Overall Responsibility: The Buyer's Assistant plays a vital role in supporting the Procurement Manager in the day-to-day execution of procurement activities. You will be responsible for managing purchase orders, supplier communication, pricing updates, as well as general administrative tasks. You will work collaboratively with internal departments such as Production Planning, Sales, Operations, Marketing and Finance to align procurement activities with business needs while ensuring compliance, cost-effectiveness, and timely delivery of all required materials.

Requirements for the role:
Purchase Order (PO) Management:
- Raise and manage purchase orders (POs) in accordance with approved requests and procurement plans.
- Ensure POs are accurate in terms of product specifications, quantities, pricing, and delivery timelines.
- Track and follow up on open POs to ensure timely delivery of raw materials, packaging, consumables, and equipment.
- Maintain up-to-date records of all POs and related supplier documentation.
Supplier Communication & Support:
- Liaise with suppliers to confirm delivery schedules, order confirmations, and resolve order discrepancies.
- Manage supplier returns and process non-conformance reports (NCRs) efficiently.
- Maintain accurate and current supplier price lists, updating pricing information in ERP systems when necessary.
- Provide regular feedback to suppliers based on internal quality and delivery performance data.
- Assist the Procurement Manager in developing, maintaining, and enhancing strong, collaborative relationships with suppliers by supporting communication, coordinating meetings and follow-ups, and helping to resolve any issues or discrepancies. Work proactively to build trust and ensure suppliers meet quality, delivery, and compliance standards, contributing to long-term strategic partnerships.
Procurement of PPE, Office & Consumables:
- Take ownership of the procurement of Personal Protective Equipment (PPE) and consumable items, ensuring adequate stock is maintained.
- Oversee the procurement and distribution of office stationery and refreshments, managing inventory and reorders.
Administrative & Reporting Tasks:
- Provide general administrative support to the Procurement Manager, including managing schedules, follow-ups, taking down meeting minutes, supplier file organization, internal and external communications.
- Help source new raw materials, packaging options, or process-related items to support product innovation and business growth.
- Assist in identifying and onboarding new suppliers to diversify the supply base and reduce risk.
- Prepare and submit the monthly Polyco report accurately and on time, while ensuring the account
remains current and all relevant data is regularly updated and maintained.
General Office and Administration Duties:
- Coordinate the compilation and organization of Monthly Management Packs and Quarterly Board Packs via Microsoft Teams, ensuring all contributions are complete and submitted on time
- Prepare refreshments and platters for management and board meetings. Set up the meeting venue in advance to ensure a professional environment.
- Arrange and dispatch parcels through courier services.
- Perform weekly server room tasks, including changing the hard drive backup every Friday.
- Manage travel arrangements and bookings for the CEO.
- Direct customer complaints received through the company website to the relevant departments for resolution.
- Serve as the primary liaison with IT service providers (WIT & Nashua) for printer, telephone, and office system support.
- Maintain basic oversight of IT hardware and software requirements, with support from service providers.
- Generate and distribute the Daily Demand Management Report to key stakeholders, including Sales, Production, and Planning teams.
- Process and GRV (Goods Received Vouchers) purchase orders related to HR, Finance, and Operations daily.
Minimum Education and/or Work Experience Requirements:
- Grade 12
- Degree or Higher Diploma in Procurement, Supply Chain Management or Logistics
