To assist in the smooth and efficient running of the department by performing administrative, operational, quality, safety, and data capturing functions.

Key Performance Areas (KPA)
  1. Administrative Duties
    1. Perform data capture of patient and donor information on internal and external databases.
    2. Prepare billing documentation and enterprise scan and load them onto the content server for the Finance department.
    3. Prepare patient files and documents for checking, signature, and dispatch.
    4. Maintain an efficient filing system such as stock control, equipment, maintenance, repairs, orders (shopping carts, purchase orders, invoices, and proof of payment as appropriate) and stores files.
    5. Print certificates of analysis for reagents and consumables received in the laboratory.
    6. Print freezer graphs and patient test results for filing.
    7. Create shopping carts on SAP.
    8. Follow up on outstanding items and orders in a timely fashion.
    9. Book travel-associated requirements on the travel service provider site.
    10. Conduct stock take of the laboratory consumables and generate reservations on SAP.
    11. Communicate with Stores with regard to reservations.
    12. Maintain an adequate stock of all supplies needed in the laboratory.
    13. Prepare documents to be archived according to SOP.
    14. Retrieve archived documents and files as and when required.
    15. Communicate with the Finance Department with regard to all billing enquiries.
    16. Prepare minutes of laboratory meetings as and when required.
    17. Communicate with external service providers with regard to problems experienced.
    18. Follow up on incomplete requisitions with physicians or transplant coordinators.
    19. Dispatch samples for testing by both internal and external stakeholders.
    20. Attend to liquid nitrogen suppliers for deliveries.
    21. Send out flow cytometry reports to the correct clinical facilities and clinicians.
    22. Internal receipt and delivery of samples as and when required.
    23. Update stem cell calendar as and when requests for re-infusions are received.
    24. Dispatch samples and or consumables upon request.
    25. Handle laboratory work-related telephonic enquiries.
    26. Interact professionally and courteously with internal and external stakeholders.
  2. Operational Duties
    1. Prepare stem cell hampers for out-of-zone stem cell collections.
    2. Ensure temperature monitoring for all lab equipment is accurate.
    3. Coordinate the booking of eye serum donations with donor centers.
    4. Receive and process eye serum both electronically and physically, including spinning and labelling after bottling.
    5. Update stem cell calendar with all appropriate information as and when received from registries and clinical facilities.
    6. Dispatch samples and/or consumables upon request.
    7. Handle laboratory work-related telephonic enquiries.
    8. Receive and pack all received stock.
    9. Discard expired reagents and report on wastage and low stock levels.
    10. Routine cleaning, inventory, and management of fridges and freezers.
    11. Attend and provide feedback at scheduled meetings.
    12. Perform other reasonable job-related duties upon request.
  3. SHEQ Duties
    1. Compliance to safety policies and procedures.
    2. Compliance to policies and procedures to ensure that accreditation requirements are implemented and maintained.
    3. Identify systems non-conformances and elevate problems and/or solutions to the Head: Cellular Therapy Laboratory.
    4. Assist with the preparation and monitoring of a scheduled maintenance and calibration program for the laboratory.
    5. Prepare plant maintenance requests for equipment maintenance and calibration.
    6. Coordinate with external vendors for scheduled services.
    7. Assist with the preparation, tracking, and traceability of healthcare risk waste when required.
    8. Report all incidents or near-misses.
    9. Perform daily temperature checks and print monthly monitoring graphs.
    10. Cleaning of laboratory work areas and benches.
    11. Assist manager/s and other stakeholders in problem-solving and troubleshooting for non-conformances and incidents.
    12. Perform reasonable job-related requests.
  4. Waste Disposal Duties
    1. Dispose of waste according to the standard operating procedure.
    2. Order, receive and store all stock required from Waste Disposal providers.
    3. Attach traceability labels and scan containers into stock using the relevant laboratory information system.
    4. Capture waste information electronically using the appropriate system.
    5. Complete the changeover/rotation of waste bins/buckets/wheelie bins according to the waste management policy when required, but at least once a week.
    6. Complete waste traceability documentation, including but not limited to: recording of waste tracking documentation, preparing dangerous goods documentation etc.
    7. Collect and place waste containers in the designated area.
Minimum Requirements
  1. Matric/Grade 12
  2. HPCSA Registered Laboratory Assistant
  3. Computer literacy in Microsoft Office.
  4. SAP and/or Meditech experience preferable

MINIMUM EXPERIENCE AND KNOWLEDGE REQUIRED:

  1. 7 years' experience within a Laboratory Manager role.

  • Conduct micro-testing on people, equipment, environment, water, and air by plating on Agar plates and Petri Films.

  • Communicate any deviations to the Team Leader and/or Quality Manager and assist in root cause analysis to identify the source of deviation/non-conformity.

Ensure all reagents to be used are available and discard all waste generated during analysis:

  • Correct and safe packing of waste for disposal.

Health, Safety, Quality and FSSC 22 000:

  • Inspection on plant and products.
  • Ensure adherence to standards.
  • Ensure that all work is done in a safe manner and all equipment used complies with Safety Standards.
  • Support the company's Health and Safety as well as Quality programme to achieve the identified objectives and targets and fulfil the responsibilities assigned by management. Adhere to all Food Safety Standards and report on all issues with regards to the Food Safety Management System to the Food Safety Team.

  • Perform the (weighing, fluxing, fusion, cupelling and dissolution of prills) exactly as per relevant Competence Modules set (Weighing in Geochem Fire Assay, Fluxing in Geochem Fire Assay, Fusion, Cupellation, Digestion of Ag and Pd prills)
  • Punctuality at all times.
  • Ensure customer requirements are achieved with regard to the turnaround time commitments. Report daily production figures to Team Leader/Supervisor, and also bona fide explanations for targets not met.
  • Assist in the investigation of any irregularities/non conformances within the Fire Assay process including the Improvement Requests and Client’s Complaints.
  • Follow Team Leaders/Supervisors clear detailed instructions and demonstrate flexibility in executing the duties.
  • Must have the basic understanding of the LIMS system.
  • Must comply and conform to the Quality Management System (ISO17025 and SANAS).
  • Assist with the profiling of jobs scheduled for the day, night & weekend shifts.
  • Assist with the maintenance of the laboratory instruments and apparatus.
  • Must be willing to work overtime/flexible hours when necessary.
  • Assist in the co-ordination and supervising of the production team.
  • Assist in the completion of Production report.
  • Assist in ensuring that required stock levels for Laboratory are maintained.
  • Assist in the monthly stock counts within the department.
  • Standing in for Team Leader during his absence when required due to meetings, trainings, sick leave & annual leave.
  • Adhere to all quality requirements of the SGS management system.
  • Perform any other reasonable tasks as assigned by direct line manager.

Education

  • Matric

Experience

  • Experience in Fire Assay laboratory will be an advantage.
  • Knowledge of Laboratory Quality Management system will be an advantage
  • Ability to strictly follow and understand instructions
  • Ability to communicate (both written and verbal) fluently in the English language
  • Knowledge of Laboratory Quality Management system
  • Matric literacy and numeracy skills
  • Ability to work well in a team situation towards achieving common departmental goals
  • Ability to work 24/7 shift patterns
  • Ability to work at multiple work stations when required
  • Ability to work systematically at all and maintain work and workflow traceability at all times
