The European & Developing Countries Clinical Trials Partnership (EDCTP) is a non-profit organisation with a European office in The Hague, The Netherlands and an African office in Cape Town, South Africa. EDCTP is a partnership between European and African countries to accelerate the development of new clinical interventions such as drugs, vaccines, microbicides and diagnostics against poverty-related diseases in Africa. The organisation supports clinical trials, capacity strengthening and networking in Africa and Europe. We are looking for an Administrative Officer to be based at the EDCTP Office in The Hague. The Administrative Officer, under the supervision of the Director of Finance and Administration, will be responsible for providing administrative support to the EDCTP Secretariat in The Hague.
Duties and responsibilitiesThe main duties and responsibilities of the Administrative Officer will include, but are not limited to the following:
- Providing administrative and secretarial support
- Taking minutes at staff meetings
- Updating agendas and arranging meetings for directors and managers
- Maintaining phone and other relevant contacts for the organisation
- Any other tasks, duties or specific assignments which may arise as directed by the Director of Finance and Administration.

- Receive requisitions. Process requisitions. Coordinate the placement of orders for goods and services. Place orders for the service in case of a required service. Order and acquire goods if not a store item or the item is not in stock. Receive and check goods. Capture goods on relevant procurement system. Return damaged incorrect and substandard goods. Issue goods as required. Prepare and collect payment documents. Facilitate continuous monitoring of inventory. Facilitate stock taking according to stock taking plan. Conduct comparison of stock counted with official records. Identify outdated, unserviceable, redundant and obsolete stock. Prepare the identified stock for disposal. Develop proposals for the disposal method. Preset to the disposal committee for approval.
