Our client, Cape Five, is a fruit exporting business looking for an enthusiastic candidate to fill the position of Commercial Coordinator. The Commercial Coordinator provides administrative and co-ordinating support to the Sales team which is responsible for selling and exporting fruit of various varieties throughout the world. The ideal candidate has experience in sales or logistics administration in the fruit export industry. 

Duties & Responsibilities

1. Coordinate customer orders

1.1 Compile pre-seasonal supply plan as provided by Commercial Manager.

1.2 Compile sales business plan for each customer as provided by Commercial Manager.

1.3 Compile price offers and send to targeted customers.

1.4 Send stock offers to potential buyers and assist with allocating stock according to customer orders.

1.5 Identify available vessels and communicate the ETA at desired port of destination.

1.6 Once orders from customers have been received:

a.Obtain import permits and LC (letter of credit) documentation for customers

b. Confirm label requirements and communicate to the packhouses/depots

c. Sign and save purchase orders

1.7 Allocate pallets on ERP System according to commercial instruction

2.1 Follow the necessary company procedures to on-board new agents and clients, or existing agents and clients with new invoice parties.

2.2 Update customers with tracking information

3. Creditors and debtors coordination

3.1 Prepare sales orders by:

a. Allocating pallets to vessels

b. Capturing grower and sales prices 

3.2 Attend to invoice queries from clients and forwarding agents and escalate to Commercial Team where necessary.

3.3 Request credit notes from finance department on behalf of Commercial Manager when necessary.

3.4 Report payments received to Finance.

3.5 Report credits requested to Commercial Manager.

3.6 Communicate credits given back to the grower where relevant.

4. Quality control system management

4.1 Monitor customer claims within times as agreed between procurement and sales.

Desired Experience & Qualification

1. Experience:

A minimum of two years’ experience in and knowledge of the following:

  • Clearing and forwarding documents
  • Packing material and packing requirement
  • Shipping line, routes, transit times and tracking

2. Technical knowledge required: 

  • MS Office, specifically Excel at intermediate level
  • Navision/LINC
  • RMS

3. Qualification:

A post graduate qualification in sales, logistics or marketing would be advantageous.
