  • To participate in Wowing our internal customer through the accurate and timely allocation of work to the showroom administration team and tracking of the same thereby allowing management access to the right information in a timely manner to effectively manage performance.

What you will love doing in this role

Operations Administration

  • Engage with the showroom regional managers and showroom managers to understand and set out stock related priorities for the day / week etc and assignment of tasks as per priority.
  • Engage with showroom manager to understand resource allocations for various tasks to ensure work is distributed appropriately.
  • To actively engage with the showroom manager / Stockroom clerk to plan and produce a daily forecast work plan for the next day based on tasks and priorities and ensure daily goals are established at a person and task level.
  • Track operational metrics eg Count progress / Liquidation during execution of task and escalate problematic performance to line manager.
  • Manage timelines for counts and liquidation controls
  • Follow ups on Liquidation with the Courier to ensure delivery of ALL stock handed over to coutier by showroom arrives at DC.
  • Executes ad hoc tasks as per the business requirements.
  • Manage ageing of all tasks created by Inventory department and ensure all items closed within SLA.
  • Gain a high level of process and system knowledge to perform 1st line of troubleshooting for staff.
  • Act as escalation point for all system related issues to WMS analyst and ensure timely closure of issues.
  • Provide data and or reporting for daily, weekly, monthly reporting requirements.
  • Monitors the Showroom inventory team and individual outputs in order to maximise the efficiency of the department.

Administration

  • Timely and accurate administration of all departmental trackers pertaining to people and operational process.
  • These include but are not limited to attendance, absenteeism, leave registers, departmental data capturing eg performance, efficiency, effectiveness etc.
  • Provide data and or reporting for daily, weekly, monthly reporting requirements.
  • Records minutes and manages closure for minutes within agreed timelines.
  • Provide inputs for the line manager for signing off of time sheets.

Health & Safety

  • Identify all existing and new hazards and take all practicable steps to eliminate, isolate or minimise the exposure to any significant hazards.
  • You aware of the health & safety hazards in the work areas and are adequately trained to carry out your duties in a safe manner.
  • Employees to consult and participate in all Occupational health and safety matters.

Ensure that there is compliance with all policies and procedures and strict adherence to Internal/External controls. Ensure daily, weekly and monthly reporting is done accurately and timeously and contains appropriate content to enable effective decision making. Ensure that all tasks all completed timeously and are accurately completed, and customers are communicated with timeously regarding their orders. Ensure achievement of company’s strategic objectives, goal plans and targets. Effective coordination with the warehouse, sales and buying teams. Provide support to the Commercial Manager. Oversee all forms of Procurement both local and foreign. Constant research and development to ensure we have the latest products.

Minimum Requirements:

• 5 years experience in procurement or supply chain management.

• 5 years experience in leadership or team management.

• Understanding of the supply chain process.

• Pastel evolution experience.

Responsibilities:

Financial metrics/operational duties:

• Effective management of stock levels (to meet customer orders timeously, holding of appropriate and relevant stock items) – This needs to be regularly communicated to the buying department.

• Creation & review of daily, weekly, monthly reports.

• Awareness of Hollywood second hand stock, to ensure no unnecessary spending.

• Track business expenses and income to ensure all is correct prior to finalizing month end.

• Oversee monthly/ weekly reports to identify slow moving & redundant stock, push to increase sales of these items and then deactivate stock code to avoid future purchases.

• Oversee Disposal and Write-off of inventory.

• Management of staff and consistent practice of code of conduct being applied.

• Oversee the procurement department and all forms of negotiating with Suppliers.

• Monitoring customer trends and informing buying of anomalies as they occur.

• Oversee customers buying trend analysis (in conjunction with the sales team) to substantiate correct stock holding levels but taking into account the company’s working capital requirements.

• Establishing, implementing and monitoring internal controls and processes.

• Identifying weakness accompanied timeous corrective action.

• Management of operating costs.

• Oversee external Sales Reps and Stock Controllers.

• Ensuring effective communication across all departments

• Effective management of multi-warehouse stock levels using the multi-warehouse system and monitoring regional dispatches to inform customers of ETA’s.

• Ensure BOM is being used were applicable as to ensure all costs are highlighted and correct Markup is issued to customers.

• Satisfactory meeting of customer deadlines as per agreed SLA’s.

• Creation of reorder levels and regular updates to these based on the change in customer requirements such that the reorder levels remain relevant.

• Review and approve the reconciliation of what has been ordered/delivered and what has been invoiced to the customer to ensure completeness of the billings.

• Efficient interaction with the sales team.

• Oversee all procurement (local and international) negotiate for the best shipping terms and price.

• Oversee all movement on Pastel through the National Warehouse Administrator

• Ensure all customers requirement and deadlines are met through managing the Warehouse Supervisor and Team/s

People:

• Creation and maintenance of roles and job descriptions and KPIs.

• Performance measuring and management.

• Enforcing ethical, honest, transparent, fair work environment.

• Sourcing of training as and when needed for staff.

• Produce high quality, neat, logical, succinct, easy to follow, easy to understand, formula linked work/templates/workbooks/financial models - of which is substantiated by facts with no numbers in the formulas.

• Ensure the above (final version) and other documents are chronologically saved/backed up.

• Effectively deal with internal, external, SARS and BEE auditors.

Growth and new markets/products:
