IntroductionTo achieve the Procurement team goals by providing administrative support to the Buyer and to ensure the smooth running of the department.
- Perform essential administrative tasks, including document management and report preparation, to support the smooth functioning of the team.
- Communicate daily with suppliers to coordinate product availability and facilitate weekly reconciliations.
- Liaise with buyers and planners to ensure product supply meets demand, initiating corrective actions as needed.
- Provide support in managing orders and maintaining accurate static data records.
- Support the commercial team with general administrative tasks, including price and pack updates for suppliers.
- Prepare departmental reports, presentations, and supporting documents across Excel, Word, and PowerPoint.
- Conduct market comparisons, update promotional calendars, and assist in managing departmental operating expenses.
- Ensure timely follow-up on outstanding issues stemming from meeting minutes.
- Coordinate logistics for meetings, including room bookings, travel arrangements, and parking.
- Compile, update, and maintain organized supplier files.
- Support monthly commercial presentations, contract preparations, and trading terms documentation.
- Manage ad-hoc queries and perform other administrative duties as they arise, including critical tasks during events.
Technical Skills:
- Minimum of two years of relevant administrative experience, preferably within a retail or commercial environment.
- Diploma or Matric (Grade 12) qualification required.
- Proficiency in Microsoft Office Suite, with strong skills in Excel, PowerPoint, and Word.
- Familiarity with COGNOS, CAM, JDA, and Oracle systems is advantageous.
- Basic understanding of retail accounting practices, including expense management and reconciliation.
- Foundational knowledge of buying and planning principles within a retail or supply chain setting.

Your primary responsibility will be to manage a small buying portfolio with guidance from the Buying Manager and to support the department across all administrative functions related to the purchasing of products.
Duties and responsibilities to include but not limited to:• Responsible for managing a small portfolio alongside supporting the Buyer on administrative work.

The purpose of the role is to be accountable for sourcing/maintaining suppliers for various portfolios within a category based on profitability targets.
Duties and responsibilities to include but not limited to:- Develop a comprehensive strategy/plan to drive growth across the department in sales, brands, suppliers and new product listings
- Source and prioritize new brands and suppliers according to this growth plan and in line with market trends and consumer demand
- Deliver against key financial and service level performance indicators within the department (sales, intake and sales margin, listings availability, sell throughs, stock cover etc.)
- Manage and develop supplier relationships, negotiate good prices, improve trading terms and manage intakes and suppliers according to strict SLAs
- Develop a promotional program, source great deals and manage site merchandising for the department
- Support the operations team in delivering a world-class customer experience – monitor department returns, support the customer service team on product queries and resolving any customer complaints
- Manage stock and availability (including replenishment orders, stock cover)
- Manage OTB and Intakes
- Supporting performance improvement initiatives for the Retail team as a whole
- Bachelor’s degree (Business Science/B.Com/Bsc)
- Commercial postgraduate qualification (Honours/Postgraduate Diploma)
- 8 years’ experience in retail buying
- 3-5 years’ experience as a Senior Buyer (Home and Living / Menswear / Maternity division)
