Under general supervision, the Medical Assistant is responsible for providing patient care services, determining medical conditions, and preparing patients for examination and treatment under the direction of the Provider.
Essential Functions and Responsibilities:
- Prepare patients for examination, records vital signs and history, and provides treatment as applicable
- Prepares exam/treatment rooms; select, setup, sterilize, and maintain medical supplies and equipment for procedures
- Prepare and administer injections, change dressings, and facilitate wound management under providers orders
- Collect blood, tissue, and other laboratory specimens through routine in-house testing procedures, and analyze and prepare for testing, log results, and perform lab call-backs

Requirements and Qualifications:
- Education: High school graduate or equivalent is required.

Under the direction of the appropriate licensed clinician, the Medical Assistant II (MA II) provides clinical care and performs clerical duties to support office/clinic functions. Will receive workplace education and training to assist providers and the healthcare team in the care of patients.I . Major Responsibilities:

5. Reviews laboratory results and ensures abnormal results are immediately brought to the attention of the physicians and others, as appropriate .
II. Position Qualifications:

Required:
1. High School Diploma or equivalent.
2. Current Basic Life Support (BLS) or Heart Saver (HS) certification from the American Heart Association. If not available upon hire, a BLS/HS must be obtained within 3 months from date of hire.If certification is not obtained within 3 months of hire, the employee may be terminated or employee may apply for another position for which they meet the minimum qualifications.
3. Medical Assistant credential, approved by the Massachusetts Department of Health (ARMA, NHA, etc.).
Unless certification, licensure or registration is required , an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.

Major Responsibilities:

- As an integral member of the patient care team, serves both internal and external customers including patients, nurses, physicians and other colleagues who support the delivery of care and services.
- Provides clear, timely communication to the appropriate licensed clinician regarding observations and changes seen in patient.
- Assists in moving, lifting, positioning and transporting patients by utilizing fall prevention alternative devices/strategies as directed, and following the Restraint Policy standards when caring for a restrained patient. Utilizes proper safety techniques and body mechanic in all work-related activities.
- Performs EKG’s, phlebotomy, performs Point of Care (POC) tests, according to hospital standards. Collects, labels and prepares specimens for transport to lab. Performs selected unit specific procedures such as checking status of unit equipment, cleaning equipment between patients and proper storage of supplies.
- Sets up/prepares rooms based on patient care requirements. Assists appropriate licensed clinician in performing routine physical examinations by preparing patient equipment and supplies. May assist physician, nurse or others with clinical procedures such as, but not limited to lumbar puncture, pelvic examinations, and/or dressing changes. Assists in the setup, maintenance, disassembly and cleaning of patient equipment.
- Cleans, sterilizes and repackages instruments and scopes as assigned. Has required skills to operate the sterilization/cleaning systems as necessary.

- Medical Assistant credential approved by the Department of Health (ARMA, NHA, etc.)

We are seeking a Medical Liaison Assistant to ensure seamless admissions, accurate medical aid authorisations, and professional liaison between patients, families, doctors, and medical schemes. In this pivotal role, you will coordinate the complete patient pathway — from referral to discharge — ensuring efficient processes, meticulous record-keeping, and clear communication across all stakeholders.
Key ResponsibilitiesAuthorisations & Referrals
- Receive and process sub-acute referrals.
- Obtain, track, and follow up on medical aid authorisations.
- Record all referrals, authorisations, and outcomes on the Tokai Administration Sheet.
- Notify relevant managers and referring doctors of declined authorisations.
- Send acknowledgment and “thank you” communications to referring doctors.
Admissions & Financial Arrangements
- Coordinate patient admissions with the Assessment Manager.
- Ensure all admission contracts are signed.
- Put payment plans in place for medication, consumables, and private wards before admission.
- Secure proof of deposits and payment details prior to admission.
- Communicate any medical aid exclusions, co-payments, or benefit limits to relevant parties.
Length of Stay & Risk Management
- Monitor length-of-stay expiry dates and request extensions from medical aids at least three working days in advance.
- Provide necessary reports and updates to medical aids.
- Advise the MDT of potential financial risks.
- Update administration systems and store all approvals appropriately.
Support for Doctors & Allied Practices
- Assist with medical aid claims and authorisations for doctors, physiotherapists, dietitians, and occupational therapists.
- Ensure correct coding, member details, and authorisation numbers are in place.
- Maintain ethical and accurate ICD-10 coding for all admissions.
Admission, Discharge & Billing
- Complete and verify all admission and discharge documentation.
- Allocate beds and assign patients to doctor teams.
- Create patient files and MDT links before admission.
- On discharge, notify medical aids, process refunds, and bill stays
- Ensure no unbilled items remain for discharged patients.
Communication & Administration
- Answer and route incoming calls promptly and professionally.
- Respond to medical aid correspondence and escalate cases when required.
- Keep documentation up to date with no backlog at day’s end.
- Build and maintain strong relationships with case managers, hospitals, and medical aids.
Experience and Knowledge
- Previous experience in a healthcare administrative or liaison role advantageous.
- Knowledge of medical aid processes, ICD coding, and authorisation requirements is advantageous.
