Assume responsibility for the efficient functioning of the day-to-day responsibilities of the investment compliance area. Interact with the compliance team and dealing team on the interpretation and implication of compliance on the various areas of the investment compliance function.
Duties and ResponsibilitiesThe position focuses on the following main tasks, but not restricted to the below, and which will be applied to clients and prospective clients of the Group.
Main Tasks:
Dealing with all the pre-trade and post-trade compliance aspects (including but not limited to monitoring and reporting) in relation to regulatory requirements, industry guidelines and investment mandates.
Daily system / technical responsibilities:
Daily instrument maintenance
- Rule loading and maintenance

General queries
Understanding of investment restrictions for various areas in the business.
Understanding of investment management data sets including, but not limited to, portfolio valuation and trade data.
- 2 – 3 years' experience in breach management and / asset management compliance will be a distinct advantage.
- Other relevant compliance/ financial services industry training; experience in financial services industry, in particular, asset management industry with sound knowledge of investment instruments and products.
- Relevant legal or financial qualification, e.g. BBusSci or B.Com. LLB
- Excellent interpretation skills coupled with a business and problem-solving orientation.
- Advanced skills in MS Excel essential.
- Bloomberg or similar compliance systems experience is an advantage.

Responsibilities:
- Verify purchase orders to ensure compliance with shipping and payment standards
- Review import/export documentation before submitting to clearing agents
- Capture procurement data and costing accurately on relevant data sheets
- Assist in preparing and submitting clearing instruction forms to agents
- Support the export process for all Adendorff branches across South Africa
- Upload and manage documentation in procurement files and folders
- Follow up with shipping agents regarding all shipments on water
- Ensure errors are rectified with shipping agents and in-house processors
- Liaise with the warehouse regarding queries, deliveries, and logistical matters
- Assist with NRCS, Customs, and SAPS inspections when required

Qualifications:

Role overview :
To facilitate imports and exports for the company by liaising between customers, suppliers, and transport companies to ensure an efficient operational service is provided.
POSITION INFO : RESPONSIBILITIES :
- Support the company with importation and exportation of equipment from various suppliers to customers.
- Maintain accurate records of all imports and exports, including costs, and keep the digital filing system updated to ensure business continuity.
- Liaise with Customers, Freight Forwarders, and Operations departments to ensure timely receipt, distribution, and recording of all documents.
- Communicate with customers, suppliers, forwarders, and agents to obtain up-to-date shipment information and facilitate smooth documentation flow.
- Coordinate with the supplier and procurement department to ensure imported goods are properly packed and shipped via the appropriate mode of transport according to current incoterms, considering destination requirements.
- Manage all exports from South Africa or other countries, understanding destination requirements such as pre-shipment inspections, certificates of origin, special packaging, and dangerous goods handling.
- Prepare necessary documents, including packing lists and commercial invoices, in accordance with project BOQ and country-specific requirements.
- Consolidate reports to keep customers informed about shipment progress.
- Provide transport companies with relevant information to meet delivery requirements.
- Obtain quotations for shipments (Sea, Air, etc.) and ensure costs are approved by the project manager.
- Adapt to changing import/export regulations and permit requirements across different countries.
REQUIREMENTS :
- Matric qualification is essential.
- A related tertiary qualification would be advantageous.
- Minimum of 5 years’ experience in a logistics environment.
- Experience working with freight forwarders is necessary.
- Strong customer service skills.
- Proficiency in Microsoft Word and Excel.
