Inventory Manager

A vacancy exists for an Inventory Manager, reporting to the Pharmacy Manager. The successful candidate will be responsible for managing and coordinating the supply chain and inventory throughout the hospital, ensuring that stock related standards, objectives and targets are met.

Critical Outputs Effective product management
  • Drive purchasing in line with standardized procurement agreements to reduce cost of care.
  • Active management of cost of sales of surgical stock in line with budget.
  • Build effective working relationships with nursing staff and doctors as key stakeholders.
Effective asset management
  • Drive surgical stock management in the hospital actively to achieve targets and ensure security of stock.
  • Ensure optimal management of consignment and loan stock and related controls and processes.
  • Drive optimal system utilization.
Effective financial management
  • Ensure the procedure to the pay process relating to surgical stock is aligned to company best practice.
  • Participate in achieving hospital budgeted financial measures relating to stock.
Effective QMS and stock safety management
  • Report 100% of inventory incidents and develop and implement remedial actions as appropriate.
  • Complete trends analysis with relevant actions quarterly together with Pharmacy Manager.
  • Report 100% of pharmacy stock alerts and develop and implement remedial action and complete a trends analysis quarterly.
  • Participate in the LHC Quality Management Systems process to ensure continuous improvement. Identify and implement customer satisfaction and quality initiatives to enhance service levels.
Effective people management
  • Recruit, retain, motivate and develop staff according to LHC people policies and practices.
  • Provide direction and inspire positive work behaviour in the team.
Requirements
  • Gr 12 National Certificate
  • Degree or diploma in relevant field is a requirement
  • A working knowledge of the SAP Materials Management system is advantageous.
  • Knowledge of inventory control processes, procedures and practices.
  • Experience in a management role within an inventory management / logistics environment.
  • People management experience is essential.
  • Excellent interpersonal skills as effective working relationships with patients, doctors, hospital staff and suppliers are critical.

    • Liaising with HR regarding overtime and absenteeism, motivating staff, recruiting staff, training, mentoring, coaching and development of staff according to company policies and procedures

    • Ensure inventory is run efficiently and effectively to meet client contractual KPI’s.
    • Ensure all internal stakeholders are serviced as required per internal rules, i.e. communication to supply chain regarding adjustments, shelf life on inventory on hand, warehouse damages return process.

Our client is seeking an Inventory Manager to join their team. The successful candidate will be responsible for managing and coordinating all aspects of surgical and other services within the Pharmacy, ensuring that quality pharmaceutical services, financial objectives, legislative compliance, and people management requirements are met to the required standards.

Minimum Requirements

  • Grade 12 / Matric
  • Relevant Degree or diploma – minimum of NQF level 7
  • Experience within inventory management or relevant experience within a pharmacy environment
  • Knowledge of inventory control processes, procedures, and practices
  • Understanding of management and relationship structures within an operating environment
  • People management experience
  • Basic financial and numeric skills
  • Computer proficiency
  • Driver’s license and ability to travel

Job Responsibilities

Effective surgical product safety management

  • Report 100% of inventory incidents, develop and implement remedial actions as appropriate.
  • Complete trends analysis with relevant actions quarterly, together with the Pharmacy Manager.
  • Report 100% of pharmacy alerts developed and implement remedial action and complete a trends analysis quarterly.
  • Drive reduction in surgical stock adverse events and implement effective corrective actions

Effective quality management systems

  • Participate in the implementation and compliance with the company's Quality management systems.
  • Ensure compliance with SAPC, DOH, and company legal and professional standards.
  • Support in achieving audit compliance and targets, and drive continuous improvement initiatives
  • Achieve required customer service levels in the theatre and wards.
  • Implement customer satisfaction and pharmacy quality initiatives.

Effective financial management

  • Participate in achieving the company budgeted financial measures relating to pharmacy.
  • Manage and oversee monthly operational efficiencies to improve on financial measures and performance.
  • Identify trends and implement corrective actions.

Effective product management

  • Participate in the active management of the cost of sales of pharmaceuticals in line with revenue and budget.
  • Implement processes to ensure product information is correct and up to standard
  • Drive improvement in utilization, Formulary, and Best Cost Compliance to support Value-Based Care targets.
  • Liaise and support Pharmacy, Theatres, and other departments concerning surgical products, usage, and change management
  • Build effective working relationships with doctors and departments within the company through regular engagements, feedback, and communication.

Effective asset management

  • Participate in achieving stock targets and KPI’s for the pharmacy
  • Manage and support reporting staff members with guidance and leadership in daily tasks and processes
  • Participate in Stock Takes within Theatre and other departments
  • Achieve optimal system utilization by all staff members

Effective people management

  • Recruit, retain, motivate, and develop staff according to the company's people policies and practices.
  • Provide direction and inspire positive work behaviour in the team.
