  • Prepare and send follow-up correspondence to clients post-meeting.
  • Conduct courtesy calls to clients after advisor appointments.
  • Facilitate client servicing initiatives such as milestone greetings, event invites, and regular updates.

3. Administrative & Operational Support

  • Maintain accurate and current client data including contact details, portfolios, and goals.
  • Handle all paperwork related to client transactions, including investments, withdrawals, and transfers.
  • Update and manage the CRM platform to ensure accurate tracking of all client activities and sales interactions.
  • Distribute personalized communication or gifts to clients as required.
  • Support advisors in reaching sales and engagement targets.

4. QA & Compliance Documentation

  • Prepare client files in line with compliance and regulatory requirements.
  • Perform initial QA reviews of client packs and documentation prior to submission.
  • Generate QA reports for supervisor and compliance sign-off, facilitating commission release.
  • Act as the initial point of contact for disinvestment requests and processes.
  • Collaborate with Compliance and the FAC Supervisor to ensure process adherence.

5. Reporting & Performance Monitoring

  • Submit daily and weekly reports on lead status and appointment outcomes.
  • Record all interactions and activities in the ALUMA CRM system.
  • Develop and maintain an action plan for active clients in the advisor pipeline.
  • Monitor advisor diaries to ensure a minimum of 3 appointments per advisor per day.
  • Maintain daily communication with assigned advisors, summarizing key information via designated WhatsApp group or internal communication tools.

Required Skills & Competencies

  • Strong administrative and organizational skills.
  • Excellent written and verbal communication (in both English and Afrikaans preferred).
  • High attention to detail and ability to manage multiple tasks efficiently.
  • Client-focused with a strong sense of professionalism and discretion.
  • Proficient in CRM systems and Microsoft Office (especially Excel and Outlook).
  • A sales-oriented mindset with the ability to drive appointment and deal conversion.

Qualifications

CAPEX

  • Create and maintain investment structures for affiliates; load budgets on SAP according to approved Formal Commitment of Authority (FCA), managing 10% tolerance adjustments.
  • Assist in preparing annual Capex budgets and rolling long-term plans (LTP).
  • Produce monthly Capex reporting packs with clear, concise analysis; communicate explanations for variances to the Board, MANCOM, and Head Office.
  • Generate Power BI reports to provide insights into project spending, supporting planning and Capex control.

HSEQ

  • Manage and minimize HSE risks by ensuring compliance with all HSE policies, rules, guidelines, and legal requirements.
  • Promote a safe working environment and contribute positively to HSE KPIs and risk reduction strategies.
  • Identify and enforce HSE competency requirements within the area of responsibility.
Candidate Profile

A Financial Planning Analyst should possess:

  • A postgraduate degree in finance, with 5 to 7 years of relevant business experience and in-depth industry knowledge.
  • Comprehensive understanding of functional interactions across the entire company.
  • Knowledge of TotalEnergies Group reporting rules.
  • Excellent personal computer skills, including advanced Excel, database skills, and financial modeling abilities.

SUMMARY:

Roodepoort- Support a dynamic financial advisory practice with key administrative and operational tasks as a Financial Planning Assistant . Join a committed team focused on exceptional client engagement.

POSITION INFO:

Our client is a nationally recognized name in the financial advisory sector, delivering wealth and risk planning solutions. They offer a structured and well-resourced environment for career-focused professionals.

In this role, you’ll manage administrative workflows, client documentation, and regulatory compliance. You'll also handle communication distribution, CRM updates, and client file maintenance using internal systems.

Key Responsibilities:

  • Oversee all client service tasks from onboarding to reviews.
  • Capture and verify client data, documents, and applications.
  • Maintain client files and records using Xplan.
  • Coordinate with financial planning partners and service providers.
  • Manage marketing material, events, and internal communication distribution.
  • Assist in commission and compliance tracking.
  • Provide internal IT and system support coordination.
  • Track practice KPIs and assist with office management.

Requirements:

  • 2–3 years in financial services advantageous.

Remuneration:

R17 000 - R21 000 Cost to Company
