We are seeking candidates for this demanding and accountable position in our Faculty. The role is primarily devoted to the oversight, management, and delivery of academic administrative services, working in partnership with the Dean, Deputy Deans and chairpersons of academic departments. As the successful candidate you will have overall responsibility for the operational management of the Faculty's academic administration and will work closely with the Faculty's leadership, academics, administrators and students, as well as the Registrar's office and Human Resources.

The successful incumbent will offer strategic support, guidance on policy formulation, and advice to the Faculty on every aspect of administration management. You will have the responsibility of putting into practice policy and administrative procedures in the Faculty as well as managing the Faculty Office staff and overseeing procedures within the Faculty.

The successful candidate will be responsible for the following:

  • Facilitating a vision and mission for the administrative function of the Faculty;
  • Providing strategic support in the development and implementation of policies and the Faculty Operational Plan as a member of the leadership team;
  • Establishing an annual administrative operational plan in line with the Institutional and Faculty Operational Plans;
  • Staff management in relation to the University's Personal Development Management System (PDS) and Integrated Talent Management Framework (ITMF);
  • Advising and liaising with academics, departmental administrative staff, students, applicants and committees;
  • Ensuring compliance and alignment with central administrative systems, procedures and standards;
  • Governance and committee administration;
  • Monitoring, evaluation, reporting, data analysis and planning;
  • Administering Faculty finances and preparing an annual Faculty budget for the Dean;
  • Integrating central HR practices with Faculty needs;
  • Maintaining and improving facilities, equipment, building standards, hygiene and cleanliness.

Minimum Requirements

  • An NQF 9 qualification (Master's degree);
  • At least 5 years' academic administration experience at a senior level in a higher education environment;
  • 5 years' proven staff management experience, preferably in higher education;
  • Proven working knowledge of Higher Education legislation, regulations and policies;
  • Experience in high-level committee servicing;
  • A proven ability in the coordination of diverse, complex and high-level administrative functions, as they relate to the academic cycle in a higher education institution;
  • Excellent oral and written communication skills in English;
  • A high level of computer literacy and proficiency in MS packages.

  • Monitors and tracks progress on the roll out of the academic operational plans to establish its status to ensure that the plan is on track.
  • Contributing to the collation of the National Assessment Schedule considering shared modules/out sync and Phase out modules.
  • Responsible for collating and maintaining the Programme Assessment Schedule.
  • First point of escalation for faculty related campus queries including For Action Now reports.
  • Monitors and tracks the external moderation process from end to end to ensure policy and moderation timelines are adhered too.
  • Alongside the Faculty Manager support the communication across the various platforms, contributing to Teaching and Learning, Faculty Board and clear guidance to the faculties across the campuses.

Collaboration with the Academic Centre of Excellence (ACE)

  • Works closely with the Deans, Faculty Manager, Heads of Campus Faculties and Campus Operations teams as well as ACE in providing a holistic/measured/well-rounded and considered approach to issues and challenges that exist.

Overall Job Purpose:

  • Supports the Developer with any administrative requirements they might have.

  • Responsible for ensuring invoice is received and that the developer is paid once necessary approvals have been completed.

Material delivery administration

  • Receives development plan with module tasks as per Standard Operating Procedure (SOP) to begin workflows for responsible academic.

  • Accountable for ensuring moderated and edited module work is returned timeously.
  • Responsible for uploading to the system for feedback.
  • Reviews feedback and actions accordingly as per instructions from responsible academic.
  • Uploads and approves the final version for brands to print/upload.

Moderation administration instrument

  • Shares contract agreement and annexures with approved moderator.
  • Responsible for sharing report template and instrument for moderation.
  • Ensures the signed contract is returned.
  • Receives moderated papers and report and workflows this to responsible academic for review.
  • Supports the moderation cycle from start to end.
  • Responsible for ensuring moderators invoice is processed and payment takes place once moderation cycle is complete.

External moderation of invigilated and non-invigilated summative assessment scripts

  • Shares contract agreement and annexures with approved moderator.
  • Ensure signed contract is returned.
  • Shares summative assessment with moderator via email or link is provided.
  • Tracks the cycle from start to finish to ensure deadlines are met.
  • Reviews comments on the MCS, and sends to the responsible academic for verification and approval.

Job Description:

The College of Business & Economics is recruiting an Administrative Assistant Ill to support the Head of College Administration (Undergraduate) in the execution of her duties. Set within a fast-paced environment, this role demands outstanding planning and organisational skills in rendering excellent administrative support. The incumbent will be responsible for all aspects pertaining to general office administration duties on the Kingsway campus specifically for the CEP programmes amongst others application, registration, student records, examinations and graduations.

Responsibilities:

The responsibilities and duties of the successful incumbent include the following:

General Administration, which includes, but not limited to, the following:

  • Handling of queries and enquiries (telephonic, email, walk-ins).
  • Assisting Faculty Officers with the execution of designated administrative duties regarding Undergraduate (UG)
  • Process QVS requests.
  • Compile manual/electronic transcript.
  • Verification of historical certificates.
  • Compile Letters
  • Edit module information on ITS Integrator for the electronic transcript supplement.
  • Print academic records.
  • Filing and scanning documents.
  • Print proforma statements (quotations).
  • Updating Perceptive Content.

Applications and Registration, which includes, but not limited to, the following:

  • Assisting with the complete life cycle of a student from application, registration, assessment to graduation.

Other Administration:

  • Handling and processing requests regarding deferred/substitute assessments.
  • Handling enquiries regarding examination and timetable clashes.
  • Any other functions as delegated by the line manager.

Minimum requirements

  • A Diploma/Certification (NQF 6) or relevant qualification.
  • Three (3) years' relevant job-related experience.
  • Proven computer skills in Windows and MS Office.
  • Working knowledge of Integrator 4.1 system experience and management of student data.
  • Knowledge of administrative business processes.
  • Knowledge of UJ academic regulations.
  • Knowledge of UJ policies and procedures.
  • Knowledge of all life-cycle activities pertaining to academic administration.

Job Purpose

Responsibilities Required:

  • Prepare and deliver lectures and engage students in active learning based on module-specific requirements in line with module pacers
  • Update the learning management system and provide feedback to students
  • Engage and prepare students for formative and summative assessments, identify at risk students and monitor student engagement
  • Attend and participate in all academic meetings and development workshops
  • Complete a set number of academic professional development interventions per academic cycle (one year) that contribute to the improvement of the Brand's teaching and learning practice and personal professional academic status

Work Experience

  • Experience in teaching relevant law modules at tertiary level.
  • Teaching law modules for LEAD (Legal Education and Development).
  • Practical work experience relating to the relevant module.
  • A practicing attorney, advocate, legal advisor, magistrate, or judge or otherwise in the legal profession, commissioner at the CCMA, and or Bargaining Council.
