Stock Control Coordinator
to join our team in Cape Town. With the Storman reporting into this position, this position will be responsible for accurately capturing and updating stock movement data and General Ledger (GL) entries for multiple store locations, ensuring that the required stock levels are maintained and that service delivery is cost-effective, timeous and efficient. This role is essential to ensuring the integrity of inventory records and financial reporting.

Key Responsibilities:

  • Manage inventory, stock levels, and supplier orders.
  • Capture and process daily stock transactions, including stock in/out, transfers, adjustments, and returns.
  • Input General Ledger (GL) entries accurately in the financial system, ensuring proper coding and categorization.
  • Reconcile captured data with physical stock counts, supplier invoices, and system reports.
  • Prepare monthly reports related to inventory movement and financial entries, providing accurate financial stock level reporting.
  • Ensure that all data entries comply with internal controls, accounting standards, and audit requirements.
  • Coordinate with foreman, managers and vendors for product availability.
  • Coordinate with storemen, foremen, finance team, and procurement to resolve discrepancies in stock or financial data.
  • Monitoring of rental equipment.
  • Maintain records of sales, expenses, and store performance reports.
  • Maintain and update filing systems, both electronic and manual, ensuring all documentation is accurate and accessible.
  • Manage and control inter branch invoicing within the group.
  • Participate in periodic stock takes and audits as required.
  • Handle customer inquiries, complaints, and escalations.

Requirements:

  • Matric (Grade 12) or equivalent.
  • A diploma or certificate in Accounting or Finance related.
  • Inventory related qualifications will be advantageous.
  • Minimum 8-10 years of experience in record keeping in an inventory-based environment.
  • Able to implement and sustain procedures.
  • Proficient in Microsoft Excel and experience with accounting/inventory software.
  • High level of accuracy in data entry and record-keeping.
  • Ability to manage a department.
  • Ability to problem solve.
  • Good verbal and written communication skills.
  • Ability to prioritize tasks and meet deadlines under pressure.

The purpose of this position is to provide assistance of the overall day to day stock control administrative processes in the New Market Cold Store (NMCS).

Qualifications:

  • Minimum Grade 12 or equivalent qualification
  • A tertiary qualification in stock management, logistics, warehousing or supply chain will be a great advantage

Experience:

  • Minimum of 3 years' experience in assisting with stock control administrative and operational processes
  • Experience in FMCG / Cold storage environment is essential

The ideal candidate will be responsible for:

  • Effective assistance in stock control of finished product within NMCS
  • Assisting in controlling returned products and initiating the credit process
  • Assisting the Stock Controller and Cold Store Supervisors in arranging stock movements to and from outside storage facilities
  • Assisting with weekly and monthly stock takes of the entire NMCS facility and outside storage facilities
  • Ensure proper housekeeping is maintained and arranging repairs on racking as required
  • Assist in weekly and monthly cycle counts as per cycle count procedures. Ensure all cycle count documentation and reports printed and signed off. All discrepancies to be reported to Senior Stock Controller.
  • Ensuring correct stock rotation according to expiry dates and keeping Stock Controller alerted on any movements of which they are not aware

The successful candidate will meet the following requirements:

  • Good understanding of warehouse operations activities, material handling equipment, warehouse systems and pallet management software.
  • Microsoft Office (MS Internet Explorer, MS Outlook, MS Word, MS PowerPoint and MS Excel)
  • Vantage Mobile logistics planning system
  • Must have excellent communication and interpersonal skills;
  • Honest, high degree of accuracy and attention to detail
  • Must be numerate and literate (apply mathematics calculations)
  • Able to communicate well in both English and Afrikaans languages
