases
- Maintaining detailed case files with proper organization and indexing
- Scheduling and Communication, Administrative Tasks :
- Scheduling court appearances, depositions, client meetings & conferences
- Communicating with clients to provide updates on case progress & gather necessary information.

Our client, a global law firm, has an opportunity for a Payroll Accountant. The ideal candidate will have knowledge of cross-border secondments, transfers, or hires related to payroll processing. This role involves the overall management of the payroll department, providing guidance, mentoring, and coaching as needed. Additionally, you will ensure that the payroll team consistently delivers superior customer service to both internal and external clients.
Key Performance Areas:
- Compile the annual manpower salaries and headcount budget in conjunction with the Human Resources department.
- Manage projects as and when required.
- Assist in developing & maintaining payroll reporting processes, procedures and internal control for the purpose of maintaining an efficient payroll function.
- Oversee the reconciliation of data between the payroll system and general ledger system.
- Monitor & manage manpower budget against actual spend on a monthly basis and report on variances.
- Critically review and analyse current payroll procedures to recommend and implement changes leading to best practice as and when required.
- Ensure extraction of all monthly management reports (ie headcount data & employee costs).
- Oversee the payroll audit activities in respect of external and internal audits (ie journal entries, adjustment of entries and accruals, financial reports and statements).
- Monitor payroll activities and ensure that all processes are compliant in accordance with established financial, legal and/or administrative requirements.
- Recommend policies, procedure and action on issues that relate to financial operations in order to provide direction and to assist with decision making.
- Demonstrate in depth experience in managing, motivating, developing and building effective relationships within the payroll team and ensure overall supervision of payroll staff.
Required Experience and Qualifications:
- B-Com degree or equivalent qualification.
- Minimum of 5 years suitable payroll & accounting experience.
- Sound knowledge of MS Office (i.e MS Word, Excel & PowerPoint).
- VIP payroll experience.
- Sound knowledge of accounting systems.
- Countries: South Africa and Tanzania.

Summary
The work of the legal secretaries at Sidley Austin LLP (the "Firm") is critical to the overall operation of the Firm and the ability of each and every lawyer to serve the Firm's clients effectively. At the Firm, legal secretaries are considered professionals and important members of the team. An effective team is based on mutual respect, cooperation and commitment to a common goal.
When a secretary is hired by the Firm, she or he is hired by the Firm and not by a particular lawyer. Thus, secretaries are expected to play an active role in assisting their assigned lawyers - and, when necessary, assisting other lawyers and other secretaries - toward the common goal of providing the Firm's clients with the best service possible.
To be an effective member of the team, secretaries should familiarize themselves with Firm procedures, from the way files are organized in the Records Department to the billing procedures of the Accounting Department. To be an integral part of a practice group, secretaries should also work with their assigned lawyers in establishing and maintaining the particular procedures of the practice group and the lawyer's individual requirements and procedures.

- Analyzes, allocates, processes and monitors complex expense reports
- Maintains and updates assignments' client/matter lists, Outlook contacts and Marketing mailing lists
- Responsible for assignments' annual mailings
- Researches and routes correspondence
- Produces information by formatting, inputting, editing, retrieving, copying and transmitting documents
- Proofreads and reviews all work produced
- Receives, screens and transfers telephone calls; relays telephone messages according to method preferred by assignments (e.g., written messages, email, or voicemail)
- Responsible for submitting requests for conflicts reports; prepares and monitors creation of new business forms
- Coordinates client billing with billing specialist
- Enters, proofreads and finalizes assignments' time entries on a daily basis;
- Maintains assigned lawyers' files pursuant to the Firm's Policy on Records Management
- Support visiting lawyers/clients when required
- Ability to work well with all levels of internal management and staff as well as outside clients and vendors
- Works harmoniously and effectively with others as part of a team
- A self-starter who desires to show ownership and commitment to the job; accepts responsibility for actions
- Exercises confidentiality and discretion
- Volunteers to assist others and seeks out work during slow periods in work load
- Continues to develop skills and abilities

Salaries vary by location and are based on numerous factors, including, but not limited to, the relevant market, skills, experience, and education of the selected candidate. If an estimated salary range for this role is available, it will be provided in our Target Salary Range section. Target Salary Range
$63,000 - $123,000 if located in New York
